MS Access used to track service provision via indicators that are mapped onto CPPI when data is entered.
This is the process that led us to our current system for tracking our services using a database and indicators.

Based on the “Factors to consider in development of sustainability action plan” on CIHR’s website, the 3 factors that are relevant to our database and indicators system are:

Leadership
Financial (cost-effectiveness of the system)
Relevance – How does tracking services/database & indicators fit with priorities (ours, Networks’ NCE’s)?
management decisions
progress reporting
Leadership – Who will be responsible for ensuring outcomes are met?
- each program/project responsible for ensuring their own KT outcomes are met. KT Core’s responsibility is to discover, articulate, and publicize success stories within the Network (part of Evaluation services)
- Who is responsible for continued implementation of the innovation and making modifications as new knowledge is brought forward?
- KT Core will revisit the indicators to update as needed. This includes both which indicators to continue using/not using (which ones to add/delete) as well as updating indicator definitions.
Financial – Can cost-effective strategies be used?
- Database we constructed was in MS Project – costs include: 1) license (through York, cheap), 2) employee time to enter data, 3) revisiting requirements for updates to database/system
- If your organization has more complex needs/requirements, it may cost you $$$ to gather requirements (Business Analyst), hire a developer to create a custom database, employee’s time to enter data on an
ongoing basis, pay developer to maintain/update system after it has been created and is being used, revisit requirements in future to update the system as needs evolve
