E Movers prefer roll number/ Employee code
system for office movement as compared to
name or color coding system.
The main reason is roll number system maintains
the accuracy of distribution and also avoids
confusion in spellings and having same names for
many individuals in the office especially in this
part of the world.

Employee Code Number System
How does it work?
• Every individual has an Employee code.
Prepare an employee code list and provide to
Emovers.
• Decide on color for each floor / department
and provide color stickers to employees as well
• The same unique number is also marked on
the drawing for proper distribution of items.
• The staff of the client is requested to put this
unique number on every item which they want
to take to new location with them.

Pre Move
• Movers will follow Colour sticker and the
roll number during the distribution of boxes
• Nominate One Executive to Cordinate with
Emovers One point of Contact
• Identify Project Co-coordinators for each
department / Floor
• Arrange a meeting with Emovers Operation
Manager for a briefing
• Co-ordinate and assess the volume of work

Pre Move
• Discuss the Roll number system with project
coordinators.
• Arrange for security passes/ Parking
permissions
• Arrange to deliver the boxes for files packing
and colour stickers to identify
Floor/Department.
• Inform the co-coordinator to further inform
all the staff to put their respective roll nos.
on the items they pack.
• Also ask the staff to put the Roll nos. on the
items which will be packed by the Movers.

Pre Move
• Collect detailed drawings from the consultants.
• Drawings to have the roll nos. marked on it.
• Drawings for existing as well as new location
with roll nos to be collected.
• Visit the new location to identify the new
furniture and put Roll nos. and direction arrows.
• Supply of Stickers at the existing location.
• Site survey at existing and new locations to
identify the existing damages if any.

Pre Move
• Boxes will be delivered one week before the
actual move date for employees to pack
personal items.
• Employees will pack the personal belongings
and seal the box
• All other items and filings will be packed by
Emovers
• Emovers will move the respective boxes to New
location marked based on employee code.

Pre Move
• Server should be shutdown and all IT
equipments should be unplugged on time for
Emovers to pack.
• Delay for the above will cost labour overtime
and truck detention.
• IT and other equipments will be packed and
moved by Emovers.
• Any employee on leave or unavailable for
packing and moving of staff belongings,
respective coordinators should take
responsibility.

Pre Move
• Client Supervisors / coordinator (minimum 2
persons) should be available on each floor.
• Inventory list should be signed by client
coordinator and Emovers supervisor before
loading and after delivery.
• Items from common area or not in use daily,
storage area etc. can be moved prior to main
move.

Pre Move
• Emovers works the rate based on availability of
cargo lift at origin and destination buildings.
• Additional charges will levied for staircase
carrying.
• Closed and open trucks of 3 tone capacity will
be used based on items to move.

The Day of the Move
• Protect the elevators, wall corners and door
frames to avoid damages by trolley.
• Move the Packed Boxes and distribute them as
per the roll nos. marked on the drawing.
• Pack the IT equipments, copy the roll nos. on
the box and move to new location.
• Distribute these IT boxes as per the roll nos.
marked on the drawing.

The Day of the Move
• Dismantle the furniture with the help of
trained installers.
• Use of specially designed furniture trolleys to
move the furniture to the truck loading bay.
• Loading and unloading using proper
methods.
• Install furniture at the new location.
• Clear the debris at site.

Post Move
• Site survey with coordinator to assess damages
to premises if any.
• To set up a help desk to solve any queries by
the staff.
• To have a team ready to move some boxes
around if required.
• Arrange a team to clear the unpacked boxes
from the office.

CLEANING AFTER THE MOVE
E Movers will take care of basic cleaning of
empty floors at the old office location which
includes
• Removing of papers, stationary debris etc
from the floor.
• Vacuuming of carpets.
Exclusion: Cleaning of windows, blinds.
