1. Introduction:
The purpose of the power point presentation is to understand a quick overview of slide which
we are viewing like in business company strategies, marketing tools, yearly graph or in
schools to understand the topic with a bulleted points. Power point presentation is a graphical
approach presentation in the form of slides. This presentation are most often used in
Business, classrooms, Military training camps and many more. It is an easy way to discuss
the topics with bulleted points and it was mostly used in business industry to discuss the
company flowcharts, company annual graphs in the form of slides and also mostly used in
schools and training camps to discuss what the slides show is used to emphasize your point
and provide memorable visuals for students and trainers.
Let’s see how the power point presentation work effectively to present
We can make many courses on how to use power point standardly but it is used
effectively.
1. Should first create out line:
the first and mostly important part of the presentation is content rather than graphics
or animation part.so first we should develop our structure of content before making
the color, graphics, animation part etc., we should set up the aim and the goal of the
content The most important part of any presentation is the content, not the graphical
appeal. Set up the structure of content and make bullet points which make audience
more interesting, make audience think now and make them more interesting with your
points and examples. Just before making in to slides write an outline of the paper or
use notes to make ideas, examples better than ever write an outline on paper or use
sticky notes so you can move think about the content. on
2. Use Colors
if you want our presentation should attractive to the audience and make the audience
to see easily there should be lot of contrast between the text color and background
color so that they can view the slide easily and it looks attractively. If you want your
audience to be able to see what you have in the slide, there should be a better contrast
between the text color and the background color. Dark background with light colored
text usually will appear good. It’s not the compulsory to use the dark background with
light colors but it may look good, clean and visible to audience easily than the odd
one we can use the ligthbackground with dark text colors also. Whatever we make we
should attract the audience with our slide that easy to read them rather than making
difficult to read and view the slides color contrast is the major role in making our
presentation effectively.
2. 3. Font size:
Font size plays an important role in our presentations, we should make sure our font
size is audible to our audience to read it easily. Most cases our basic standards of the
font should be more than 24. Less than 24 it appears to be too small to read and become
loss of interest for our audience. I would suggest the standard font size which many
people use the presentations are between 28 to 32 and header text should be 36 to 44
point size. Sometimes we can use the font less the 24 point size that should be placed in
explanation of diagrams or graphs, charts, etc.
If you are viewing the slides in the smaller screen in a large room then the font which you
done looks very smaller. That is because image is not that much as it should In this case use a
bigger screen than the normal one or we can use the wall also to project the screen just
remove chairs and tables to view the full screen of presentations. Font plays an important role
in our presentations.it is also the attraction of audience what we can say.
4. Stop the moving text
when the text appears on the screen audience should view the text, the text should be
in the form of bullet points, in the form of single lines because if we keep longer
sentences it make longer time to read the sentences and then the focus will be gone. If
the text moves onto the screen in any way – such as flying in, spiral or zooming –it
makes tougher for the audience and presentation person. It should be like bullet points
and audience should listen to the person who is presenting for description that is what
a good presentation is meant for just carry bullet points images need if specific and an
example to understand and keeps interest every time for audience.
5. Turn the pointer off
while presentation it is very hard to have the pointer that is arrows or dots or any
points during a presentation, while presenter is speaking seriously. It draws an
attention of audiences from the presenter to the screen. The pointer appears when the
mouse is moved. To escape this from of happening, after the Slide Shows view has
started, press the Ctrl-H key combination. This helps mouse motion from showing the
pointer. If we need to have the pointer on project screen after this, press the button A
key. If a pointer appears during your presentation, press Escape key – if you click on,
it will stop the presentation and you will back into the program. Click on the A button
or Ctrl-H to make the pointer disappear.
6. Use visuals instead of text slides
the latest survey shows that audiences will not be interested with excess of text on
the slides or diagrams on the slides.it will take much time for the audience to
taken on slides then the presenter or some people will lose interest while studying
large text. Presenter should attract the audience with images, examples the text
3. should only be a bullet points and audiences should listen to the presenter about
the description of points rather than writing description in the slides
HoweverInstead of using slides which contains only text, use visuals such as
graphs, diagrams, photos and media clips to attract the audience. There are a five-
step method for creating good visuals.
7. Have Slides at the End of Your Presentation
the last slide youare speaking should not be the last content in your presentation
file. we should have three same copies of our last content slide so that if you
unfortunatelygoes too much times at the end of your presentation, your audience
should not know because you not dropped drop into the program, the slide should
looks like it has it as constant it has not changed. After all these slides, we should
include some more presentation slides that answer questions that you know. These
slides will be useful during query sessions after the completion of presentation.
The last slide should be a left blank so that if we go through remaining all slides,
we have a last backup of going to program again.
8. Be able to Jump to Any Slide
PowerPoint had a special feature which allows you to move quickly and very
fastly to any number of slide in our presentation. For doing that we need to know
the slide numbers. This is the easiest and the fastest way to go to a number of the
slide numbers to the Outline View and crash the details for each slidethencheck
the view of the slides. If we want to go to any slide, just enter the slide number
this will directly take the slides which you want. This type of technique is very
useful if we have less time and this technique is useful when the audience had the
doubt of the particular slide in the query slide and also this technique is useful in
the skipping of the slides if we have no time.
9. Blank the screen
some occasions in the conference room we want the image on the slide screen to
disappear so that the audience can thoroughly focus on the presenter what he is
saying. There are many ways to do this. Following are the few ways to blank the
screen of the slides to make attention of the audience just shut down the projector
off directly so that screen may appear blank screen. And next one is Justclick on
the period keyon the keyboard then the image is replaced with a black image. And
do vicevirsa then the image will go through the original image.
10. Draw on the screen during a presentation
some occasions it can is valuable to draw on the screen during our presentation
this was done especially in business industries to describe a particular point or
4. graph. This can be done in the following ways. Click the Ctrl-P key to display a
pen on the screen. Then with the help of left mouse button, we can draw on the
slide as we want and understandable manner. To remove what we drawn, click on
the Escape key. To hide the pen which we used for drawing click on the A key or
the Ctrl-H key
Advantages of Power Point Presentation:
Power Point presentations are most useful and easy way to create and present in visuals.
It is Easy to create colorful designs using the templates and themes, it is easy to modify
compared to other visual aids, such as charts, graphs of company and easy to drag and drop
slides to re-order presentation.
It is easy to present and maintain eye contact with a large number of audience by simply
advancing the slides with a keyboard.

explain in the form of slides.
Usefulness in the business Industries
1. In some occasions PowerPoint is daily used in business industry to describe the
company what to do to get higher income or to discuss the graphs and compare
the graphs of the company actually it is easy way to discuss the graphs and
they can use the visual aids like they can keep audio or images or small
animations in to the slide so that every employee has a clear picture about the
description what the presenter is going to present
5. 2. Most of the business industries, the start and the end of business activity is
marked by the PowerPoint presentation. PowerPoint is used in strategies in
business comparison, to know the proposals the future plans which they had.
After sometimes it is used for updates and progress reports of the business
industries. In the last stages, it is used to prepare report and present what is
happening and. PowerPoint in now a days is used everywhere, and it shows no
signs of going failure in the future also.
Usefulness in trainings
1. Most people use the power point in the training, the training may be military
training, employee training, and any type of type of training this power point is
useful.
2. In trainings most people use the visual aids like adding images, adding video,
adding audio, etc., to understand the audience easily and can interact with the
presenter freely. In training camp most presenters use the single line, bullet
points so that the audience can read the line and follow the lecture of the
presenter as soon as possible and they will provide with examples in training. So
power point is useful in many ways.
