Infosys Technologies, a global IT firm, needed to make it easier
for its geographically dispersed team members to share
information. The company chose Microsoft SharePoint Server
2010 as the foundation for its enterprisewide collaboration
platform. With it, Infosys expects to improve productivity and
customer service, simplify IT management, and reduce costs.
Business Needs
India-based Infosys Technologies is a
global leader in IT consulting. With
nearly 115,000 employees, it operates
from more than 50 offices and
development centers around the world.
Infosys Software engineering project
teams involve people from multiple
offices, who relied on file-share based
methods for storing and sharing
information, including requests for
proposals (RFPs), budgetary worksheets,
and source code. Information existed in
silos: on local and network file shares,
storage appliances, and in Microsoft
Office SharePoint Server 2007–based
portal sites. With customers located in
different time zones, it was challenging
for teams to access project information
on-demand, to respond to customers’
needs. And, due to security concerns,
employees were not allowed to expose
data on file servers over the Internet,
making it impossible for those working
from customer sites to access
documents.
“Our SharePoint sites were the only easy
and protected way to share confidential
information,” explains Purushotham K,
Practice Manager at Infosys. But, Infosys
hadn’t implemented centralized
provisioning or management of its
SharePoint sites, nor were these sites
exposed on the company’s extranet.
Infosys operated 1,200 servers, each
server farm had its own administrator,

and management costs were high.
“Departments asked for more storage,
better backup, better virus protection,
and access to the SharePoint sites over
the extranet. We also risked losing data
as individual administrators followed their
own backup regimens. We couldn’t
sustain this environment and provide
capabilities users needed without a
centralized farm and simpler
administration.” Sites also contained
many custom-built applications that
weren’t aligned to the IT department’s
standard guidelines.
Solution
In 2009, Infosys began to implement a
collaboration platform, called Infosys
Collaboration Platform (ICP), based on
Microsoft SharePoint Server 2010. Says
Purushotham K, “We felt we could take
advantage of SharePoint Server 2010
enhancements right away, without doing
any custom coding.” For instance, using
the new version’s co-authoring features,
dispersed team members can
simultaneously work on RFPs and
budgets.
Microsoft OfficeWeb Apps, the online,
lightweight versions of Microsoft Office
2010 programs, can be used by
employees to edit and share documents
stored in SharePoint Server 2010. And,
with Visio Services in SharePoint Server
2010, employees can render Microsoft
Visio diagrams within a web browser.
Infosys also plans to take advantage of
the managed metadata capabilities of
SharePoint Server 2010 to apply tags to
documents. “This will makeit easier for
employees to find information,” says
Purushotham K.
Finally, Infosys is consolidating
management of its SharePoint Server
environment with its central IT
department. The newer version of the
product provides the company with
enhanced capabilities for monitoring
server performance and usage, including
a unified logging database. The
SharePoint Health Analyzer enables
administrators to schedule automatic
checks for potential configuration,
performance, and usage problems in the
server farm, and, the sandboxed
solutions feature of SharePoint Server
2010 helps the IT department protect
the integrity of the server farm and give
site collection administrators the
authority to manage the applications in
their site collection. The company plans
to deploy ICP to its employees by 2010.
Benefits
The SharePoint Server 2010–based ICP
environment will make it easier for
Infosys employees to share information
and respond to customers. Sites will be
centrally managed, and administration
will be easier and cheaper.
More Effective Collaboration
Infosys will use ICP as the central
location for employees to store and
share project-related information. Using
Office Web Apps and Visio Services in
SharePoint Server 2010, employees will
have continual access to information.
“With SharePoint Server 2010,
collaboration will happen more easily
among our development centers and
customer time zones,” says
Purushotham K. With nearly 100,000
Microsoft Officeusers, many using
different versions of the software, Office
Web Apps will help the company
overcome document version
compatibility challenges.
Higher Productivity
Easier access to information will help
boost employee productivity and overall
responsiveness to customers. “We will
be able to broadly improve productivity
because teams will have easy access to
accurate data—that they can then
deliver to the customer,” says
Purushotham K.

going to use Office Web Apps
extensively, and we expect it to
drastically reduce the time it takes to
complete RFPs and budgets.”
Streamlined IT Management
With the SharePoint Server 2010
deployment, Infosys will transfer
management of all of the company’s
SharePoint sites to the central IT
department. “If a department wants to
increase its storage space, it will be easy.
Backups and virus protection will be
performed according to company
standards,” says Purushotham K. “And,
with SharePoint Server 2010, our insight
into the performanceof the system is
much easier. This is critical to ensuring
server health. Also, the SharePoint
Health Analyzer helps us fix
configuration and performanceissues
with out-of-thebox tools.” Infosys also
expects to cut costs through centralized
management. “With SharePoint Server
2010 and ICP, we will reduce our overall
time spent on administration by 30 to
40 percent,” says Purushotham K.
