We should target only those corporates who will have a follow on or reaches in our
event.
A Fund Raising Event like a Fancy Dress Competition, the targated Sponsor should be
from Textile, Kids School, Stationery Mart etc as they will find their direct market to
showcase their product to the right crowd.
Once the sponsorship amount is received it is duty of the Hospitality Committee to
keep the sponsor updated about the event proceedings.
Benefits to the Sponsors as mentioned should be provided and a post event thanking
letter should be sent as a form of greetings to the sponsor, these kind act will raise the
club’s goodwill and they would show interest in your upcoming projects too.
26. EXECUTING EVENT
Have a pre planned agenda with all committee heads.
Have a direct one-to-one communication during the event.
The Dignitaries on the Dias should have a copy of agenda and a
hospitality team engaged with them.
The host of the show can welcome the guest after a session is over, not
in between.
The Seargent-at-Arms team should maintain discipline and run the
program as directed in Protocols Chapter of the District Directory &
should avoid loitering of memebers in the arena, with the gates closed
during the event.
27. POST EVENT WORK OUTS
Once the event is over the Venue Committee appointed should clear off the left outs
in the arena or the sight.
Finance Committee should collect the bills from the vendors, prepare vouchers and
make the payment as per the conditions made prior to the event.
Organizing Committee i.e. Project Chairman, Project Co-Chairman, President &
Secretary should convey their “Thanks Greetings” directly to all the guest and members
present in the meeting.
Public Relation Officer should collect the photographs and shall make it available to
the press media for broadcasting it on their respective channels and on social
networks.
28. MOTIVATION
Rotaract movement has everything for which we are
becoming a follower of it.
Rotaract teaches Leadership.
To be a Leader, one should be a motivator, who in
