10. Data (Simple Transactions)
• Raw Facts and Figures to make information after compilation or processing.
• are values of qualitative or quantitative variables, belonging to a set of items.
To prepare report, DO or Assistant has to enter data into software or ERP
Application System.
Procedures
• Instructions or recipes, a set of commands that show how to prepare or make something
• something to proceed input into output
• In computer science, procedure, also known as function, routine, or subprogram
Programing designed or configure by Programmer who developed ERP or
Software. The Programming is set of commands who convert data into information
(report)
Manager
• the person who get work done with others by using management functions
Responsible person who gets reports and manages all procedure of AIS.
Information
• Information, in its most restricted technical sense, is a sequence of symbols that can be
interpreted as a message. Information can be recorded as signs, or transmitted as signals.
Information is any kind of event that affects the state of a dynamic system that can
interpret the information.
• The understandable data or symbols or figures is known as information (message)
Report Lists or Reports of Suppliers are known as Information. That is message
what Executive of the Organization demands from People who are using MIS
System.
11. System
• A group of interdependent items that interact regularly to perform
a task.
• An established or organized procedure; a method.
• A computer system refers to the hardware and software
components that run a computer or computers.
• An information system is a system that collects and stores data.
People use procedures to prepare reports (message/information) for Executives
from Input (Data) by using software, hardware and networks.
Decision Making
can be regarded as the cognitive process resulting in the selection of a course of action among
several alternative scenarios. Every decision making process produces a final choice. The output
can be an action or an opinion of choice.
Human performance in decision terms has been the subject of active research from several perspectives.
From a psychological perspective, it is necessary to
examine individual decisions in the context of a set of
needs, preferences an individual has and values they seek.
From a cognitive perspective, the decision making process
must be regarded as a continuous process integrated in
the interaction with the environment.
From a normative perspective, the analysis of individual
decisions is concerned with the logic of decision making
and rationality and the invariant choice it leads to.
Boundary
Every Organization has some closed limits/Points. where people use resources in a limit as per
rules and regulations or terms set by the organization.
12. Management
Management in all business and organizational activities is the act of coordinating the efforts of
people to accomplish desired goals and objectives using available resources efficiently and
effectively.
Functions of Management
• Planning
• Directing
• Organizing
• Controlling
• Coordinating
• Staffing
• Motivating
Planning
• Planning is the process of thinking about and organizing the activities required to achieve a
desired goal. or
• A set of activities to achieve organizational goals
As MIS consultant if you are going to implement AIS or FIS system, first you have to plan
• The business system and procedures adopted by Business
• Number of Staff in specific departments
• Knowledge and Expertise of the Staff
• Plan, how to face barriers in implementing system
• company interest on investments
• company interest on adopting new system
• basic or trend needs (Desktop or Server or Cloud System)
• Who 'll manage and maintain the system
• training, learning and acknowledgments of personals
if you plan in right way and prepare your work as per company's requirement than
you ll be able to implement system successfully
Directing
13. • To manage something in a right way or in straight line
• Directing is telling people how to get something done. It is how something should be done.
Directing can be done by telling someone something verbally, written or by actions.
Organizing
• Organizing is the act of rearranging elements following one or more rules.
• Anything is commonly considered organized when it looks like everything has a correct
order or placement.
Controlling
• The act or use power to direct and organize
• Controlling refers to the state of maintain authority or influence over something or
someone. It may also refer to the act of determining the behavior or supervising the
running of something.
Coordinating
• Bring the different elements of (a complex activity or organization) into a relationship that
will ensure efficiency or harmony.
• Negotiate with others in order to work together effectively.
In the sens how we are communicating with each other
Staffing
Staffing is the act of employing people in an organization. People with right qualifications for
various posts are usually hired by employers in the job market.
Motivating
Motivation is a psychological feature that arouses an organism to act towards a desired goal and
elicits, controls, and sustains certain goal-directed behaviors.
Definition of motivation: Internal and external factors that stimulate desire and energy in people to
be continually interested and committed to a job,
For Example you want to implement successful MIS System in your organization. Is this
possible with unskilled Professionals. Simply No. for this you have to hire Educated and Skilled
Professionals to work with Your Organization and Implement Right MIS Systems. To get results you
have to Proper Motivate and Train them and Acknowledge their activities.
14.
15. When evaluating an organization's workforce, there are several areas that must be addressed.
First, the staff must have the tools and resources that they need to do their jobs effectively.
Employees cannot be blamed for an organization's inefficiency if they are not provided with the
equipment necessary to perform adequately. Next, get to know each employee as an individual
and make sure that they are aware of their specific role within the organization. Clarify their
responsibilities and goals. Also, involve each employee in making decisions which affect their area
of expertise. This will result in the employee feeling that they "have a say" in what goes on in the
organization and he or she will feel a sense of ownership. Finally, make sure that employees have
an opportunity to have fun with their coworkers at appropriate times.
People Empowerment can be a very effective tool within the field of people management. This
technique can be used to involve employees in any improvement program within an organization.
Authority, accountability, and responsibility are delegated to the employees for improving the
processes which are under their control without first having to obtain permission from
management before making changes. This can be successful only when employees are
recognized, congratulated, and rewarded for their commitment to problem solving.
16. B Information Technology
• Hardware
• Software
• Networks / Communications
• Database
• Firmware
Computer hardware is the collection of physical elements that constitute a computer
system. Computer hardware refers to the physical parts or components of a computer such
as monitor, keyboard, Computer data storage, hard drive disk, mouse, CPU (graphic cards,
sound cards, memory, motherboard and chips), etc. all of which are physical objects that you can
actually touch. In contrast, software is untouchable. Software exists as ideas, application,
concepts, and symbols, but it has no substance. A combination of hardware and software forms a
usable computing system.
Input Devices Keyboard · Image scanner · Microphone · Pointing device (Graphics
tablet · Joystick · Light pen · Mouse · Pointing stick · Touchpad · Touchscreen · Trackball) ·
Webcam (Softcam)
Output devices Monitor · Printer · Speakers · Plotter
Removable data storage Optical disc drive (CD-RW · DVD+RW) · Disk pack ·
Floppy disk · Memory card · USB flash drive
Computer case Central processing unit (CPU) · Hard disk / Solid-state drive ·
Motherboard · Network interface controller · Power supply · Random-access memory (RAM) ·
Sound card · Video card
Data ports Ethernet · FireWire (IEEE 1394) · Parallel port · Serial port · USB
A database is an organized collection of data. The data are typically organized to model
relevant aspects of reality (for example, the availability of rooms in hotels), in a way that supports
processes requiring this information (for example, finding a hotel with vacancies).
A computer network or data network is a telecommunications network that allows
computers to exchange data. The physical connection between networked computing
devices is established using either cable media or wireless media. The best-known
computer network is the Internet.
Network devices that originate, route and terminate the data are called network nodes.[1]
Nodes can include hosts such as servers and personal computers, as well as networking
hardware. Two devices are said to be networked when a process in one device is able to
exchange information with a process in another device.
17. Computer networks support applications such as access to the World Wide Web, shared use of
application and storage servers, printers, and fax machines, and use of email and instant
messaging applications. The remainder of this article discusses local area network technologies
and classifies them according to the following characteristics: the physical media used to transmit
signals, the communications protocols used to organize network traffic, along with the network's
size, its topology and its organizational intent.
Database management systems (DBMSs) are specially designed applications that
interact with the user, other applications, and the database itself to capture and analyze
data. A general-purpose database management system (DBMS) is a software system
designed to allow the definition, creation, querying, update, and administration of databases. Well-
known DBMSs include MySQL, PostgreSQL, SQLite, Microsoft SQL Server, Microsoft Access, Oracle,
SAP, dBASE, FoxPro, IBM DB2, LibreOffice Base and FileMaker Pro. A database is not generally
portable across different DBMS, but different DBMSs can inter-operate by using standards such as
SQL and ODBC or JDBC to allow a single application to work with more than one database.
Firmware
In electronic systems and computing, firmware is the combination of persistent memory and
program code and data stored in it.[1] Typical examples of devices containing firmware are
embedded systems (such as traffic lights, consumer appliances, and digital watches), computers,
computer peripherals, mobile phones, and digital cameras.
Programming Language
A programming language is a formal language designed to communicate instructions to a
machine, particularly a computer. Programming languages can be used to create programs that
control the behavior of a machine and/or to express algorithms precisely.
The description of a programming language is usually split into the two components of syntax
(form) and semantics (meaning). Some languages are defined by a specification document (for
example, the C programming language is specified by an ISO Standard), while other languages,
such as Perl 5 and earlier, have a dominant implementation that is used as a reference.

22. Transaction Processing System
the set of instructions or programs to compile data into information by using
software or application modules.
A transaction processing system (TPS) or transaction server is a software system, or
software/hardware combination, that supports transaction processing.
Management Reporting System
To get reports from MIS implemented System (Program or Software or Application
Modules). The reports should be from data already input. It should be reliable as
understandable to CEO or Directors or Manager (Or Relevancy Message)
For Example
When Manager ask Supervisor please stop current data entry and compile all data from
networks to get reports.
All data from Masters or Dependents Tables will shift in One Manageable Table from where
executives or managers have to get Reports. It depends on
• Time (Real Time). All took at once or step by step for specific time
• Batch Processing (The Commands set by Programmers)
Q: is TPS is possible in Software
Q: What is TPS actually
Q: The Program already written by Programmers is known as
Q: TPS is perform by a series of instructions in Real Time
Perform an activity regarding TPS in an Organization
The activity must show, that without TPS it is hard to operate software.
Manager ask Junior Assistant to stop data entry, why.
TPS is essential Function of MIS, How do you explain.
One Day Mr X CEO calls Mr Y Manager. He demands give me reports of Product 001 and Product
002 as
• Summarized
• in Details
Now Mr Y, who has only one subordinate calls and draft the narration as per CEO Demands.
Subordinate rush towards his cabin and check the data for reports. In this case he don’t need to
ask somebody to stop work or held all activities or stop data entry. He simply run the TPS button
as prepared by the Software Consultant or MIS Professionals and Print different reports. Afterward
he set in the files (appropriate files) and give to Mr Y, Manager.
• Do you think so, Manager Mr Y should print and prepare reports by himself
23. • Why he demands these reports from Supervisor.
Should he has not MIS or IT based Certified or Appropriate qualified
One day Mr Y, Manager was on leave and Mr J the Assistant was available, Mr X The CEO visited
the Cabin and Ask about Mr Y, Mr J said he was on leave for two days and HR know about the
situation and his absence. Mr X was in trouble and ask please give me report of suppliers and
relevant items purchased from them so that I could able to give them Order for the new session.
• Mr J should give reports
• Mr J should be prepare for this
• Mr J should ask anything, if complex for him
• Mr J should call Mr Y
• Mr J should not reply
if Mr J Print the reports to Mr X than it will be more effective for him and it raise points towards the
Management Level
if Mr J remains untouched and ask sir I don’t know how to print, than it ll be negative effect to him
directly
if Mr J tells that he is not allowed than it effects the Manager's credibility
Similarly One Day Mr J on Leave due to illness and Mr X demands some critical detailed reports of
customer, Mr Y was thinking how to produce reports. He should know that all data was in table by
Mr J and He only use TPS system to make reports.
Recommendation
• MR J should be able to satisfy Mr X the CEO and if possible provide them maximum
information so that there should not be negative effect on Mr Y and His team
• Mr J if more qualified than Mr Y, Manager than there may be only Gap of Experience to
takeover the position of Mr Y,
• if Mr Y is totally depends on Mr J and don’t start learning or update his knowledge then
ultimately his career be in danger.
MIS Wizard Trick
Mr Y should have command over TPS and Mr J should perform DO and manage
filling.
24. Decision Support System
The system assist in decision making
A decision support system (DSS) is a computer-based information system that supports
business or organizational decision-making activities. DSSs serve the management, operations,
and planning levels of an organization and help to make decisions, which may be rapidly changing
and not easily specified in advance. Decision support systems can be either fully computerized,
human or a combination of both.
• How do you implement DSS
• Prepare a relevant Case study
• Prepare an Activity Sheet of the DSS Function
• is Decision-making system use in Accounting Information System
Knowledge Based System
System to implement with complete or Standard Requirement to get results
A Knowledge-based system is a computer program that reasons and uses knowledge to solve
complex problems. Knowledge is acquired and represented using various knowledge
representation techniques rules, frames and scripts. The basic advantages offered by such system
are documentation of knowledge, intelligent decision support, self learning, reasoning and
explanation. Knowledge-based systems[are systems based on the methods and techniques of
Artificial Intelligence. Their core components are:
• knowledge base
• acquisition mechanisms
• inference mechanisms
Knowledge Base Systems (KBS) goes beyond the decision support philosophy to indicate the
expert system technology into the decision making framework. Expert Systems (ES) have been the
tools and techniques perfected by artificial intelligence (AI) researchers to deduce decision
influences based on codification of knowledge. The codification of knowledge use the principles of
knowledge representation (part of the large theoretical ideas of knowledge engineering). Typically
such codification uses rules like IF-THEN rules to represent logical implications.
While for some authors[who?] expert systems, case-based reasoning systems and neural networks
are all particular types of knowledge-based systems, there are others who consider that neural
networks are different, and exclude it from this category.[citation needed]
KBS is a frequently used abbreviation for knowledge-based system.
• What is KBS
• How do you familiar an MIS system as KBS
• Show KBS in your Activity
• Prepare a Complete Case Study of KBS in MIS Implemented Organization
where AIS and Inventory Management System is Implemented
25. Office Information System
The system of Basic Office Requirement that is
Spread Sheet, Drafting and Editing. Presentations, Database and Mail / Contacts Management
These software or Applications support the Office Day basis activities
• Which software or application, you can use for Presentations
• Word Use for Drafting and Editing
• In which software we use Graphs for the Tables
• How do we manage daily routine work in Calendar
• Is there any software to make quick notes
• Where should we save the record of Customer or Clients or Contact person which emails
• As an accountant we can use any software for Calculations
• What is Pdf and why do we use it
• Front Page use for Make simple website (asp and html) based
• do you know simple office software. Make the list of software you know and their purpose in
Office (Basic Desktop Applications)
26. Executive Information System
The System that is useful or understandable to Seniors or Executives or those persons who will use
in decision-making
An executive information system (EIS) is a type of management information system that
facilitates and supports senior executive information and decision-making needs. It provides easy
access to internal and external information relevant to organizational goals. It is commonly
considered a specialized form of decision support system (DSS)
EIS emphasizes graphical displays and easy-to-use user interfaces. They offer strong reporting and
drill-down capabilities. In general, EIS are enterprise-wide DSS that help top-level executives
analyze, compare, and highlight trends in important variables so that they can monitor
performance and identify opportunities and problems. EIS and data warehousing technologies are
converging in the marketplace.
Executives information system is for executives
EIS depends on System
EIS depends on Modules
EIS is Costly system
EIS is for Skilled and Educated Professionals
EIS is easy to implement
Prepare an activity, that shows the Successful Implementation of EIS in
an organization's
Prepare a Case study regarding EIS Modules and its functionally
When director Asks to get Report of Suppliers and Customers in Summarized and
Detailed form, if there is MIS system implemented than how do he produce result
or if there is no MIS System than how do he ll produce report
Expert System
The system or software applications, having easy and valuable modules
In artificial intelligence, an expert system is a computer system that emulates the
decision-making ability of a human expert, Expert systems are designed to solve
complex problems by reasoning about knowledge, like an expert, and not by following
the procedure of a developer as is the case in conventional programming.
When manager ask to prepare reports of all suppliers along with their supplies to our
organization than MIS Expert should has to prepare such a system that will produce the
information easily
• MS Office is combination of Application that is good example of Executives
Information System
• Accounting Software that prepare financial statement and analysis reports, known
as expert system

Q: Plan and Putting into Action, this action is known as Implementation /Y
Maintenance
The process of maintaining or preserving someone or something, or the state of being maintained:
"the maintenance of democratic government".
The process of keeping something in good condition: "car maintenance"; "essential maintenance
work".
All actions which have the objective of retaining or restoring an item in or to a state in which it can
perform its required function. The actions include the combination of all technical and
corresponding administrative, managerial, and supervision actions
Case: (Design and Implementation)
As MIS Consultant you are going to a company. You have to check the departments. To implement
Accounting Information system you come to know there are four rooms.
Now if you have to install Server/Client Networks System for Accounting Information System and
Modules you have to design it to implement MIS Successfully
Implementation of Accounting Information System

F Transformation Engineering Management
• Transformation
• Engineering Systems
Change the state of current data into information, the process
is known as transformation
Some time you visit any organization, you find different software in different
organizations or departments.
It is due to customization or instructions provided to Engineers (software) to
30. prepare system according to their requirement
Case study
As an MIS Professional. You visit an organization and find that all of their management
work is done by management system or you can say Manual system is implemented
now it is yours task to transform Manual system into computerized MIS based System.
• If you are accounting professional than you install Accounting software there and
implement accounting standard as per IT requirements
• if you are business graduate and you have Inventory system expertise that you
will implement the system there
