3. INTRODUCTION
This Project Scope Statement serves as a baseline document for defining the scope of the
Donation Packet & Database Project, project deliverables, work which is needed to accomplish
the deliverables, and ensuring a common understanding of the project’s scope among all
stakeholders. All project work should occur within the framework of the project scope statement
and directly support the project deliverables. Any changes to the scope statement must be vetted
through the approved Project Change Management Process prior to implementation. This
completion date for this project is April 28, 2016.
PROJECT PURPOSE AND JUSTIFICATION
The Donation Packet & Database Project has been approved to plan, design, build, and
implement new donation packets for summer outreach programs and a new database format for
Redemption Outreach professionals to manage all current and future donations and contributors
in its portfolio. The purpose of this project is to provide Redemption Outreach professionals
tracking for fundraising resources and a means to increase participation for various summer
youth programs. As a small nonprofit company, Redemption Outreach has historically been
challenged with limited resources for managing its various fundraising programs as well as
raising awareness of summer youth programs. As a result, some fundraising programs have
experienced poor donor support, summer youth programs have experienced minimal
participation, and personnel have dealt with organizational challenges. By implementing the
Donation Packet & Database Project, Redemption Outreach can better leverage its limited
resources by organizing donors and fundraising program priorities and increasing participation in
summer youth programs. The successful implementation of this project is expected to increase
participation and funding by 25% or more.
SCOPE DESCRIPTION
The scope of the Donation Packet & Database Project is to plan, design, build, and implement an
Access Database tool on which all Redemption Outreach donors, pledges, and funding will be
managed as well as create donation packets for each of the five different summer youth
programs. Various access and permissions will be granted to the appropriate personnel in order
to update, manage, and view the database. Each donation packet will consist of a donation letter,
a flyer, a promotional piece, a pledge or sponsorship form, a thank you letter and an
organizational snapshot.
HIGH LEVEL REQUIREMENTS
The Database has been approved to meet a business need for Redemption Outreach. In order to
meet this business need there are several requirements which must be met as part of the
successful execution of this project. The following high level requirements have been identified
for the Donation Packet & Database Project:
• Database platform with access granted to all employees
• Accessible from office or remotely

BOUNDARIES
The Donation Packet & Database Project includes all work associated with planning, designing,
building, and implementing the Access Database and donation packets for Redemption Outreach.
This includes requirements gathering, gathering input from stakeholders, and technical design.
Not included in the scope of this project are: ongoing maintenance of the system, implementing
commercial database products, ongoing help desk and/or service support, active fundraising
activities or marketing.
STRATEGY
For the Donation Packet & Database Project strategy, the project team will leverage the
experience of various team members. The project will be separated into two teams: One for the
database and the other for the development of the donation packets. They will aid the project
manager and other team members in conceptual and technical design, testing and
troubleshooting, and deployment. The project manager will ensure that the team members
incorporate all input from stakeholders and gathered requirements.
DELIVERABLES
There are several deliverables which will be produced as a result of the successful completion of
the Donation Packet & Database Project. If all of the following deliverables are not met then the
project will not be considered successful. The Project Manager is responsible for ensuring the
completion of these deliverables.
1. Deliverable 1 – A tested and operational Donor Management Database free of errors and
meeting the specifications described in the Project Scope Description
2. Deliverable 2 – Designed and reviewed donation packet documents and forms
3. Deliverable 3 – An assembled packet for each of the five different summer youth
programs.
4. Deliverable 4 – A presentation meeting with the client to ensure project satisfaction.
ACCEPTANCE CRITERIA
Acceptance criteria have been established for the Donation Packet & Database Project to ensure
thorough vetting and successful completion of the project. The acceptance criteria are both
qualitative and quantitative in nature. All acceptance criteria must be met in order to achieve
success for this project:
1. Meet all deliverables within a reasonable time
2. Final product is delivered on time
3. Client is fully satisfied with final product
4. Improve Redemption Outreach’s fundraising ability
5. Improve Redemption Outreach’s summer youth program participation

5. CONSTRAINTS
A few constraints have been identified for the Donation Packet & Database Project. It is
imperative that considerations be made for these constraints throughout the project lifecycle. All
stakeholders must remain mindful of these constraints as they must be carefully planned for to
prevent any adverse impacts to the project’s schedule or scope. The following constraints have
been identified for the Donation Packet & Database Project:
1. Some team members will only work a limited amount on this project
2. Project must be completed by close of business on April 27, 2016
3. Project must be completed within limited time constraints
ASSUMPTIONS
Several assumptions have been identified for the Donation Packet & Database Project. All
stakeholders must be mindful of these assumptions as they introduce some level of risk to the
project until they’re confirmed to be true. During the project planning cycle every effort must be
made to identify and mitigate any risk associated with the following assumptions:
1. The Database team is competent and proficient in Microsoft Access.
2. The Donation Packet team is competent and proficient in visual design software and
applications.
3. The Project Manager and Team Leaders on this project are adequately equipped to
complete the project by April 27, 2016
4. The Donation Packet & Database Project has full support from the client at Redemption
Outreach Services Inc. and the staff at Brown Mackie College in Indianapolis
