What’s New with Discovery Attender



OVERVIEW
Sherpa Software is preparing for the new release of our Discovery Attender for Notes 8.1.25 product which
promises to include noticeable differences to the end user. The Discovery Attender Results database has
undergone quite a transformation. Not only has the look and feel of the Results database changed, but also the
underlying architecture, has been completely updated.



INSTALLATION
Discovery Attender 8.1x leverages the functionality found within Domino 8.x and Domino 8.5x, meaning that
Discovery Attender 8.x will function only on Domino 8.x/8.5x servers/clients. A version of Discovery Attender for
Domino 6.x, 6.5x and 7.x is also available.

Discovery Attender has been successfully tested on all Domino platforms. Since Discovery Attender is written in
LotusScript, it is basically platform-independent. There is only one Discovery Attender code-stream, so a platform-
specific version of Discovery Attender does not need to be installed. If a server’s platform is changed, the version of
Discovery Attender that resided prior can also be used on the new platform, regardless of what it may be.

Discovery Attender for Lotus Notes is available in a Desktop version which does not require it to be installed on a
Domino server. Only a Domino Client is required. This is an alternative to the typical server version of the product.

New Features in Version 8.1.25
1. For any Search processed by Discovery Attender, two results databases will be created.

The first database, named the Discovery Attender Results Information database (appended with a _i.nsf as the file
name), is the 'portal' to the Results documents. The users will always use this database to access any Results
document, as well as adding labels, annotating, etc. This database contains all of the folders/views that are used to
isolate the results by custodian, etc. When a results document is opened in this database, what happens behind the
scenes is the corresponding document within the Discovery Attender Results database (the 2nd of the databases)
is opened and displayed to the user.

The second database, named the Discovery Attender Results database (appended with a _r.nsf as the file name),
will contain all unadulterated results documents. This database will never be opened directly by the user. In fact, if
an attempt is made to do so, the corresponding Discovery Attender Results Information database will be opened
instead.

What does this mean to you? Keeping results in its original form will give Discovery Attender users confidence in
delivering defensible results, providing the best of both worlds. Not only does the user have the ability to see


 
custodian-based views within the results, but the product keeps a pristine copy of the source document in the
actual results database. That is the basis for the new architecture.

2. The next major change is how the results are displayed when they are opened.

We are no longer using some of the forms from the mail template to display the data. Instead, we have changed
Discovery Attender to do something much more powerful. Instead of only showing the displayable portion of the
data (e.g. Memo), all data will now be viewable within the Results. For example, when you view a new message in
your mail file, you are only displayed what the Memo form allows. This means that the designer of the form dictates
what is viewable and what is not. That sounds well and good, but there is an underlying problem. Let's say you
perform a search using the inherent search within your Notes client and it finds a message that matches your
search criteria. You then open the message, but cannot see where the keyword 'hit' is located. Your first thought is
that there is no match and that Notes is not searching properly. Then you see the following on your Notes status
line: "Some highlights are not visible with this form." What this means is that there was a keyword hit, but the Memo
form does not display it (due to the design of the form). There's a flaw! Thus, Discovery Attender to the rescue!
When the results document is viewed within the Discovery Attender Results database, all values are visible. This
means that you will always know why the document was found by the search. No more guessing! The secret to this
is that we create the Forms in the Results database based upon the values within the documents. Though we have
stock form headers for the typical email forms (e.g. Memo, Reply, etc.), all field values are displayable. In addition,
you will always know who the custodians are of each message.

3. Now that we have opened the custodian box, let's discuss this feature.

Custodians are the users who have the messages within their mail files. So if John, for example, sent a message to
Kathy and Mark, and all three mail files were included in the search, the Results would have one instance of the
message (if de-duplicated), but Discovery Attender will let you know that the three custodians who had the
message in their mail file. In addition, we will also tell you who else might also have the message, based upon the
sender/recipients of the message. So once again, we provide the best of both worlds. Not only do we have only one
copy of the message in the results, but we also know every custodian and represent each custodian's messages,
so that you can see the list of messages per custodian.

4. The next change is the dynamics of the Results menu making it easier to view the message information.

There are three types of data that could reside within the Results database: 1. Mail (including active mail files,
archives, journals, graveyards, etc.), 2. Applications (Non-mail based Domino databases e.g. custom applications)
and 3. Files (loose files on a network). Depending on the type of data that was found and placed into the Results
database, the menu will change. If there are only mail-based results, the Application and File menu options will be
hidden and vice versa. We also have changed the various mail-based views, so that they are based on custodian,
date and email addresses.

5. The Results and Search Summary documents have been added and updated within the Results
database.

The Results Summary will provide an overall summary of what is contained within the Results database and what
was excluded (e.g. deduplication). The Search Summary documents represent each Search that contributed to the
Results database. So if you have more than one Search, the Search Summary will display what happened for each
search.




 
6. No documents can be deleted from the Results database. This includes Results documents, annotations,
labels, etc.

Instead, any document can be moved to the 'Trash', which means it will be suppressed from all other folders/views
(except of course, the Trash itself). This will allow the reviewers to discard any document, but at the same time, be
aware of what the Searches actually found. Also, any trashed document(s) can also be restored.



7. Lastly, the audit trail for all activity within the Results has been added/modified.

Every activity performed within the Results (e.g. Trash, annotation, labeling, etc.) will be tracked. This will allow you
to have a complete audit trail of what has happened to the Results database since Discovery Attender originally
populated it. This is especially helpful if more than one reviewer is working within the Results.
The new release of Discovery Attender for Notes will not only help you search more efficiently, but it has been
improved visually as well. The newest version will be available by the end of March 2012. If you are interested in

So if John, for example, sent a message to Kathy and Mark, and all three mail files were included in the search, the Results would have one instance of the message (if de-duplicated), but Discovery Attender will let you know that the three custodians who had the message in their mail file. In addition, we will also tell you who else might also have the message, based upon the sender/recipients of the message. So once again, we provide the best of both worlds. Not only do we have only one copy of the message in the results, but we also know every custodian and represent each custodian's messages, so that you can see the list of messages per custodian. 4. The next change is the dynamics of the Results menu making it easier to view the message information. There are three types of data that could reside within the Results database: 1. Mail (including active mail files, archives, journals, graveyards, etc.), 2. Applications (Non-mail based Domino databases e.g. custom applications) and 3. Files (loose files on a network). Depending on the type of data that was found and placed into the Results database, the menu will change. If there are only mail-based results, the Application and File menu options will be hidden and vice versa. We also have changed the various mail-based views, so that they are based on custodian, date and email addresses. 5. The Results and Search Summary documents have been added and updated within the Results database. The Results Summary will provide an overall summary of what is contained within the Results database and what was excluded (e.g. deduplication). The Search Summary documents represent each Search that contributed to the Results database. So if you have more than one Search, the Search Summary will display what happened for each search.  
  • 4. 6. No documents can be deleted from the Results database. This includes Results documents, annotations, labels, etc. Instead, any document can be moved to the 'Trash', which means it will be suppressed from all other folders/views (except of course, the Trash itself). This will allow the reviewers to discard any document, but at the same time, be aware of what the Searches actually found. Also, any trashed document(s) can also be restored. 7. Lastly, the audit trail for all activity within the Results has been added/modified. Every activity performed within the Results (e.g. Trash, annotation, labeling, etc.) will be tracked. This will allow you to have a complete audit trail of what has happened to the Results database since Discovery Attender originally populated it. This is especially helpful if more than one reviewer is working within the Results. The new release of Discovery Attender for Notes will not only help you search more efficiently, but it has been improved visually as well.
