2. Introduction
• This document aims at listing key issues in Data
Governance and study the value offered by KeeeX
• KeeeX is non intrusive, since documents retain normal
functionality, and there is no infrastructure
• Hence KeeeX needs not solve the whole technical data
governance problem, but may operate as a complement to
existing frameworks and infrastructures

3. What is KeeeX
KeeeX is a unique patented solution to seamlessly improve files to
• assert that they never changed, ensure authorship
• give them a web scale unique name
• index them with artificial, pronouceable words for instant
searches
• link them to author, signer, secret documents, context,
concepts, classification for instant context related searches
In the rest of the document, we'll use the following visual
to state that KeeeX addresses an issue

4. Information Security
(quoted from wikipedia)
Integrity
• the core feature of keeex: assert that data was not modified
Authenticity
• via embedded PKI signatures (gpg, ecc)
Availability
• by allowing many duplicates
• by not relying upon a software suite (files as usual)
Non repudiation
• by communicating the document identifier, which may not
be guessed or randomly collide with another valid document
4
5. Data Governance
(quoted from wikipedia)
• Data governance is a set of processes that ensures that
important data assets are formally managed
• Data governance ensures that data can be trusted and that
people can be made accountable for any adverse event
that happens because of low data quality.
• It is about putting people in charge of fixing and preventing
issues with data so that the enterprise can become more
efficient.
5
6. What KeeeX Offers
[...]important data assets are formally managed
• KeeeX lets users formalize semantics, processes down
to the finest level of detail
[...] data can be trusted and people can be made accountable of
low data quality.
• KeeeX embeds data integrity and authorship
[...] put people in charge of issues with data.
• KeeeX lets people collaborate and share organization
and viewpoints inside and around data

7. Data Governance
(http://searchdatamanagement.techtarget.com)
Data governance (DG) refers to the overall management of the
• availability,
• usability,
• integrity,
• security
of the data employed in an enterprise.
A sound data governance program includes a governing body or
council, a defined set of procedures, and a plan to execute those
procedures.
7
8. What KeeeX Offers
availability
• KeeeXed files require no infrastructure, and can be forever
duplicated, since proving a file never changed is a snap
usability
• KeeeXed files require no infrastructure, and KeeeX does
not alter their capacity of being opened, edited,
integrity
• the core feature of KeeeX: assert that a file never changed
security
• keeex has no infrastructure, hence is compatible with any
security, backup, protection, cloud... solution
8
9. Data Governance
(quoted from http://www.datagovernance.com)
“Data Governance is the exercise of decision-making and authority for
data-related matters.“
or
“Data Governance is a system of decision rights and accountabilities for
information-related processes, executed according to agreed-upon
models which describe who can take what actions with what information,
and when, under what circumstances, using what methods.”
Depending on the context, “Data Governance” could refer to:
• organizational bodies
• rules (policies, standards, guidelines, business rules)
• decision rights (how we “decide how to decide”)
• accountabilities
• enforcement methods
9
10. What KeeeX Offers
organizational bodies
• KeeeX ECM is a management tool
decision rights (how we “decide how to decide”)
• KeeeX allows for the definition of validation schemes and
processes
accountabilities
• KeeeX embeds file history and authors in documents
enforcement methods
• KeeeX requires that data has been properly categorized to
enter process chains and archival schemes

11. Goals of Data Governance
(quoted from http://www. architectureandgovernance.com)
By Martha Dember, http://www.architectureandgovernance.com/
content/7-stages-effective-data-governance
Executive Summary
"Data governance is not just a collection of ad-hoc data quality
projects, but the development and integration of a set of rules -
policies, guidelines, and standards - for managing the
corporation's data.
It is implemented by a data governance management team of
information technology and business associates who are unified
by a common goal to ensure that:
• data is what it is supposed to be (Data Quality)
• data is in the correct context (Data Integrity)
• data and metadata are accessible (Data Usability)
11
12. What KeeeX Offers
data is what it is supposed to be (Data Quality)
• the core feature of KeeeX: assert that a file never changed
data is in the correct context (Data Integrity)
• KeeeX lets files link to others by embedding references.
These references cannot be removed and can be searched
exactly (by their web scale unique identifiers)
data and metadata are accessible (Data Usability)
• data is what is always was, the file format is not corrupt by
KeeeX, and the metadata are written in plain readable
text inside the files themselves
• possibly many copies further improve accessibility
12
13. Goals of Data Governance
(quoted from http://www.datagovernance.com)
Typical universal goals of a Data Governance Program:
• Enable better decision-making
• Reduce operational friction
• Protect the needs of data stakeholders
• Train management and staff to adopt common approaches
to data issues
• Build standard, repeatable processes
• Reduce costs and increase effectiveness through
coordination of efforts
• Ensure transparency of processes
13
14. What KeeeX Offers
Enable better decision-making
• perfectly accurate semantic categories, perfect knowledge
of file lifecycle, including endorsements and references
Reduce operational friction
• aggregate data from multiple channels for instant availability,
allow for one click validation/agreement schemes
Protect the needs of data stakeholders
• by simply ensuring that the data can be found easily then
verified
Reduce costs and increase effectiveness through coordination of
efforts
• organization becomes a collective matter. Best practices
naturally emerge by sharing. Even process related searches
can be shared.14
15. Goals of Data Governance
(quoted from wikipedia)
• Increase consistency and confidence in decision making
• Decrease the risk of regulatory fines
• Improve data security
• Maximize the income generation potential of data
• Designate accountability for information quality
• Enable better planning by supervisory staff
• Minimize or eliminate re-work
• Optimize staff effectiveness
• Establish process performance baselines to enable
improvement efforts
• Acknowledge and hold all gain
15
16. What KeeeX Offers
Increase consistency and confidence in decision making
• keeex provides perfect knowledge
Decrease the risk of regulatory fines
• (see 'legal issues' slide)
Improve data security
• (see corresponding slide)
Maximize the income generation potential of data
• by making data perfectly traçable and verifiable, and
allowing to promote it to the level of company assets
Designate accountability for information quality
• by perfectly identifying the authors
16
17. What KeeeX Offers
Enable better planning by supervisory staff
• via data searches tuned to the finest level of detail
Minimize or eliminate re-work
• by knowing perfectly the state of documents, and by
allowing to validate documents by components (contracts)
Optimize staff effectiveness
• by enabling perfect per user listing of tasks, and allowing
ultra simple and adaptive workflow management
17
18. Legal Issues
(quoted from http://fedisa.eu)
A legally compliant document management system must satisfy
the following criteria :
• sustainable, long lasting file format
• ability to identify a file's origin
• capacity to assess a file's integrity
• master the life cycle of files
• respect per document type rules of conservation
• capacity to retrieve by criteria
• capacity to destroy by criteria
18
19. What KeeeX Offers
sustainable, long lasting file format
• KeeeX is compatible with many formats, including archival ones.
ability to identify a file's origin
• KeeeX traces previous versions and authors and context
capacity to assess a file's integrity
• core feature of KeeeX
master the life cycle of files
• KeeeX embeds versions and references, traces endorsements
respect per document type rules of conservation, and
capacity to retrieve by criteria, and
capacity to destroy by criteria
• by enabling fine tuned data searches, and remaining compatible
with file system searches and edit
19
20. Conclusion
• We have seen that KeeeX helps at solving a large subset of
clearly identified issues in data governance.
• It does so at a very limited cost thanks to the absence of
infrastructure and of working at the document level.
