Productivity Tools:
Advance Techniques in
PowerPoint
Microsoft PowerPoint
Microsoft PowerPoint is an electronic presentation program that helps people
present a speech using a collection of slides. A PowerPoint presentation is a collection
of slides that can be used to create oral presentations.
Animation and Timing in PowerPoint
Animation is the process of making the illusion of motion and the illusion of change
by means of the rapid succession of sequential images that minimally differ from
each other.
Microsoft PowerPoint provides several animation styles in different categories,
namely, Entrance, Emphasis, Exit and Motion Paths. Animations make your
presentation more dynamic.
In addition, you also have the concept of trigger animations, where an action on one
object triggers an animation on another object. Hence the name Trigger animation.
We'll cover Trigger animations in a subsequent tutorial. For now, let us tell you more
about the entrance, emphasis, exit, and motion path animations.
Entrance animations are used to introduce a slide object within a slide. If a slide
was a room, and you were a slide object. Then an entrance animation will be akin to
you entering the room.
Emphasis animations are used to animate slide objects that are already present on
a slide. Using the same analogy as we used for Entrance animations, you would
already be in the room, and would move from one area in the room to another -- this
would be akin to an Emphasis animation.
Exit animations are used to animate slide objects off a slide. So, if you were a slide
object in a room (slide), then you walking out of the room would be akin to an Exit
animation.
Motion Path animations are similar to Emphasis animations since they are typically
used to move slide objects already on a slide. They are different from other
animations though since motion path animations cause movement set on a path.
This path could be a circle, a line, or anything else.

10. 4
Entrance Animation
Among several types of animations that PowerPoint 2016 provides, Entrance effects
are probably the most popular. By applying Entrance animation effects, you can
make your slide objects appear on the slide almost magically! You make them appear
in the fraction of a second, or get them to fly in from any direction. You can also do
a zoom in, or even better, just make it subtle with a simple fade in. Whichever
Entrance animation effect you choose, make sure to go for something that is in sync
with the subject of your presentation. Most of the time, Appear, Fade, or Wipe effects
work the best.
When you summon the Add Animation drop-down gallery for applying animation to
your selected slide object, you will see Entrance animation effects, as shown
highlighted in red within Figure 1, below.
Figure 1: Entrance Effects
11. 5
If you want to explore more Entrance Effect animations, select the More Entrance
Effects option within the Add Animation drop-down gallery as shown highlighted in
blue within Figure 1, above. This opens the Add Entrance Effect dialog box as shown
towards left in Figure 2.
Emphasis animation
Emphasis animation effects determine how the slide object calls attention to itself
while it is on-the-slide. Entrance and Exit effect animations allow a slide object to
enter or exit the Slide Area, whereas slide objects with Emphasis Effect animations
are already there on the slide area before they start animating, and will be there even
after they have finished animating.
Typical Emphasis animation effects are Spin and Grow/Shrink. You can also apply
Emphasis animation effects to text objects so that the fonts or the text colors change.
In all, there are 50 or more Emphasis Effects that PowerPoint 2016 provides.
However, make sure you use animation only if it adds value to your presentation and
helps you explain something better to your audience.
Figure 2: Add Entrance Effect dialog
12. 6
The Add Animation drop-down gallery of the Ribbon includes some of the Emphasis
animations, as shown highlighted in red within Figure 1, below.
Notice that some of the Emphasis Effect animations such as Brush Color, Font
Color, Wave etc. have been greyed out. This is because these effects work only with
text, and we have selected a shape to apply animation. Now, look at Figure 2 which
shows the Add Animation drop-down gallery we summoned for applying animation
to a text box.
Figure 1: Emphasis Effects available for a shape (or a picture)
13. 7
In Figure 2, you can see that all Text animations which are greyed out in are
available, but Line Color and Fill Color effects have been greyed out since they don't
apply to text.
If you want to explore more Emphasis animation effects, select the More Emphasis
Effects option within the Add Animation drop-down gallery as shown highlighted in
blue within Figure 1, earlier on this page. This opens the Add Emphasis Effect dialog
box, as shown in Figure 3. The emphasis effect animations within Add Emphasis
Effect dialog box entirely depend upon the slide object you have selected. Within
Figure 3, towards left you can see the Add Emphasis Effect dialog box when a shape
is selected (we selected a Rectangle) for applying animation. If you select some text,
it will look what you see towards the right within Figure 3.
Figure 2: Emphasis Effects available for text
14. 8
Exit animation effects determine how animated slide objects leave the Slide Area. For
example, a slide object can fade or fly out the screen area, or use any of the many
other Exit animation effects available within PowerPoint. Typical Exit Effect
animations include Disappear, in which an object just vanishes or Float Down, in
which slide object mimics the setting sun. You can also apply Exit Effects to text
objects so that words Spiral out of the slide. There are plenty of Exit Effect animations
that PowerPoint 2016 provides. However, make sure you use animation sparingly to
emphasize rather than to distract.
The Add Animation drop-down gallery of the Ribbon includes some the Exit
animations as shown highlighted in red within Figure 1, below.
Figure 3: Add Emphasis Effect dialog box
15. 9
If you want to explore more Exit animation effects, select the More Exit Effects option
within the Add Animation drop-down gallery as shown highlighted in blue within
Figure 1, above. This opens the Add Exit Effect dialog box as shown towards left in
Figure 2.
Figure 1: Exit Effects
16. 10
The three basic animation types in PowerPoint: entrance, emphasis, and exit
animations are something we have already explored. The fourth animation type is
called Motion Path animations, and this is something more advanced in nature than
the basic animation types explored so far. Motion Path animations determine the
route (path) and the direction in which the animated slide object moves across or
around on the slide. For example, you can move the slide object up, down, right, or
left; on a preset or created motion path.
Figure 2: Add Exit Effect dialog box
17. 11
The Add Animation drop-down gallery of the Ribbon in PowerPoint 2013 includes
some the Motion Path animations as shown highlighted in red within Figure 1, below.
Use the scroll-bar to scroll down so that you can see them.
Among Motion Path animations that you see within Add Animation drop-down
gallery, the Custom Path type is used to create your own Motion Paths. Refer to our
Drawing Custom Motion Path in PowerPoint 2013 tutorial to learn more. If you want
to explore more Motion Path animations that PowerPoint offers, select the More
Motion Paths option within the Add Animation drop-down gallery as shown
highlighted in blue within Figure 1, above. This opens the Add Motion Path dialog
box as shown towards left in Figure 2.

Inserting Hyperlink
A hyperlink which is frequently stated as “links” is a text or image on the screen that
you can click on to jump to another file or within the existing file. When you hover
your pointer over a hyperlink, either it is text or an image, the arrow changes into a
small pointing hand, called hyperlink cursor. It is usually activated by clicking on
the text or image. Text hyperlinks are usually in color blue and underlined.
Hyperlinks in PowerPoint allow you to another slide in the current presentation,
another slide in a different presentation, another file or webpage, or email address.
Figure 2: Add Motion Path dialog box
19. 13
To insert a Hyperlink, click the word or the image then click the Insert tab and look
for Hyperlink or Link in other versions of MS PowerPoint. Click on the choices on
where you will link the image or the word. After that, click OK.
