They need a data center, a complex software stack and a team of experts to run them.

The university provides undergraduate coursesranging from liberal arts to business administration; graduate degreesin nursing, education, medicine, and law, among others; adult andlifelong learning courses; and online learning options. The school hasroughly 24,000 students studying in multiple buildings across threecampuses, including a medical center. The University of Toledomaintains about 14,000 machines and has over 5,000 staffers."The real thing that made me decide to choose virtualization was cost,"said Godfrey Ovwigho, Ph.D., the university’s vice president forinformation technology and CIO. He was familiar with remotedeployment from previous jobs and found it to be a better way tostreamline operations. "I was looking for ways to hold down costs andto make IT more responsive when it comes to provisioning desktopsand being able to provide adequate support," he said. "Ownership onindividual desktops was becoming too expensive, and I was lookingfor better ways to provide support."The university researched desktop virtualization solutions fromVMware, Citrix, and Microsoft, eventually choosing VMware basedon pricing and functionality. At that point, the university also realizedthat it could get discounts by buying through a prenegotiated statewidecontract, giving it significant savings on thousands of licenses. Most ofthe university’s PC hardware is from Dell, and most of its thin clients©2011 IDC Government Insights #GI227444 Page 7(200 to 300 so far) are Wyse terminals. When the implementation iscomplete, the university will support about 50% thin clients and 50%PCs with a virtual desktop window. The university already supportsPCs, Macintosh computers, and Linux computers, in many casessqueezing an additional year or two out of the machines.On the client side, cost savings were substantial, with more than a 50%reduction in related expenses. Meanwhile, the time needed toprovision critical applications dropped to less than 30 minutes fromabout 4 hours per computer. The full implementation, including 5TBof storage, cost less than $1 million. The investments came out ofexisting IT department budgets. No special spending was provided orneeded. Ovwigho said that the university handled the fullimplementation in-house and required only a couple of visits from aVMware technician. Prior to the start of the project, his office wasspending over 20% of its budget on PCs and PC maintenance. Nowthat number is under 6%. Most of the savings comes from reducedhardware costs and maintenance costs, said Ovwigho. "The softwarelicense is the same whether we’re virtual or not," he noted. Ovwighowas able to eliminate a couple of staff positions and also cut computerlab part-time student helper positions through attrition from over 84positions to under 40 positions.
