2. Collection Survey
Introductory Thoughts:
Jennifer Wiley’s Fox Chapel Area High School Spring Musical Collection was left as
closely structured to original order as closely as possible. The series became evident very
quickly upon examination of the collection. Miss Wiley kept photographs, shots both on stage
and backstage, from the productions she was a part as well as notes from friends congratulating
her on a job well done after the performances. She also held onto programs from the shows she
was a part of, both as a cast member and as a member of the stage crew. There were also a few
costume items, one full outfit and one hat, that were worn by Miss Wiley during her
performances. Two miscellaneous memorabilia items were also included, one doorknob from
the set of the Wizard of Oz in 2004 signed by Jennifer and some other cast members and a
shadowbox commemorating her achievements within the choral department, including
participation in the spring musicals. Additionally, there were some digital images from various
stages of the production process of her senior showing of Seussical the Musical in 2005.
Necessary preservation steps for the collection have been noted, though in general the items are
in good condition. In order to fill some gaps that became apparent in the survey of the
collection, it is hoped that the Fox Chapel Area High School and the Wiley family may be able
to donate additional items. The Wiley family wishes to preserve this collection for sentimental
reasons, but also hopes that the materials may be of use to researchers interested in theater,
especially high school musicals.

11. Collection Proposal
Mission Statement
The mission of Jennifer Wiley’s Fox Chapel Area High School Spring Musical
Collection is to document Miss Wiley’s experiences while participating in various spring
musicals during her time at Fox Chapel Area High School. The collection is intended for her
personal use during her lifetime and will be maintained in order to preserve the items so that they
might endure beyond that time and be of use to researchers, especially those interested in high
school musical productions.
Role for the Specific Audience
In her personal use, Miss Wiley can use the collection to reflect on her memories of high
school and, more specifically, her times on stage. Later in life, she may be able to share these
items with her family to supplement stories or use the items to remember those who shared the
experiences with her and the relationships she shared.
Role for Historians/Scholars in General
For researchers in general, this collection can be used to study parts of a high school
musical production. The collections assortment of programs and costume pieces could be of
great use in understanding the actual production process while the photographs, notes, and
miscellaneous memorabilia could be used to shed light on some of the more personal culture
aspects of high school productions, especially when concerned with the years 2003-2005.
Current Boundaries of the Collection
The collection at this time is limited in that it is heavily weighted in personal photographs
and notes of Miss Wiley’s. If more items pertaining to the production process were added
researchers could gain valuable insight into more of the inner workings of high school musical
productions.
Future Areas for Growth
Because Miss Wiley graduated from Fox Chapel Area High School in 2005, there is little
room for growth in this collection. However, if general production items produced during those
years could be found, the collection could be greatly increased with further evidence of the
technical production process of a high school musical.
Realistic End/Mature Phase of the Collection
The collection at this point is most likely at its maturation as Miss Wiley’s graduation in
2005 ended her time as part of the choral program at Fox Chapel Area High School. However, if
it is possible to find materials that provide insight into the technical side of the production it
could create a more complete collection.
12. Value Assessment
Jennifer Wiley’s Fox Chapel Area High School Spring Musical Collection primarily is a
source of great personal value for the Wiley family. Jennifer’s involvement in the various spring
musicals and choral programs at Fox Chapel Area High School during her time there made up a
great deal of her high school experience. This collection of notes, photographs, and other
memorabilia provide the family with reminders of those times and the people associated with
Miss Wiley during that time. Additionally, the items of the collection provide evidential value of
the methods of production of the Fox Chapel Area High School Choral Department and
informational value about the culture of the production process of a high school musical, all of
which is of great use for additional researchers.
The items of greatest personal value to the Wiley family include the 2005 personal note
of congratulations to Jennifer from her friend Hannah and the 2005 digital image of Jennifer’s
collection of flowers, cards, and balloons from friends and family following performances. The
note is from a lifelong friend of Jennifer’s who was also a member of the pit orchestra and
expresses the array of emotions of being involved in such a project together with only months
left until graduation and the end of a large chapter of their lives. The digital image is a reminder
to Jennifer of the number of friends and family who supported her during her performances.
The shadowbox serves a dual purpose of personal value to the family as well as both
informational and evidential value. The shadowbox contains not only a school letter, but Jennifer
also taped various clippings from the school newspaper and a speech from the choral director to
the graduating senior class. To Jennifer, these items signify her accomplishments within the
program and her relationship with the director and the other members of her class. To
researchers, informational value can be extracted through the direct references to the various
activities within the choral department and the people who were a part of it while Jennifer was
there. Evidential value can be found in the list of achievements of the senior class as a whole
representing the department in the speech clippings.
Additional informational value can be found in the 2005 circus romper from Seussical the
Musical worn by Jennifer during a circus scene and from the 2004 photograph of “Dorothy” and
“Munchkins” on stage during dress rehearsal. The romper offers some insight into the design
and materials that went into the costume development as part of the production process of high
school musicals, especially in comparison to higher budget productions. The photograph shows
a wide variety of cast members in costume, allowing researchers to be able to find a connection
from this collection to other cast members and their roles in the 2004 production of the Wizard
of Oz.
Even more informational value with the addition of further evidential value can be found
in the 2003 program from Bye Bye Birdie. Not only does the item list all parties who
participated in the various levels of production for the performance, but it also includes personal
messages from family members to cast members listed under the title of “Benefactors”
demonstrating that this service was a tool used to gain funds. Evidential value is found in the
titles of various parties including everyone from the main cast to the ushers, providing evidence
of the way the actual production functioned and was organized.
It should not cost much to maintain these materials as they in general in good condition
and the repository can properly store them. Since all the documents were produced well after
1990, they should all be on acid free paper, additionally cutting back on the amount of work and
materials required for preservation.

2003. It lists all the different categories of participants as well as the individuals involved on all
levels. It also has several ads from local businesses that paid for the space in order to support the
production and promote their business.

This blue and purple circus romper is a costume from a circus scene in Seussical the
Musical worn by Jennifer. It is styled from general Dr. Seuss designs.

Shadowbox
The front of the box contains a letter with pins signifying Jennifer’s years of involvement
in the choral program as well as a small plaque listing the various activities Jennifer participated
in within the program. On the back of the box, Jennifer taped a picture of the 2005 senior cast
from her last musical (Seussical) clipped from the school newspaper and various clips from a
speech delivered by the head of the choral department including comments on Jennifer
individually as well as comments on the senior class of the department as a whole.

14. Condition Assessment
The collection is less than ten years old and is therefore in overall good condition. Minor
defects include bends in the corners of photographs, staples left in notes, and slight staining on
programs. The only major defect is one photograph that has been torn in half.

Ideal Environment:
Ideally the collection should be stored in an environment with careful control of
temperature, humidity, air quality, and light. Keeping the collection at 68 degrees with 45%
humidity will discourage the presence of biological threats such as mold and will help to prevent
all paper materials from drying and becoming brittle. Additionally, controlling the air quality
will minimize pollutants that could soil or stain the collection. By keeping the collection in
archival boxes, heat and UV radiation will be limited, helping to prevent fading, oxidation, and
discoloration. Finally, keeping the materials in acid free folders will help to prevent tears,
corrosion, foxing, and more from happening to the individual documents.
Currently, the collection is not being stored in the ideal environment. The physical
materials instead are being stored in a basement apartment with limited control of temperature
and humidity and no more control of the air quality than a smoke/carbon monoxide detector.
Additionally, the items are being stored in a wooden desk drawer instead of in archival boxes,
which does protect them from direct light, but little else. Methods that can be taken to address
this issues until a more suitable environment can be found will be addressed below in In-House
Preservation Situations.
Disaster Contingency Plan
Should a disaster or emergency arise in the current environment housing the collection,
we will commit to doing whatever is possible to take the materials with us upon evacuation. The
digital materials currently stored in the database will be backed up via an external Trusted
Digital Repository (TDR), keeping them safe from any damage done onsite. As the physical
materials in the collection are digitized they will also be added to the TDR, adding additional
security in the face of disaster. Should any damage become of the physical materials in the
collection, outsourcing preservation steps (outlined below) will be taken as immediately as
possible. Additionally, the repository will commit to maintaining smoke and carbon monoxide
detectors and will install sprinklers as methods of disaster prevention. This plan should be
updated as soon as a new environment is found and every two years regardless of such a change.
In-House Preservation Situations
The less than ideal circumstances of the current environment have already been
addressed, but there are some measures that can be taken to preserve the collection in its present
22. repository holding. Immediately, a humidifier should be brought in to help control the humidity
levels of the repository and the items should be moved from the wooden drawer into a metal one
that won’t retain its own levels of humidity and biological threats. As soon as possible, the
collection materials should be moved from the drawer to acid free folders and archival boxes to
better help prevent damage to individual items. Additionally, boxes for the 3D artifacts should
also utilize unbuffered tissue paper to separate the individual items and add protection. All
boxes should then be kept on a shelf out of direct sunlight and high enough off the floor to avoid
damage from flooding. The current digital items should be backed up on an external TDR and it
is highly recommended that the physical photographs and documents in the collection be
digitized and added to the database (and the TDR) as soon as possible to preserve their
information as the physical items wear over time.
It is also recommended that new technologies in digitization and digital preservation be
watched and utilized as appropriate in order to ensure that the collection is always accessible and
preserved. The items of the collection should be assessed every year to detect any emerging
signs of damage and outsourced as needed for conservation repairs.
Outsourcing Conservation Situations
Due to the restrictions on the current repository, all items will be outsourced to an
external conservation institution as soon as signs of aging and damage are detected.

24. Collection Development Policy
Current Gaps in the Evidence
Currently the collection is missing items that shed light on the more technical aspects of
the production process of these high school musicals. It is also missing evidence from the other
parties involved in the production including the pit orchestra and the stage crew.
Desired New Avenues in the Collection
Currently the collection is heavily weighted in personal memorabilia with sentimental
meaning for Miss Wiley. Though these items give clues as to what it was like to be a part of
these performances, it would benefit the collection to expand to include more technical evidence
of the process. It would also be beneficial to include materials from other key groups in the
performance beyond the cast (such as the stage crew and pit orchestra) and some evidence of the
marketing and public relations programs associated with each show. With the addition of these
materials, the collection would become more complete in showing the entirety of the making of
high school musical and would therefore offer more to researchers and become of interest to a
wider audience.
Likely Sources of New Additions
The most likely sources for new additions to the collection would be the Wiley family or
Fox Chapel Area High School’s Choral Department. The Wiley family may have access to
additional materials that once belonged to Jennifer Wiley, but were left behind in her parents’
house after high school or were otherwise misplaced during her lifetime. The Choral
Department may have materials that were a part of the production process of the musicals Miss
Wiley participated in that she did not collect or have access to at the time.
Items to be Shared with Other Collections
Due to the personal nature of the existing collection the only other collections that could
share its materials would be those related to the Wiley family. However, if some of the materials
suggested to cover the more technical aspects of the production process were acquired, these
parts of the collection could be shared with other theater collections in the repository.
Item-Level Survey of Needed Artifacts
These items may be of the best use to expand the existing collection in the directions
outlined above. Items from the family will be added through donation without a financial
transaction. Acquisition of items from the Fox Chapel Area High School may need to be
negotiated on an item-by-item level. Each item has been given a priority rating, 1 being of the
highest priority and 5 the lowest.

28. Public Services Plan
Jennifer Wiley’s Fox Chapel Area High School Spring Musical Collection is currently
meant primarily to be preserved for sentimental reasons for the Wiley family. For this reason,
access is restricted to the family’s discretion. At this time the family uses the collection to
remember the people who were also a part of the process, the relationships Jennifer had with
those people, and the experience of being a part of these events. Miss Wiley’s participation in
the choral program at Fox Chapel Area High School made up a large part of her high school
experience as a whole and is therefore extremely important to both Jennifer and her family.
In the future, the collection could be made available to the public via digitization and
donation to a local historical society. This would allow for greater access by researchers who
might be interested in studying aspects of theater, especially high school musical productions, as
well as those interested in other areas including interest in high school culture in the early 2000’s
and interest in adaptations of the specific shows Miss Wiley was a part of. Digitization of the
materials would allow for the greatest amount of access as it would not only allow for a larger
audience than the local community may hold but also would protect the items from excessive
wear from handling, therefore expanding the life span of the materials.
Additionally, it may be decided that exhibits may be created for the collection. Should
this be the case it would be important to consider decide if the exhibit would be displayed in
person or online and what the focus and target audience would be. Once these decisions are
made, the materials would need to be surveyed for their condition and descriptions would need to
be generated. If the exhibit is meant to be in person, the placement of the exhibit will need to be
carefully decided upon. The collection still needs to be kept out of direct sunlight and humidity,
temperature, and biological threats must still be considered and controlled as much as possible.
It is also important to make sure that each item properly fits the display housing to limit damage.
However, as the collection begins to become available to the larger public there are some
issues that should be taken into consideration. First, as the collection is of great personal value
to the family there may be issues of privacy that need to be addressed by the family through a set
list of restrictions for use and duplication requests. Second, as some of the items in the
collection were created by the Fox Chapel Area High School there may be additional
permissions required from the school and additional restrictions for use and duplication or other
service requests may be necessary. Third, as the physical items gain further use, it may become
necessary to update the repository’s policy for preservation and conservation. Finally, there are
always security risks when making items available to the public.
Although the items in this collection may not be of the highest monetary value, theft is
still a threat that should be accounted for. General security measures should be put in place for
the repository including locks and alarms for the building as well as careful issuance of keys.
Unfortunately, sometimes the threat is not from the common thief, but from the very
people the repository is working to serve. For this reason a researcher should be required to
present a valid form of identification and all bags should be left at a checkpoint. Additionally,
researchers should not be allowed into the stacks and should be limited to how many items can
be accessed at one time. A staff member should also always be present in order to supervise the
researcher’s use of the materials.
Theft however is not the only security risk of making the collection open to the public. It
will be important to also add measures to ensure that researcher’s are not damaging the materials.
Staff supervision will also be necessary for this. Additionally, researchers should not be allowed
29. to use pens while viewing the materials (pencils only) and tools such as magnifying glasses and
cradles should be kept on hand by the repository for researchers to use to make sure that items
are viewed with care.
Security also extends beyond theft and it is important to stick to the established disaster
plans and prevention measures set by the repository. These items have been outlined in previous
sections.

Biographical History
Jennifer Wiley grew up in Pittsburgh, PA and graduated from Fox Chapel Area High School in 2005. While in
high school, she participated in three spring musicals among other choral activities, acting as part of the stage
crew in the 2003 production of Bye Bye Birdie and performing in The Wizard of Oz in 2004 and Seussical the
Musical in 2005. She then studied Latin and Classics at the University of Virginia where she graduated in
2009 and is currently pursuing her Master's Degree in Library and Information Sciences at Syracuse
University.
Scope and Contents of the Collection
Jennifer Wiley's Fox Chapel Area High School Spring Musical Collection contains photographs, digital
images, notes, programs, costume items, and miscellaneous memorabilia collected during Wiley's
participation in Fox Chapel Area High School's productions of Bye Bye Birdie (2003), The Wizard of Oz
(2004), and Seussical the Musical (2005).
Photographs: includes personal photos taken back stage during the performances by Miss Wiley, personal
photos taken of the stage during the performance by audience members, and professional photos taken by a
local photographer during rehearsals.
Digital Images: six digital photographs personally taken by Miss Wiley during her senior year performance
of Seussical the Musical. These include photos backstage during the performance, photos of the cast party,
and one photo Miss Wiley took in her home after the last show of her collection of flowers and gifts given by
friends and family after each performance.
Notes: personal notes written by Miss Wiley's friends, family, and fellow cast members to congratulate her for
a job well done. These were often attached to flowers or other small gifts (not included).
Programs: Includes two programs, one from Miss Wiley's sophomore year performance of Bye Bye Birdie
and one from her junior year performance of The Wizard of Oz.
Costume Pieces: Includes two items that were once a part of Miss Wiley's various costumes. One is a hat
worn while playing a Munchkin in the Wizard of Oz and one is a romper worn while playing a member of the
circus in Seussical the Musical.
31. Miscellaneous Memorabilia: Includes two items: a shadowbox and a doorknob. The shadowbox contains the
school letter Miss Wiley obtained for her participation in various choral activities, including the spring
musicals. To the back of the box, Miss Wiley taped excerpts from a speech given by the choral
instructor/musical director about her time in the choral program and a clipping of a senior photograph that
appeared in the school's newspaper. The doorknob was a piece of the set during the Wizard of Oz and was
signed by Miss Wiley and some friends.
