Short Term Assignment at Abu Dhabi / UAE – March to May 2014
Assigned Duties:
I. Protocol Affairs:
• Liaise with the Ministry of Foreing Affairs and other concerned
Ministries to establish effective relations with the High Officials
and ensure the best application and practices for the EU/Egypt
Agreement;
• Maintains contacts with counterpart coordinators within
Government Ministries, Parliamentary Offices, Academic,
Scientific, Political, Economic, and Business Communities to
facilitate high-level meetings for Ambassador, VIPs and incoming
missions;
• Liaises and negotiates with Ministry of Interior/ Immigration
Departement, Ministry of Foreign Affairs, Egyptian Authorities,
and State Security for all matters related to issuance of visas,
Laissez-Passer, Airport access cards and others;
• Serves as a liaison with Protocol officials in the Government and
other Diplomatic missions. Assists with questions of protocol,
local customs and practices;
• Advises staff on formalities and courtesies they should observe
when associating with foreign visitors;
• Reviews ranks, positions and relationships of the foreign visitors
when planning seating to avoid placements that cause discomfort
or conflict during the ceremony;

II. Conference & Event Management
• Organising all European Union Official events, Conferences,
Seminars, Workshops and meetings;
• Organising Ad-Hoc, bilateral meetings, interviews, coktail
reception for the High Level Profile incoming missions from HQ;
• Prepare the EU Calendar of events
• In close co-operation with the EU Heads of Sections for the
organization of meetings, workshops, seminars and all official
events;
• In close co-operation with the EU Press Officer, in light of
logistic support for the preparation of Press Conference and
bilateral media interviews;
• In collaboration with relevant sections, provides logistical support
for any official visits;
• Prepare the events guidelines, check list, brief all staff on their
respective roles.

• Preparing the EU Residence monthly expenditures, reviewing the

III. Travel Management
• Hotels Liaison: Enter into negotiation with all Hotels chains in
Egypt in order to get the best EU Corporate rate applicable for all
EU incoming missions & visits and ensure outstanding services
for the European Union;
• Ensure that the EU travel agent is providing the high quality of
services related to travel according to terms of reference in the
signed contract;
• Arrange arrival and departure pick-up arrangements for EU HQ
visits, High Level Profile and VIPs guests;
• Maintains working contacts with airline staff, police, customs,
and other relevant officials at the airport;
• Coordinates the travel arrangements for the Ambassador’s Office
and all EU expats including flights tickets, hotel accommodations,
etc.;
• Prepares visit schedule, including full itinerary details, transport,
accommodation arrangements, and administrative details;
• Ensure issuance of visas and ticketing in proper time for the
mission;
• Accompanying the EU Ambassador on official mission and field
