Your users may struggle with these questions:
· Should I share a message via Skype for Business instead of Yammer, Office 365 Groups, or Exchange?
· Should I collaborate on data using an Excel sheet or a SharePoint list?
· Should I share a file in Outlook, in a meeting, from OneDrive for Business, on Yammer, in a Group, or in a SharePoint site?
What happens when your users can't decide what technology or feature to use? They use what they know, or what’s easy; even if better options exist. In this session, join Richard Harbridge as he helps you maximize the value of your Office 365 investment by providing the guidance you need to help your users make better, more effective decisions on how they get work done.

8. What are those new products/capabilities that influence when to use what?
SO WHAT ARE THE NEW
“AND” OPTIONS WE
SHOULD PLAN FOR?
9. Yammer now is improved by adding a SharePoint team site and document library,
OneNote, Planner and Outlook group calendar (coming soon) to every group.
YAMMER
INTEGRATION…
10. It doesn’t just enable selecting documents from SharePoint but provides the rich
previews we know and love.
YAMMER
INTEGRATION…
11. Yammer also gives access to a shared notebook in OneNote. This means no more
Yammer Notes (Will convert existing Notes to Word and store in the library).
YAMMER
INTEGRATION…
12. Yammer now provides quick access to Planner’s simple-to-use task management.
This lets teams create new plans, assign tasks and track progress around a group.
YAMMER
INTEGRATION…
13. If you receive an email that would benefit from open discussion and sharing,
you can forward it to Yammer by typing the name of your group in the recipient list.

Office 365 Groups created elsewhere in the suite will have conversations in Outlook.
YAMMER

16. Where do people work? Would connectors help improve the community? Do you
need Governance/Compliance features that Groups have?
SO WHERE SHOULD
YOU BUILD A
COMMUNITY?
17. When you create a group, Office 365 gives the group a shared inbox, calendar,
OneNote notebook, a Planner - and now, a full-powered SharePoint team site.
OFFICE 365 GROUPS &
SHAREPOINT TEAM SITES…
18. Permissions is still a fair reason to use SharePoint instead. As are Intranet sites.
WHY BUILD
SHAREPOINT
TEAM SITES?
“SharePoint does provide the ability for Site Owners to specify different permissions on resources. Office 365
Groups promises a permission model whereby all group members have access to the group’s resources across
workloads (e.g. conversations, files, notebook, etc.). To deliver consistency, SharePoint site collections
associated with a Group will also follow this model. So, a group (site) owner can add new permission levels
and assign to new users or groups on a resource, but would not be able to remove the permission levels
assigned to the group’s owners or members. We are working on delivering a new permissions management
UX that will allow for group (site) owners to change the group members’ permission level from Edit to Read-
only (and vice versa) but you would not be able to remove the members from resources in the SharePoint site
collection.”

31. @RHARBRIDGE
DOES FLOW REPLACE WORKFLOW?
Today for basic automation and integration you can do quite a bit with flow beyond
what workflows can, and they can compliment one another.
1. It’s still new.
Admin/Governance not as comprehensive (go to Logic Apps). You can’t trigger a secondary Flow from a primary,
it can be painful to reorder steps, API max connections (by app, not user), etc.
2. It Is Simplified.
Convert to Azure Logic App (one-click). There is almost no limit to what you can do when you move up to the Azure
level around process automation and integration.
3. It Provides New Options.
We don’t always have to defer to full application development if there is a way to build what is needed without the
same rigor and specialized skill set.
32. @RHARBRIDGE
The PowerApps experience is quite streamlined today. In it’s current
state users must configure and design each field/screen as desired.

It is undoubtedly easy and intuitive to share. Considerations around access to

DO POWERAPPS REPLACE FORMS?
PowerApps does not match InfoPath and SharePoint Designer from a feature
parity perspective. It makes it easier to build business applications “without code”.

60. Remember that your enterprise strategy should indicate purpose and guidance.
Messaging & Calendaring Platform (Outlook & Exchange)
Purpose: This is our corporate e-mail and calendaring solution.
Best for: Corporate email communications (both internal and external) and to manage calendars.
Example of high level guidance: Dialogue and decision making with small groups, where
information is sensitive and should not be shared broadly.
Requests for approval or funding for an initiative
Discussions about the direction of a project
Reminders for deadlines
Calendar management
Think twice before using for: Personal email communication
Social Collaboration Platform (Yammer)
Purpose: Corporate social networking and social collaboration solution.
Best for: Exchanging ideas, news and thoughts. It is also great at engaging others and sparking a
conversation around a specific topic.
Example of high level guidance: Dialogue, social collaboration and networking take place on
Yammer. It is used to share network with colleagues to develop greater belonging and connection.
• Ask questions and exchange ideas • Internal contests
• Brainstorm w/ virtual/cross-segment teams • Recognize performance w/ praise
• Place where employees can practice building online reputation with quality contributions
Think twice before using for: Extremely confidential or private information (while you can
do this within Yammer safely there may be better options for you to leverage).

Often initially comprised of early adoptions. These users may adopt & use new
technology once they are aware of it or have an interest in the technology.
‘Did you know’ tips & pre-launch communication can accelerate this groups
adoption. Use this group to share and influence others.
Users need help understanding how to change. How can
they use the technology? How should they use it? Help,
coaching, how to tips, training, contests & challenges
help this group of users the most.
2 Users need to understand the value of
changing. Sharing stories, benefits,
contest winners, & business impact
of the technology will be critical.
67. PLANNING FOR ADOPTION…
It turns out we need to be more tactical and granular to drive meaningful
commitment. The answer? Plan and execute campaigns!
Commitment
68. PLANNING FOR ADOPTION…
Developing a roadmap for adoption where we plan activities before launch,
during launch and after launch is important. Plan and execute campaigns!
Interest
69. PLANNING FOR TIPS…
When each day’s Yammer tip is posted by a member of the tip team it ensures
that these tips come from different users which gets more people involved.
70. PLANNING FOR TIPS…
Tips drive users to take action, should be themed, should be pre-written before
the start of the campaign, and should relate to challenges/contests.
71. PLANNING FOR CHALLENGES…
Each week (or along with the tips) we need to create clear action items or
Challenges that users can accomplish to put what they learned in practice.
Starter List Of Sample Challenges can be found in the
“Contests, Challenges & Ideas For Office 365”
document in the Office 365 Resource Kit
(http://Office365Resources.com)

73. PLANNING FOR CONTESTS…
The goal of each contest is to get the users to take an action (upload a profile picture,
download a mobile app, etc.) and those actions should be connected to a tip or tips that
had been shared (explaining how to do the action and its value).
Starter List Of Sample Contests can be found in the
“Contests, Challenges & Ideas For Office 365”
document in the Office 365 Resource Kit

74. IT CAN ALSO BE FUN…

each other, consider the use of something like the Office Vibe face game.
75. PLANNING FOR ADOPTION…
Developing a roadmap for adoption where we plan activities before launch,

76. PLANNING FOR TRAINING…
Since you are already doing a time boxed campaign consider providing targeted training
sessions that are hands on and participatory. Even if you are performing training remotely
if the group is small enough you can create exercises and track completion.
77. PLANNING FOR TRAINING…
Have them unpin apps and as you explain and learn about each have
them repin the apps to their app launcher.
78. Having everyone in the training session get interactive doesn’t need to be
difficult even with remote audiences. OneNote is one of many options.

Email, Intranet posts, Yammer posts or communication for the campaign.
84. PLANNING FOR ADOPTION…
Having a campaign over a duration of days enables greater measurement,
clearer accountability, and simplifies the coordination and commitment needed.

Microsoft Stream’s UI is designed to be intuitive and easy to use. The concepts are similar and the UI may be a little different but is not a significant change. So training content experts/gurus and admins/managers will be similar to what you have already done and should require minor investments around re-training, but not significant ones (if desired).
SharePoint Workflow and Flow?
SharePoint Workflows (& Great 3rd Part Platforms) are still a great way to automate most structured enterprise business processes today. Flow has some focus areas that SharePoint Workflow does not have which compliments process and task automation needs, especially across systems and services (like IFTTT or Zapier).
Flow includes a focus on platforms outside of SharePoint.
Flow can be triggered by web hooks into external systems. Flows can take actions and events from outside your environment and automate the movement of this data into your systems.
Flow allows users without list management rights to still create flows.
Many flows are within an individual users context. Triggering a flow for a user based on an event that happens in their Office 365 mailbox as an example only targets that user.
Flow includes a focus on the personal technologies of an individual end user allowing them to automate personal and professional processes/tasks.
Microsoft PowerApps Preview
PowerApps can be used to build rapid mobile business applications…
PowerApps, InfoPath, and SharePoint Designer…
PowerApps does not replace InfoPath and SharePoint Designer. It makes it easier to build mobile business applications “without code”. It can create forms-like applications for data in SharePoint on-premises or in O365, so there may be some scenarios where it can act as an alternative for InfoPath form development.
PowerApps is Cloud Only (no offline capability).
The situation today is that it’s easier than it was, but it is still a hard problem to tackle depending on what you are using,
new capabilities in Office 365, what you have already implemented and your approach.

The user has an event idea,
What they want to do is share it with other people First I setup a meeting to discuss running an event with the Office 365 team. I do this in Outlook.
Then I start a Skype for Business meeting where we discuss the event and work collaboratively on a notebook.
The notebook is stored in my onedrive site initially with each meeting participant, but then after the meeting is done we create a team site for us to collaborate leading up to the launch event and I MOVE the OneNote to SharePoint. We then share/post the event invitation to our Yammer network and hold Skype Broadcast meeting or perhaps run the event on Skype for remote participants

At an org level, your enterprise strategy should define when to use what is important to consolidate your tools, reduce costs and increase efficieny.
Pay special attention to the Outlook column. Look at how few scenarios Outlook or email based options are the best way to do things. Now consider your organization – if email is the only actively used aspect of Office 365 you are really missing out!
