Benefits of Employees and Employers
Employees take advantage of their employers with respect to time. They arrive late to
work, leave early and take long lunches, so employers end up paying for work that is
not being performed.
The obvious cost of stolen time is in paying employees when they are not working or
completing the job. A hidden cost is the loss of productivity. After the employee is
done, the work is still not complete. More people need to come in to perform overtime
to get it done, which means more money out the door for the employer.
First and foremost, companies are eliminating time theft by identifying the root causes.
They are implementing policies that address the issues that the employees might be
facing and they bring in workforce management technology to enforce those policies.
After the fact, they need to verify, audit and report to make sure that the policies are
set in place and that employees are following them. These steps eliminate time theft.

Benefits of Employees and Employers
Cloud implementation for time and attendance has dramatically changed the time and
attendance environment in a couple of important ways. First, the client used to have to
install software on their hardware in their facility. They would have to maintain that
hardware. They would have to do patches and upgrades on the software. They would
have total responsibility for the software once it was installed. Now, with cloud-based
solutions, the provider hosts the software and the clients, managers, supervisors and
employees are able to access that time and attendance solution from anywhere using
many different devices. Second, the time and attendance software no longer needs to
be installed on each employee computer. Employees can access it with any browser
without need for a browser configuration, from anywhere in the world. Whether you
are sitting at your desk and you need to punch in, or if you happen to be on the road in
Asia, you access it through the same look and feel and the same browser.
When most people think of the cloud, they think of software, and they think of data
living somewhere that you access through a browser. For time and attendance, we
have these other data collection devices such as time clocks and terminals that are

physically mounted in client environments. I remember the days when they all used to
be wired with RS45. It was a long and complicated process to wire terminals and get

them up and running. Now, with the invention of IP-based time clocks, the time clock is

them up and running. Now, with the invention of IP-based time clocks, the time clock is
just another device on the network. That time clock will sync better with the software
and be more interactive with the clients, employees and managers. That cloud system
works better with both the time and attendance software and the software located on
the time clock. It is automatically upgraded and it can instantly show an employee
information that will allow him to self-serve many functions, as well as give managers
local data. If managers are not able to get back to their desks, they can still get
information for employees, review leave requests and access other local data.
Most people think of the impacts of the cloud from a technology standpoint. There are
huge advantages there, but it is the business model that is completely flipped on its
head. Previously, we had clients that had huge capital expenditure outlays when they
purchased software and licenses, and then they depreciated that over time. Now, we
have changed the model to a software as a service (SaaS) model. Clients now have
small operating costs every single month. It is a small cost per month as opposed to a
larger cash outlay that depreciates. Today, there is also a hardware as a service (HaaS)
program that follows the same model with small operating costs every month instead
of the larger cash outlay for hardware.
Many companies today are adopting cloud solutions across their businesses. Human
resources and time and attendance functionality are just catching on now. Part of the

reason is that the hardware solutions required for time and attendance – clocks and
terminals – are now at the point technology-wise to take advantage of cloud solutions.
The hardware as a service model allows companies to recognize a lot of the cost
advantages and technology advantages that the cloud provides. Also, today’s workforce
is mobile due to travel and just the natural state of people on the road. The cloud
allows time and attendance to come of age and follow the way businesses are evolving
into that global footprint.
