Adding Counselors to Organizations.
Import as non students and bulk edit to counselor relationship
You can add people as the primary contact or as a non primary contact.
You can see all of the events in the organizations tab that the organization has been too for the year. And grab quick attendance data for each of those events.
Mandated that all events be put in to Hobsons by a certain date. This is used for both approval and for help making sure they are in and tracked.
Had to create separate Categories and Groups for each event
Guidance Counselors are added as presenters
Events are private so that people don’t see other school visits and so that tours stay prevalent.
Create separate folders for each type of event.
The Organization is added at this step as a first help for Invitations.
In addition we use a specific registration form that allows us to make gather the information needed for each visit.
The form consists of the minimum information without being too much information for students to give.
Data entry is small and only consist of linking to event.
If you have more organizations, you can add them to the list of organizations.
Special emails for each counselors reminding them of the event.
We set these up to go 3 days before the event so that there would always be emails before the weekend.
Created overall grad year filter. By having both the filter and the organizations you can run a double check to make certain that you don’t send to the wrong people.
By creating trips you are able to group travel together.
Had to create new naming nomenclature for trips and made sure that the destinations reflected what was true in real world experiences and not just a general thing for everyone.

We create additional items such as fuel, food, and car rental as reservations in order to track those.
You can then rate the different events and the entire trip altogether. And see who attended each trip.
You can grab quick ROIs by seeing how many students were reached in the trip and how much it cost.
Organizations, Events, and Trips are a way to centralize travel.
