What is JAV?
• Simple; practical
• Describe versions of scholarly
journal articles that typically
appear online
– before,
– during

formal journal publication.

Why JAV?
"Changes in the way we create, produce, and store
articles lead to multiple versions that are often all
discovered together through web searches. Our
working group addressed the consequent problem:
how to identify the versions retrieved and clarify the
relationships among them.”

Dimensions considered in JAV
• Time: from first draft to latest version
• Added Value: from rough draft to polished publication
• Manifestation/Rendition: different document formats and
layouts
• Siblings: multiple mappings between technical reports,
conference papers, lectures, journal articles, review
articles, etc.
• Stakeholders: author, editor, referee, publisher, librarian,
reader, funding organization

Definition, Proof
• A version of a journal article that is created as part of the publication
process. This includes the copy-edited manuscript, galley proofs
(i.e., a typeset version that has not been made up into pages), page
proofs, and revised proofs. Some of these versions may remain
essentially internal process versions, but others are commonly
released from the internal environment (e.g., proofs are sent to
authors) and may thus become public, even though they are not
authorized to be so. Content has been changed from Accepted
Manuscript; layout is the publisher’s.
• Notes:
1. We recommend “Proof” since this is commonly taken to refer to
process stages between accepted manuscript and publication.

Issues with “Proof”
• Found to be less precise and more difficult to apply than the other
terms outlined in this recommended standard.
• Definition of an article in the “proof” stage lacks specificity; it:
– includes a number of potential types of documents (e.g.,…); and
– allows for versions that “may” remain internal or “others (that)
may” be released publicly, although they are not authorized to do
so.
• All other JAV terms encompass only one easily defined variation with
a clear instance in the publication lifecycle.
• Word “proof” implies significant rework is expected before full release
to a “version of record,” however, no interim state is defined in the
current JAV structure.

Goals and Deliverables
• Working Group to draft an addendum regarding the
“proof” category of articles that will be considered under
the NISO review process.
• Working Group will reconsider the concept of proposing a
metadata framework or dictionary in which JAV terms
could be incorporated (this was rejected in the course of
the original working group in 2008).
• If this addendum approved, a change will be made to the
official JAV recommended term documentation and
distributed as appropriate.

“Proof” discussion from
original JAV
• Many potential steps had been reviewed – list to remain limited and
useful
• "Proof” somewhere in the production cycle between “accepted
manuscript” and “final paginated vol-iss publication” – seemed
reasonable to include
• Becomes clear later that "version of record" is whatever the
publisher says it is, even if final pagination, etc are not in place.
• Uncorrected author's manuscript could be a "version of record" if the
publisher wants to consider it as such and publish it in advance of
print.
• "Corrected" and "enhanced" version of record -- other terms put
forward as solution to this, with "proof" as another step in the
lifecycle of the publication record.

Supplemental Materials Conundrum
• Supplemental materials increasingly added to journal articles,
• No recognized set of practices to guide in the selection,
delivery, discovery, and preservation of these materials.
• Establish best practices that would provide guidance to
publishers and authors for management of supplemental
materials and would address related problems for librarians,
abstracting and indexing services, and repository
administrators.

  • 2. What is JAV? • Simple; practical • Describe versions of scholarly journal articles that typically appear online – before, – during – after formal journal publication. • Key stages 2
  • 3. Why JAV? "Changes in the way we create, produce, and store articles lead to multiple versions that are often all discovered together through web searches. Our working group addressed the consequent problem: how to identify the versions retrieved and clarify the relationships among them.” -Bernard Rous, Deputy Director of Publications at the Association for Computing Machinery (ACM) and Co-Chair of the JAV Working Group. 3

Dimensions considered in JAV • Time: from first draft to latest version • Added Value: from rough draft to polished publication • Manifestation/Rendition: different document formats and layouts • Siblings: multiple mappings between technical reports, conference papers, lectures, journal articles, review articles, etc. • Stakeholders: author, editor, referee, publisher, librarian, reader, funding organization 4

  • 8. Definition, Proof • A version of a journal article that is created as part of the publication process. This includes the copy-edited manuscript, galley proofs (i.e., a typeset version that has not been made up into pages), page proofs, and revised proofs. Some of these versions may remain essentially internal process versions, but others are commonly released from the internal environment (e.g., proofs are sent to authors) and may thus become public, even though they are not authorized to be so. Content has been changed from Accepted Manuscript; layout is the publisher’s. • Notes: 1. We recommend “Proof” since this is commonly taken to refer to process stages between accepted manuscript and publication. 8

Issues with “Proof” • Found to be less precise and more difficult to apply than the other terms outlined in this recommended standard. • Definition of an article in the “proof” stage lacks specificity; it: – includes a number of potential types of documents (e.g.,…); and – allows for versions that “may” remain internal or “others (that) may” be released publicly, although they are not authorized to do so. • All other JAV terms encompass only one easily defined variation with a clear instance in the publication lifecycle. • Word “proof” implies significant rework is expected before full release to a “version of record,” however, no interim state is defined in the current JAV structure. 9

Goals and Deliverables • Working Group to draft an addendum regarding the “proof” category of articles that will be considered under the NISO review process. • Working Group will reconsider the concept of proposing a metadata framework or dictionary in which JAV terms could be incorporated (this was rejected in the course of the original working group in 2008). • If this addendum approved, a change will be made to the official JAV recommended term documentation and distributed as appropriate. 10

Activities • Very short time frame = 6 months • Additional terms? • More detailed guidance on when terms should be used? – Publisher determines when it is VoR (may have page numbers or not; online published version is as valid as print published version) • Utilization of a SKOS framework? 12
  • 13. “Proof” discussion from original JAV • Many potential steps had been reviewed – list to remain limited and useful • "Proof” somewhere in the production cycle between “accepted manuscript” and “final paginated vol-iss publication” – seemed reasonable to include • Becomes clear later that "version of record" is whatever the publisher says it is, even if final pagination, etc are not in place. • Uncorrected author's manuscript could be a "version of record" if the publisher wants to consider it as such and publish it in advance of print. • "Corrected" and "enhanced" version of record -- other terms put forward as solution to this, with "proof" as another step in the lifecycle of the publication record. 13

Supplemental Materials Conundrum • Supplemental materials increasingly added to journal articles, • No recognized set of practices to guide in the selection, delivery, discovery, and preservation of these materials. • Establish best practices that would provide guidance to publishers and authors for management of supplemental materials and would address related problems for librarians, abstracting and indexing services, and repository administrators. – Business Practices (Part A) – Technical Issues (Part B) 17
