Top 3 tips for systemising your
serviced based business
Systemising a service based business doesn’t have to be
hard, but it is essential if you are to create a business
that operates in a structured way, using smart and
streamlined business practices. Creating systems and
structure, for most business is at the bottom of the to do
list, but hopefully this article will give you some ideas as
to where and how you can start creating systems to
simplify and streamline your business so that you have
more time to focus on money making and value adding
activities and less time on repetitive and routine
activities. Here are my top 3 tips for systemising your business that you can start
working on right away:
Top tip number one: Make sure you have a process in place for responding to
enquiries from new clients. I don’t know now many times I have made enquiries to
a serviced business (because I need their help!) only to be disappointed because
they never got back to me.
This seems like a common sense tip, but you would be surprised just how many
businesses overlook this important process. Start by working out the timeframe that
you will respond to new client enquiries ie: same day, within 24 hrs, 48 hrs. Then, at
the beginning of each day, set aside time in your schedule to action new client
requests. After all, we’re talking about getting new money into your business, so this
one should be a real priority.
Top Tip number two: Create a Frequently asked questions section on your
website so that existing and new customers and clients can refer to if they have
questions. This can be something that you build up over time as questions come
through so you know that you are putting up things that people want to know. But
having said that, you could definitely start with some simple things like any terms and
conditions that you operate your business by.
Top tip three: Set boundaries in your business. This is a must if you want to
create work life balance. Boundaries are what you set to determine how you will
operate your business are things like, what are your working hours, when do you
take on new clients, what type of people don’t you work with, do you answer your
work phone on weekends etc.
Its about identifying what you want from your business and where you draw the
line, because if you don’t draw the line and create boundaries between you and your
business and you and work customers/clients you will become a slave to both.

Boundaries are not hard to set. You just need to think about what is important to
you and then write it down and stick to it no matter what. If you want to you can
even put it into a “business policy” that is displayed on your website so that you are
being completely transparent about how you do business.
When put into practice these three tips will increase your customer base as you will
be better managing your incoming enquiries, and reduce the time you spend on
responding to questions from both new and existing customers and clients.
Finally, you will enjoy your business more because it is not controlling you – you
have set your boundaries and your business operates in alignment with them.
