Check List The Following Items need to be setup in order for the attendance to work properly. Software Setup Styles and Ranks Class Student Setup Student Birthdates Student Rank Student Membership PerfectScan Setup PerfectScan Installation
Styles and Ranks Software Setup
Styles and Ranks Setup       Company Setup       Martial Arts       Style
Styles Definition: Style can refer to a particular martial art, or to any other activity that may take place, such as fitness classes, regular workshops, after school programs, etc.  A single contact can belong to more than one style through their Memberships and Ranks.
Ranks Definition: Ranks refers to a particular level of experience and / or difficulty within a style.  Ranks can also have Stripes associated with them, to show the degree of progress within a rank.  A contact can have more than one style and rank through the Programs and Memberships that they have.
Age Groups
Adding a Class Software Setup
Class Open Calendar :Click on the “+Tab” and choose Calendar (Planner) under Classes & Exams
Class Choose Class: From the tabs available click on the “Class” Tab
Class Press New: On Top left hand side click on the new button
Class Create New Class: Enter information of the class into the fields provided
Class The Fields: Reminder - This is turned off by default. If you would like the instructor of the class to be reminder about the class before it starts, set this field to how soon before a class starts you want the instructor to receive the reminder. Name - The name for the class. This is how the class will be labeled within the planner. Instructor - This should be the user who is responsible for the class. The class will show up on the calendar for that user. Start Time - This is the Starting Date/Time for the first time that class will occur in the planner. End Time - This is the Ending Date/Time for the first time that class will appear in the planner. Floor - If your school has multiple training areas, this can be used to specify where the class will be taught. Class for Graduates - Use this if you would like to automatically re-assign a student's class when they are outside of the accepted belt-range for that class. Style - This is used to define which style is taught in the class. Age Group - For schools that arrange classes by age range, use this to define which age group the class is for. Starting Rank - Use this to define what the lower belt/rank limit for the class is.  This can be used by PerfectScan to attend people to the correct class based on their rank if enabled in the Setup  Ending Rank - Use this to define what the upper belt/rank limit for the class is.  This can be used by PerfectScan to attend people to the correct class based on their rank if enabled in the Setup 
Class Recurrence:  Setup the Recurrence pattern of the class
Student Setup Student’sRank and Style Birthdate Contract/Membership
Student When adding a student it is very important for the following information to be entered Style & Ranks Birthdate Contract/Membership
Student – Style and Rank Click the Magnifier Icon beside the Style of your choice on the student file
Student – Style and Rank Choose the Proper Rank from the Pop-up window
Student – Style and Rank After pressing “Save” you will get two pop ups.
Student – Birthdate Choose proper value for Birthdate on Student File
Student – Contract/Membership Make sure you add Contract/Membership for the student. This will tell the system what type of classes they have access to and how long they have access to the classes.
PerfectScan Setup Installation of PerfectScan
PerfectScan Installation Install : Go to App store and click on More Details under PerfectScan (Take these steps only if you don’t already have perfectScan installed on your Computer)
PerfectScan Installation Install : Click on “Please Click Here to Download” to Download and Install PerfectScan.
PerfectScan Installation Login: Login to PerfectScan using the same login as your PerfectMind Account.
Scan ! Scan: Now that everything is setup you can easily take attendance using your Barcode scanner.  If you do not have a Barcode Scanner then you can also enter the names manually into Perfectscan

  • 4. Styles and Ranks Setup Company Setup Martial Arts Style
  • 5. Styles Definition: Style can refer to a particular martial art, or to any other activity that may take place, such as fitness classes, regular workshops, after school programs, etc.  A single contact can belong to more than one style through their Memberships and Ranks.
  • 6. Ranks Definition: Ranks refers to a particular level of experience and / or difficulty within a style.  Ranks can also have Stripes associated with them, to show the degree of progress within a rank.  A contact can have more than one style and rank through the Programs and Memberships that they have.
  • 8. Adding a Class Software Setup
  • 9. Class Open Calendar :Click on the “+Tab” and choose Calendar (Planner) under Classes & Exams
  • 10. Class Choose Class: From the tabs available click on the “Class” Tab
  • 11. Class Press New: On Top left hand side click on the new button
  • 12. Class Create New Class: Enter information of the class into the fields provided
  • 13. Class The Fields: Reminder - This is turned off by default. If you would like the instructor of the class to be reminder about the class before it starts, set this field to how soon before a class starts you want the instructor to receive the reminder. Name - The name for the class. This is how the class will be labeled within the planner. Instructor - This should be the user who is responsible for the class. The class will show up on the calendar for that user. Start Time - This is the Starting Date/Time for the first time that class will occur in the planner. End Time - This is the Ending Date/Time for the first time that class will appear in the planner. Floor - If your school has multiple training areas, this can be used to specify where the class will be taught. Class for Graduates - Use this if you would like to automatically re-assign a student's class when they are outside of the accepted belt-range for that class. Style - This is used to define which style is taught in the class. Age Group - For schools that arrange classes by age range, use this to define which age group the class is for. Starting Rank - Use this to define what the lower belt/rank limit for the class is.  This can be used by PerfectScan to attend people to the correct class based on their rank if enabled in the Setup  Ending Rank - Use this to define what the upper belt/rank limit for the class is.  This can be used by PerfectScan to attend people to the correct class based on their rank if enabled in the Setup 
  • 14. Class Recurrence: Setup the Recurrence pattern of the class
  • 15. Student Setup Student’sRank and Style Birthdate Contract/Membership
  • 16. Student When adding a student it is very important for the following information to be entered Style & Ranks Birthdate Contract/Membership
  • 17. Student – Style and Rank Click the Magnifier Icon beside the Style of your choice on the student file
  • 18. Student – Style and Rank Choose the Proper Rank from the Pop-up window
  • 19. Student – Style and Rank After pressing “Save” you will get two pop ups.
  • 20. Student – Birthdate Choose proper value for Birthdate on Student File
  • 21. Student – Contract/Membership Make sure you add Contract/Membership for the student. This will tell the system what type of classes they have access to and how long they have access to the classes.
  • 23. PerfectScan Installation Install : Go to App store and click on More Details under PerfectScan (Take these steps only if you don’t already have perfectScan installed on your Computer)
  • 24. PerfectScan Installation Install : Click on “Please Click Here to Download” to Download and Install PerfectScan.
  • 25. PerfectScan Installation Login: Login to PerfectScan using the same login as your PerfectMind Account.
  • 26. Scan ! Scan: Now that everything is setup you can easily take attendance using your Barcode scanner. If you do not have a Barcode Scanner then you can also enter the names manually into Perfectscan
