Representing SAI in CE Operations Team, to facilitate smooth
collaboration between CE/SAI. Filing and maintaining all files/paperwork
involved with all of the above, in accordance with college policies.
Provide backup at CE peak registration periods. Coordinating with CML
and community businesses to organize community outreach events.
Helping with planning & execution of annual Community Connections
Network event involving 50+ guests and benefiting CE/SAI/SCP.
Processing Purchase Orders. Writing & securing printing of monthly
submissions to "NW Boomer & Senior News”. Writing & securing
printing of monthly submissions to "Lane Weekly". Assisting manager in
all aspects of partner and sponsor development as needed. Assisting
manager in preparation, outreach, and ongoing support of 30-member
SAI/SCP Advisory Council as needed, especially for their quarterly full-
council and sub-committee meetings. Coordinating and following through
on IT requests. Making travel arrangements and coordinating payment for
staff participation in meetings, conferences, etc.
SCP -- -Providing ongoing support of the 60+ Senior Companion Program
volunteers via office meetings, phone & email requests, etc. Processing
timesheet paperwork for 60+ volunteers' each month so they will receive
correct federal stipend pay out of CNCS grant. (This involves ensuring all
timesheets have been pre-approved by Volunteer Stations, error-checking
each timesheet, correctly logging hours in-house, then sending all to
College Finance so that checks can be sent promptly. (All monies come
from the federal CNCS grant). Assisting in ongoing recruitment of Senior
Companions in community, through college, through Volunteer Stations,
etc. Providing initial check on all Senior Companion applicants, including
running all through National Sex Offender database as required by CNCS
grant. Assisting volunteers understand and turn in accurate and timely
documentation as stipulated by federal CNCS grant for Program
participation, including annual MD approval to participate, up-to-date car
insurance information, etc. (always following FERPA, HIPPA, and other
federal & college regulations.) Paying annual Program insurance,
National Senior Corps membership, and Oregon Senior Corps
membership from grant funds annually. Assisting in coordination of pre-
service trainings for potential Companions, including scheduling of
dates/times, volunteers, rooms. Coordinating food & other logistics for
three special event in-services each year, involving 60+ Companions, an
average of 25+ Volunteer Station representatives, and special guests
including US Rep DeFazio, Mayor Piercy, CNCS federal officers,
SAI/SCP Advisory Council members, and Lane officials. Sending
reminders, processing, & tracking specific & distinct amounts of in-kind
donations from the 20+ Volunteer Station agencies. Invoicing,
processing, & tracking distinct amounts of cash donations from 20+
Volunteer Stations, as per each Station's specific agreement, in accord
with College Finance. Processing & tracking cash donations, then
sending all through LCC Foundation. Registering SCP volunteers in
Lumens & Banner for all pre-services, in-services, and special trainings.
Assisting in preparation, execution, and follow-up of every week-long
pre-service training for new volunteers, averaging 6/year. Assisting in
preparation, execution, and follow up of every monthly mandatory 4 hour
in-service meetings involving 60+ Companions. Coordinating criminal
background check procedures for all potential Senior Companions with
Sheriff's office and Senior & Disabled Services. Training Senior
Companions 1:1 and in small groups on various aspects of their work,
during pre-service and monthly in-service meetings. Tracking & reporting
mileage reimbursement for Companions, in concert with Special Mobility
Services, as per CNCS grant. Tracking meals reimbursement for
Companions, in concert with Senior & Disability Services, as per CNCS
grant. Maintaining all SCP supplies & equipment, ordering as needed.
Filing and maintaining all files/paperwork involved with all of the above,
in accordance with federal CNCS grant and college policies
