AIDA Windows application for organisations and groupsOriginally written a s bespoke solutionIn use by KHT, Venture, Cobalt, LHT and WPHWe did some research Using spreadsheetsFew problem (next slide)
We built AiDA as a bespoke solution for KHT.We conducted our own research and found that many organisations hold A&A data on spread sheets; this was the case for Knowsley. The DCLG guidelines make recommendations with regard to timescales and categories for the provison of A&AAudit commission are really keen to see evidence of performance monitoring, budget controlAnd that organisations are being customer focused This can mean that it is not always clear:when a tenant made an initial request and what the outcome of the request was. When and if tenants have been kept informedWhen each stage of the A&A process has been completed. For us the issue was data invalid and incorrect dates, duplicates, data cleansing.Using spread sheets does not make it easy to monitor performance, carry out financial forecasts or produce quality reports
AiDA adheres to the DCLG’s Good Practice Guide Lines ‘ Delivering Housing Adaptations for Disabled people’. AiDA, is highly configurable and can interface with existing Housing systems (if they exist). Currently Orchard Archouse Universal Housing and IBS.Customer focused Register of adapted properties Easily manage the full life cycle of adaptationsPerformance monitoring Manage waiting list with easeExtensive reporting
Main AIDA benefits are Customer Focused: AiDA automatically produces an acknowledgment letter once a request has been made and records this in a correspondence audit trial. AiDA automatically produces quarterly letters keeping tenants informed of the requests progress. The letters are configurable. Any correspondence via AIDA can be viewed from the Documents tabKeep tenants informed via the waiting list users of the system can inform tenants of their current position and estimated target dateRequests for adaptations are categorised and valued and placed on the relevant waiting list. Users of the system can see at a glance the total estimated cost of all requests and individual target dates for completion. From the waiting list it is easy to manage the full life cycle of adaptations.
Register – the system is a full register of adapted properties. Organisations can share this information with external and internal departments. E.g People on the housing list awaiting an adapted property.Filters allow users to view all adapted properties or just void.
AIDA uses extensive reporting to help users with Performance monitoring – From initial request through to installation AiDA records dates at each stage of the process. Using a variety of performance reports or the bespoke reporting tool mean that any delays in the process are captured and easily highlighted, be it with the assessment or internal processes or the contractor completing the job.
