The Context:
Auckland Transport (AT) is required to deliver over the next 30 years several
large scale multi-billion dollar roading and transport infrastructure projects
across the Auckland region. Dedicated project teams comprised of up to
500 people or more distributed across several organisations will be
assembled to deliver each project, the first of which is the City Rail Loop
(CRL) project with a $2.4 billion budget.
The Challenge:
The CRL project is comprised of large-scale project teams that span not
just AT but multiple external parties that are required to collaborate,
federate and syndicate documents and information in a consistent,
auditable, secure, transparent and controlled manner over-time and across
multiple project phases. At the same time these teams need to be compliant
with legislative and/or organisational policies and requirements,
underpinned by workflows to enable critical project processes.
The Brief:
Leveraging existing technology investments in Microsoft SharePoint 2013,
design and build an Electronic Document Management (EDM) solution and
supporting Collaboration Platform comprised of private and shared work
spaces to enable project collaboration with document and information
exchange across parties. This included architecting and implementing a
dedicated and hosted infrastructure platform to support federation and
integration across multiple internal AT business units as well as external 3rd
Parties.

The Context:
Auckland Transport (AT) is required to deliver several large scale multi-
billion dollar roading and transport infrastructure projects across the
Auckland region over the next 30 years. A significant process and
subsequent risk associated with the cost and schedule of these projects is
the acquisition of land and properties impacted by the construction and
commissioning of new infrastructure.
The Challenge:
The Property Acquisition process:
• Is complex and demanding taking up to 8 months to complete, involving
multiple properties, interested parties and stakeholders including
communities and special interest groups impacted and who must be
consulted and informed.
• Must comply with complex legislative and legal process with demanding
requirements pertaining to managing the end-to-end property
acquisition process.
• Must be managed within a complex set project interdependencies that
impact project delivery timeframes, costs, and contractual obligations.
• Lack of a system to manage the end-to-end process to enable
transparency, compliance and risks associated with each acquisition
including financial, schedule, legal and reputational.
• Has complex requirements pertaining to process collaboration across
parties, document management, compliance, audibility and reporting, as
well as driving consistency across all acquisitions.
The Brief:
Leveraging existing technology investments in Microsoft SharePoint 2013, as well as Auckland
Transports EDM FULCRUM solution, to design and build a secure, integrated and functional
collaboration solution to enable the management of the Property Acquisition process for capital
projects. This includes providing federated collaboration across internal and external parties as
well as integration with project records, support for comprehensive monitoring and reporting, as
well as formal workflows and checklists aligned to legislative and compliance requirements.

The Context:
Hamilton City Council (HCC) together with Rotorua District Council (RDC) have, as
part of their customer engagement programmes, undertaken a joint shared
services initiative to establish and leverage digital channels as a primary channel to
engage and deliver services to customers. Drivers of change have included:

with council online in a safe and secure manner;

The Context:
Auckland Council’s Stormwater (SW) unit is responsible for managing
stormwater catchments comprised of both natural as well as man made
assets across the Auckland Region. With programmes focused on growth,
renewal, flood mitigation and environment drivers, significant focus is given
to the planning and delivery of capital projects required meet the Region’s
stormwater requirements.
The Challenge:
• Stormwater related issues and opportunities identified from multiple
sources need to be formally captured and managed to an outcome.
• Stormwater capital and renewal projects need to be identified, registered,
scoped, approved, prioritised, and programmed for delivery as part of a
consolidated project portfolio spanning a 35 year view.
• The end-to-end tracking of project outcomes across the whole project
life-cycle and multiple teams is required including integration between
‘portfolio projects’ and ‘delivery projects’.
• Use of spreadsheets managed by individuals to manage portfolio projects
as opposed to a robust systems and consolidated database.

The Context:
Auckland Transport (AT) is responsible for the ongoing development,
delivery and operation of a ‘single integrated transport system’ for the
Auckland Region as highlighted within the 2012 – 2041 Integrated Transport
Programme (ITP). Innovation is recognised as a key part towards achieving
this mandate. This requires an organisation wide culture and approach
underpinned by a tool set to foster and enable innovation to be undertaken.
The Challenge:
• There has been little or no formal visibility of ideas and opportunities for
innovation across AT. As a result any opportunities that were informally
identified often got lost with little or no accountability in place as far as
managing these to an outcome.
• Across the organisation and business, operational management has not
been held to account in terms of acting on and driving business
improvement / transformation beyond the day to day ‘business as usual’.
As a result opportunities and ideas raised by staff, partners, customers
and others are not acted upon.
The Brief:
To design, develop and implement an Innovation Portal solution leveraging
existing technology investments in SharePoint to:
• Enable the registration, management and tracking of Innovation
Opportunities and Ideas across the organisation as part of a consolidated
Innovation Register.
• Provide the capability to collaborate on specific ideas and opportunities
progressed through to an Innovation Lifecycle and beyond.

In the pursuit of accelerated innovation, today’s enterprises know they must tap
external networks and talent pools to access diverse skills sets and fresh
perspectives that are untethered from the status quo.
The Imaginarium Lab is a new platform that, in collaboration with major NZ
universities, enterprises and industry partners, brings tertiary students
together with professionals to tackle business challenges and opportunities.
For students they have access to real world problems; a chance to earn
recognition and $$$; an opportunity for expert mentoring and possibly a job in
the future.
