2. 1. Determine Event Theme
• Establish the event theme as soon as possible.
• Knowing the event theme will allow you advance to the
next stages of event planning.
3. 2. Keep Track of the Budget
• Expenses can add up quickly!
• It is important to keep track of your budget.
• Make sure you keep it current and accurate.
– This will prevent over spending.
4. 3. Make a Checklist
• Make your checklist easy to read and navigate.
– I recommend typing it out and saving the document. This allows
you to go back and update the list as you need.
• Include:
– Contact information
– Day of the event plans
– Basic things that need to be done (list step by step)
5. 4. Remember Nothing is Perfect
• Don’t expect the event to be perfect.
• Assume things are going to go wrong.
• This will allow you to be prepared and clam during a
mishap.
• DON’T sweat the small stuff!
6. 5. Know Your Guest!
• Keep in mind your guest’s interests.
• Ask questions.
– This will give you a good idea of their interests and
dislikes.
• If they are vegetarians, don’t serve meat.
7. 6. Have a Back Up Plan
• It is important to have a prepared back up plan.
• Keep in mind…
– Bad weather
– Last minute cancellations
– Illness
8. 7. Check Your Surroundings
• If you are planning an event at a venue with multiply
banquet rooms ask what other events are occurring on your
event date.
– If you are planning a wedding reception and the room over is a high
school prom, and can have an impact on the event.
9. 8. Make an Event Toolbox
• Prepare a Toolbox before the event.
• You never know when it will come and in handy.
• Toolbox should include
– Tape
– Fishing Wire
– Safety Pins
– Comb
– Tylenol/Advil
– Scissors
– Etc.
10. 9. Try to have fun!
• It is important at your event to try and have a good
time.
• If you look stressed or upset, guest will notice.
• Have a positive attitude and try to relax and enjoy
all your hard work!
11. 10. Evaluate the event
• Ask yourself…
– What could I have done better?
– Was it worth it?
– Did the guest have fun?
– Did I reach my goals?
– Would I do this again?
