Planning involve determining the information & communication needs of stakeholders, distributing information means making needed information available to stakeholders in a timely fashion and managing expectation involves managing communications to satisfy the needs and expectations of stakeholders & to resolve issues.
The project manager should be responsible for what he or she says and the consequences of it. In other words if someone misunderstands the message or reacts badly to it, it is usually not their fault. The project manager should find the right way to present the message to him/her. To maintain motivation, reward success and be assertive.

Some of the things that have effect on people’s ability to communicate are listed above. The venue must be neat & tidy, noise & temperature level must be maintained. Be sensitive to people’s background, their ways of reasoning & the vocabularies used. Personal – tiredness, hunger, and thirst are temporary barriers to communication so provide something to eat & drink before the meeting begins. Pay attention to ranks & status of stakeholders & communicate appropriately.
You are likely to have gaps and omissions if you don’t have a communication plan. A casual communication with the boss about an interesting idea is not the proper way to kick off a project. Don’t beat about the bush, be concise, get straight to the point.
