POSITION SUMMARY:
The Exam Administrator is a full-time staff member who supports all areas of examination development for
certification and maintenance of certification secure exams. The Exam Administrator works closely with
Knowledge Assessment-Product Development (KAPD), Knowledge Assessment-Production and Analysis (KAPA)
and other ABIM staff as necessary. The Exam Administrator reports to the Director of Knowledge Assessment-
Product Development.

ESSENTIAL FUNCTIONS:
Assist the KAPD Exam Developers in the following areas:
Track and update the exam development schedule and communicate changes with KAPA production
staff that could impact exam production deadlines.
Determine appropriate deadlines for internal (Exam Developer and Editor) tasks and track/monitor
adherence.
Determine appropriate deadlines for external (subspecialty board/test committee members) tasks and
track/monitor adherence.
Work with other KAPD administrative staff and editors to produce materials for test committee
meetings. This may entail preparing meeting drafts and other materials for mailings or uploading
materials to the ABIM secure FTP site.
Determine when meeting date polls need to be sent to subspecialty board/test committee members
and work with KAPD coordinator to create and distribute the polls. Monitor responses and report
potential meeting dates to the appropriate exam developer.
Work with KAPD coordinator to ensure that subspecialty board/test committee member appointments
are accurate.
Monitor/track subspecialty board/test committee member appointments and report any upcoming
need for replacement members to the appropriate exam developer.
Gather and organize images or other media for review at committee meetings.

DEPARTMENT: KNOWLEDGE ASSESSMENT- REPORTS TO: DIRECTOR OF KNOWLEDGE
PRODUCT DEVELOPMENT (04) ASSESSMENT-PRODUCT DEVELOPMENT
Track/monitor new question prototype assignments, pool review assignments and other special tasks
assigned to subspecialty board/test committee members and send out due date reminders as
appropriate.
Act as an exam development subject matter expert to represent KAPD at cross-departmental meetings as
appropriate.
Maintain databases, spreadsheets, and schedules as needed, including data entry, database queries, and
reporting.
OTHER FUNCTIONS:
Participate in other KAPD and cross-departmental projects as appropriate.
Coordinate with Self-Assessment Product Manager to track/monitor MOC status of subspecialty board/test
committee members and send out reminders as appropriate.
Work with Self-Assessment Product Development staff to coordinate and track/monitor reviews of self-
evaluation products from external organizations that are applying for credit in the MOC program.
KNOWLEDGE, SKILLS & ABILITIES / EDUCATIONAL REQUIREMENTS:
Undergraduate degree strongly preferred; additional professional experience desirable.
Ability to communicate effectively, orally and in writing, with all levels of ABIM staff, physicians, and other
ABIM business contacts; ability to work effectively and professionally; and ability to build and maintain
effective relationships.
Ability to work independently.
Excellent organizational, administrative, and coordinating skills; careful attention to detail; ability to organize
work flow, prioritize a variety of tasks, and perform complex tasks with minimal supervision while meeting
deadlines.
Ability to prioritize multiple tasks and work concurrently on several projects.
Adaptability and flexibility in handling new projects and solving problems.
Trustworthiness and commitment to maintain confidentiality/integrity of copyrighted/secure business
materials.
Comprehensive and proficient computer skills, i.e., Word, Excel, Outlook and PowerPoint. Access, HTML
and XML skills highly desirable.
Experience with computer- or high-technology-based data management applications desirable (i.e., file
merging, tables/spreadsheets).
Competent spelling, grammar and proofreading skills; good typing and word-processing skills.
