3. OUTLINE
Relay For Life
Committee Position Responsibilities – Sponsorship Chair
Develop and/or become familiar with the event ‘Sponsorship Proposal’ package.
Identify, recruit, and train volunteers to help secure in-kind and financial support from new and
returning event sponsors.
Hold regular Sponsorship Committee meetings with Sponsorship Committee Members to build a plan,
share progress, and exchange ideas.
Ensure that all past sponsors are contacted and invited to re-sign as sponsors for the upcoming event.
Work with the Team Development Chair to develop a list of possible sponsors from businesses and
organizations affiliated with new and returning teams.
Establish and communicate the sponsorship deadline to all potential sponsors, committee members,
and team captains to ensure appropriate recognition is given to all sponsors.
Present ‘Sponsorship Proposal’ package to community business owners/leaders.
Keep careful records of which businesses and/or organizations have been asked (and by whom) to
sponsor the upcoming event to avoid duplicate asks.
Accurately record data for all committed sponsors and provide the information to the Event Chair and
Staff Partner (including the name of the sponsor business/organization, contact information, and
sponsorship gift level).
Work with fellow committee members and ACS staff to ensure all sponsors are appropriately recognized
(e.g. name/logo on event signage, name/logo on event t-shirt, name/logo on event print materials,
name/logo on event website, special mention during event announcements, etc.) at the kick-off, the
event, and the wrap-up.
Invite all sponsor contacts to attend the kick-off, team captain meetings, the event, and wrap-up. This
includes sending invitations, collecting RSVPs, making reminder calls, and welcoming them to the event
upon their arrival.
Send thank-you letters, certificates, and/or awards to all sponsors post-event.
Send thank-you letters or notes to all volunteers who helped recruit sponsors.

•Always keep sponsorship folders in your car/attache.
•Keep your business cards on you at all times, pass them
out everywhere, leave them on counters, fishbowls etc.…
•Always talk about the up- coming event to everyone!
•Listen for ques and openings for the opportunity to
provide a kind service.
•Set up meetings between store owners who can help
each other.
•Connect neighborhood members with each other for
support.
