2. Lack of Integrated Financial Processes Hindered Global Growth
StreamServe was lacking an integrated finance solution to allow them
to expand and keep pace with global growth. As license-driven software
company that also has consulting services connected to their software,
StreamServe’s three main sources of revenue included software licenses,
professional services consulting and training, and product maintenance and
support. Its current revenue recognition process was complicated, manual-
based, and reliant on spreadsheets.
In order to achieve more uniform revenue recognition processes across the
company, StreamServe opted to implement an ERP platform that would
support global financial processes across the corporate headquarters in
the U.S. and Sweden, and subsidiaries in the United Kingdom, Denmark,
Norway, Finland, Germany, France, Singapore, and the Netherlands. In
particular, it was necessary to automate general ledger, fixed assets, sales
and receivables, and purchases and payables that supported local and U.S.
GAAP rules for these countries.
StreamServe required that the new ERP system be fully integrated with
its preferred customer relationship management tool, Salesforce, so that
all customer and licensing data would be generated in Salesforce and then
transferred to the ERP system for customer invoicing. A large percentage
of StreamServe’s business was generated via partners, and support for
invoicing to partners was equally important while selecting the appropriate
solution for their business needs.
TechOne Implementation Delivered Solid Foundation
for Growth
TechOne, an SAP Business All-in-One solution from YASH Technologies, was
selected as StreamServe’s new ERP platform, as it was the best fit for their
required business processes and functionality around revenue recognition.
Based on industry-specific best practices, TechOne is designed specifically
for high-tech software providers and offered benefits of a single platform
with easy integration into Salesforce and other enterprise applications.
A major impetus for selecting YASH was their streamlined approach to
rapid implementations. YASH utilized a proprietary methodology, S-Imple
(Streamlined Implementations) that is based on Scrum principles to
deliver a comprehensive set of commonly used business functionality with
little or no customization required. The S-Imple methodology used SAP
best practices and focused on data cleansing, conversion, and design by
exception rule, knowledge transfer and end-user learning, which allowed
StreamServe to realize substantial project savings.
With TechOne, StreamServe would have an open architecture to
enable integration with other business process driven systems in the IT
environment, such as PSA Change Point and OCRA that would support
multiple countries in one single database.
3. The nine-month TechOne implementation included:
SAP Financials:
▪▪ New General Ledger
▪▪ Accounts Payable for payments in Sweden and The Netherlands
▪▪ Accounts Receivable—item interest calculation along with printing of
interest invoice
▪▪ Fixed Asset Accounting
▪▪ Cost Center Accounting
▪▪ Profit Center Accounting
▪▪ Integration with StreamServe printing solution for inter-company
invoices, credit memos, interest invoices, and U.S. accounts payable
check printing
SAP Sales and Distribution:
▪▪ Interface from Salesforce for license revenues
▪▪ Interface from Change Point for services revenues
▪▪ Revenue recognition functionality for deferred revenue on product
maintenance agreements
YASH performed some custom development that was unique to StreamServe
that included developing an interface to OCRA for legal consolidations,
personalizing all output forms, and developing 20 reports to support
regulatory compliance and internal reporting measures. The Euro Value-
added Tax (VAT) was a sales tax specific to the EU with guidelines changing
every two years. YASH configured the new VAT rules in the ERP system to
decrease the amount of manual intervention StreamServe might be required
to perform post-implementation.
Localization of Country-Specific Functionality Was
Important Element
StreamServe’s corporate language was English, but localization of
relevant subsidiary countries’ languages was an important aspect of the
implementation. YASH performed localization activities so that end-users
would be able to log-on and use SAP in their respective languages of Czech,
German, French and Dutch.
YASH designed an exchange rates upload program with an intuitive layout
that included international and local settings for currencies and different
date formats. Local currency codes for the Czech Krona, Euro, British
Pound, Swedish Krona, Singapore Dollar, and the US Dollar were built in
with the capability to keep the historic data of the exchange rates.
In addition, France had country-specific reporting needs for SAP Financials
and country-specific formats for SAP Sales and Distribution.
