  2. 2. Introduction “Time management” is the process of organizing and planning how to divide your time between specific activities. Good time management enables you to work smarter – not harder – so that you get more done in less time, even when time is tight and pressures are high. Failing to manage your time damages your effectiveness and causes stress. It may seem counterintuitive to dedicate precious time to learning about time management, instead of using it to get on with your work, but the benefits are enormous. Also Making and following a task schedule reduces anxiety. "Give me six hours to chop down a tree and I will spend the first four sharpening the axe." - Abraham Lincoln
  3. 3. Effects of Improper Time Management The most common thing people do when they hear the words “time management" is to think of it in relation to their academic or professional environments. But the negative ramifications of not being able to manage one's time properly extend way beyond the borders of one's office/school/college/workplace. For those who are not adept at prioritizing tasks, failing to get to grips with managing time properly can lead to a lack of self-esteem, relationship strain, and an overall unhappiness with life that stems from having poor focus. It can even end up affecting our health, if left “untreated”.

So, in case you've ever wondered what goes wrong when your time isn’t managed properly, here are some of the tell-tale symptoms and their inevitable consequences -  Struggling to get there on time (Habitual Lateness)  Not being able to spend enough time with family and friends.  Lacking patience and feeling irritable ( Confusion and Lack of Focus)  Haemorrhaging energy  Failing to set goals  Finding it hard to make decisions  Not able to fulfil own commitments
  5. 5. Time Management Techniques “Time management” is the process of organizing and planning how to divide your time between specific activities. Everyone’s time is valuable, whether they assign a dollar value to it or not. Poor time management skills can cause a lack of sleep, unhappiness, and even health complications such as stress. Just the thought of having too little time to complete work is enough to make most people feel stressed! While there are many ways of improving time management – such as writing a schedule, prioritizing, adjusting your sleeping patterns and downloading productivity apps – if you don’t fully understand why time management is important, you may not have the motivation to change. When one understands this, he/she may perform better at work, grab more opportunities, have more free time and feel generally happier. Good time management skills dramatically improve all aspects of your life. All you have to do is get started!
  6. 6. Without goals, you might find that you tend to chase after whatever seems most urgent or is staring you in the face. It's tough not to get distracted by shiny objects. To prevent this, figure out your true priorities in life, and move toward them by setting yearly, monthly, weekly, and daily goals or desired outcomes. (put an image of time management matrix) Establish Prioritized Goals The 80/20 Rule, also known as Pareto’s Principle, says that 80 percent of your results come from 20 percent of your actions. It’s a way to view your time usage, prioritize your chosen tasks against your most important goals. Follow the 80/20 Rule

While it’s great to be a team player, it’s also important to know when and how to be assertive and let people know you can’t handle their request at the moment if it conflicts with you achieving your goals. If you do agree to take on the task, negotiate a deadline that helps them achieve their goals without sacrificing your own. Learn to Say No Eat the Frog To quote Brian Tracey from his book, "Eat That Frog," "If the first thing you do each morning is to eat a live frog, you can go through the day with the satisfaction of knowing that that is probably the worst thing that is going to happen to you all day long."Your frogs each day are the tasks that will have the greatest impact on achieving your goals, which are usually the tasks that you're most likely to procrastinate starting.
  8. 8. Overcome Procrastination Using the 4D System What are the consequences of not doing the task at all? Consider the 80/20 rule; maybe it doesn’t need to be done in the first place. Delete it Delegate it Do it now If the task is one that can’t be completed quickly and is not a high priority item, simply defer it. If the task is important, ask yourself if it’s really something that you are responsible for doing in the first place. Can the task be given to someone else? Postponing an important task that needs to be done only creates feelings of anxiety and stress. Do it as early in the day as you can. Defer
  9. 9. Eliminate Electronic Time Wasters Everyone has certain distractions that interrupt them and take their time away from their work. Is your Facebook? Twitter? Email checking? Continuous messaging with friends and family? Stop checking them so often and start batching these types of activities. Set a time, then check and deal with all of them at once. Give yourself 30 minutes and then get back on task. Get Organized In order to effectively manage your time and be productive each day, you have to create the right environment. Eliminate useless clutter, set up an effective filing system, have a nearby place for all of the work items you need frequently and utilize workflow management tools to help you create a productive environment.
  10. 10. Take Care of Your Health A good night’s sleep, healthy eating, and exercise will give you the energy, focus, and stamina required to make the most out of your day. It may seem that work is more important and you can always catch up on sleep, food, and exercise later. If you lose your health, though, you can't work, or do much of anything else for that matter, so don't skimp on taking care of yourself.
  11. 11. Often time management is misconstrued as being able to construct a virtual roster where the expectation lies in being able to match the tasks with “Appropriate time”. Often, even the most disciplined of human beings end up trying to match up with the allocated amount of time, which defeats the whole purpose of time management. Since as Engineers, time constraints are the most crucial constraints in mathematically formulating the expenditure and investments made to produce a batch of products, the art or rather the science of “time management” is of utmost relevance to engineering professionals. The true essence of time management lies in being able to tap and incorporate the endless data sets carefully constructed from observations of experiences. At the core of this science, lies the concept of “anticipation and estimation”. The most successful in lives are often most successful in this. When Bill Gates asked Melinda out for the first time, he asked for her time in 2weeks, 1 day from then. An astonished Melinda couldn’t decipher the secret behind the necessity of such a close-ended time schedule. This was when Microsoft was still programming microprocessors and Mr. Gates went on to create history and meanwhile father 2 lovely kids.
  12. 12. As experts have suggested, time management is for humans to excel, an aid to higher human productivity. The true specifics of the mystery behind time management are the ability to be self-aware. Understanding one’s own requirements, for an instance not everyone finishes reading the newspaper in an hour; in order to ensure no time is wasted and the news is consumed, experts suggest one to be more observant of one’s own activities and limitations. In the event, Mr. Tom takes an hour to read the newspaper every day, scheduling the tennis practice right after leaves him with no time the smoke the occasional cigar, however, if Mr. Tom dedicates less than an hour of his time to read the paper, he might end up missing the stock profit he just made. Hence, it is advised one makes a routine or schedule, with the intention of being able to be most productive instead of having successfully dedicated time to numerous activities.
  13. 13. Conclusion Time management is a very important skill to be learned and to be mastered in order to have a better lifestyle. By managing well time, you will no longer suffer from stress, and your work/tasks will be done on time and with great quality. What we take from this discussion is to find time balance. The most important thing in our life is to instill balance and moderation in our life. By practicing the above techniques, we can come closer to an ideal life so as to have more time for family and personal life. There is a fine line between the idea and practice of time management. People consider time management as an activity to increase the number of activities they can do on a daily basis. However, Once a wise man said, "There is more to life than simply increasing its speed." The main purpose of learning and practicing time management skills is to enhance and improve the overall quality of your life. It is to increase the amount of pleasure and happiness you experience.
