Job Description Job Title: Supervisor, AP/AR Reports To: Director, Finance Operations Department: Finance Job Code: MGRA Salary Grade: SUMMARY Ensure timely recording of vendor invoices and expense vouchers and maintain accurate records and controls. ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following: 1. Effectively supervise the department functions and personnel 2. Ensure the accuracy of Account Payable reports 3. Provide leadership and mentoring to employees within the department 4. Analyze and implement department controls, policies and procedures 5. Cut checks. 6. Properly code each invoice that the company is paying. 7. Enter vouchers into the Twinlab accounting system. 8. Ensure vendors are charging the correct prices, which are on the purchase orders. If not, makes sure proper approval has been made. 9. Match receiving reports with purchase orders and invoices. 10. Perform month-end closing including Accounts Payable accruals. 11. Consistently monitor GR/IR reports 12. Supervise and review the year end processing including 1099 reporting 13. Work closely with Purchasing to resolve any outstanding issues between the Accounts Payable and Purchasing functions QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE - BS in Accounting preferred - Five to seven years in Accounts Payable/Accounts Receivable with three or more years in a supervisory capacity LANGUAGE SKILLS - Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. - Ability to speak and understand effectively in English. MATHEMATICAL SKILLS - General mathematical skills including the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. - Ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis of variance, correlation techniques, sampling theory, and factory analysis. REASONING ABILITIES - Ability to solve practical problems and deal with a variety of variables in situations where limited standardization exists. - Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. OTHER SKILLS AND ABILITIES - Strong basic finance and accounting knowledge - Ability and aptitude to improve processes and manage change - Strong organizational skills, attention to detail, and ability to multi-task and prioritize workload for self and team - Strong interpersonal skills to communicate with staff, internal customers and managers - Excellent customer service skills and ability to positively communicate and problem solve with a wide customer base - Strong mentoring skills with the ability to grow and motivate employees - Excellent computer skills specifically in MS Excel - SAP experience a plus PHYSICAL DEMANDS - While performing the duties of this job, the employee is regularly required to stand; use hands or fingers to handle or feel or reach. - May be required to walk and stoop, kneel, or crouch, talk or hear. - Occasionally required to sit, climb. - The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 30 pounds. - Specific vision abilities required by this job include close vision, depth perception, and ability to adjust focus.
