III- Summary / Overview:
Each company that uses SAP has to properly manage its SAP user license data as this is
related to the billing of the SAP license from SAP AG. Consequently, the SAP User and
Management and Authorization consultant has to assign the appropriate license data to the
user. This occurs in the user’s master record (transaction SU01).
Besides, it is required that company gather periodically the user’s license data. This occurs
for these main reasons:
1- Preform savings by performing the appropriate correction on SAP license data
2- SAP A.G can perform a SAP user audit / SAP license audit and request from the
customer that he constitutes a consolidated list of all the users in the productive SAP
system with their license data.
3- There is sometimes a need to provide the list of all the active productive users with
information regarding their license codes within the context of the preparation of the
budget related to IT activities; here, we can use the list for the billing of the SAP
licenses fees to the different entities of the company.

5. For the process of consolidation of SAP user license data, SAP strongly recommends to use
LAW (License Administration Workbench). LAW is a standard tool integrated into SAP.
This procedure describes how to perform a global SAP user and license consolidation via the
LAW (License Administration workbench); we provide also a methodology to assign
applicable entities (plants, organization…) to the SAP user.
IV- Requirements / prerequisites:
In order to follow this procedure, it is required to have an extended SAP user access profile
(like SAP_ALL for example) allowing to perform SAP User management activities. In
particular, it is required to have access on SU01 transaction to manage SAP license data
and access to all the transaction mentioned in the paragraph ‘transaction used’.
SAP user and authorization management activities are very sensitive
Note : activities and have to be performed by qualified and skilled administrator.
Therefore and if you are not familiar with user management activities, you
should use this document only in a SAP sandbox system or in a training
environment.
V- Course materials:
In the company, the SAP User and Management and Authorization consultant is responsible
to properly assign a valid and applicable SAP user license to users.
In the following paragraph, we will see the basic required steps to:
- Assign a license data to a SAP user
- Consolidate the SAP user license data
1) Introduction:
Within the context of licensing, it is required to collect user data, consolidate this data and
send it to SAP on request. There are many standard SAP tools that are used in this process,
mainly transaction USMM and SAP LAW tools. This provides system administrators with a
good overview of user and license, and the system measurement is reliable and compliant to
SAP format.

6. In this process, we have first to is assign users an appropriate license according to user
activity in the system and other parameter (for example if the SAP user exists in another
system).
Then and with the measurement program (transaction USMM), we determine the number of
users with their license data and the chargeable objects. This occurs during the user
classification in all measurement-relevant systems .
After this, we use the License Administration Workbench (LAW) to gather and consolidate
license-relevant measurement data (users and engines) for the component systems and the
central system (LAW system) in which LAW is run. The LAW tool supports the administrator
during the License Audit Process for complex system landscapes.
2) Assigning SAP user license data to a user:
To assign an applicable and valid SAP license to the SAP user, perform the following steps:
Each business or technical user that needs to work on SAP requires having a SAP
user account. For security reason and also for license consideration, the SAP user
account must be unique. However and in very few circumstances, it can be required
to use a shared SAP user account (in some production line for example).

7. ⇒ Enter the user name to which it is required to assign a SAP license (user_test1 in our
example) and click ‘Change’
As you can see, the screen related to the user creation consists of many tabs. Please
refer to procedure “User and Authorization Management” to have the signification of
these tabs.
