Essential Factors to be taken into account
in Ticket Booking
• Travel sector, place to place or point to point
• Mode of travel, air, train or road
• Entitlement of the official whether it is economy or
business class, in case of travel by air
• Entitlement of the official, say it is First Class, A.C etc
in case of travel by Rail
• Food preferences, vegetarian, or non-vegetarian
• Entitlement to fréquent traveller concessions etc.

• Up-date of special travel packages, if any
• Comparative knowledge of information of
international timings of different countries at a
reference point of the native country
• Booking accuracy of details pertaining to date, time
and class of travel to and fro
• Knowledge –f country-wise currency and foreign
exchange rates
• Awareness of cancellation and postponement
procedures of tickets
• Knowledge of flight or train timings or schedules

display chart of key telephone etc of different

• Use of a booking form with a detailed format, while
collecting details of booking to enable accuracy

Factors to be considered while
empanelling a Travel Agent
• Recognition by IATA
• Approval from railway authority as RTSA
• Existence of operations from a prime location, for
easy access
• Well-equipped communication system with
telephones, fax etc.
• Up-to-date information and knowledge of flight and
train schedules and tariff

urban/suburban limits

Passport
• A passport is an official document that
enables a person to travel from one country
to another
• It is issued by the government, certifying the
holder’s identity and citizenship

Visa
• A visa is an endorsement by a mark put on the
passport by the authorities of a particular
country, to show that the bearer may enter,
stay or travel in that country
• It means “Visitors intended to stay abroad”

Guidelines for carrying foreign currency
• Maximum fund allowed in cash : 2,000 US
Dollars
• Balance funds to be carried in the form of :
Travellers Cheques
• Funds in cash form do not attract any
commission, but the funds in the form of TCs
will be charged 1.5% extra on the value of the
TCs, exchanged

Pre-requisite documents for making an
application for Visa
• Original passport
• A set of latest colour photographs of the person,
requiring Visa
• Covering letter from Indian Company stating
Applicant’s name, designation, duration and purpose
of visit
• Invitation letter from the sponsor company stating
applicant’s name . Passport number, designation and
purpose of visit

• Applicant’s income tax returns for the last
three years
• Copies of applicants’ personal bank pass-book
for the last six months
• Copies of applicant’s international credit card
• In the absence of an international card,
Foreign Exchange Endorsement, certifying the
visitor is travelling with sufficient funds
• Confirmed return ticket

Important points to be remembered while
planning a travel abroad
• Avail booking in the appropriate class
• Plan the required amount of funds well in advance
• Take prior permission from the Airlines, in case
carrying a laptop, digital camera etc
• Report at the check-in counter at the Airport at least
3 to 5 hours before the flight departure time
• Fill-up and comply with the ‘Immigration Form’ at
the Airport Immigration Counter

Yellow fever
• It is a medical immunization that is required
to be undergone for the passengers travelling
in certain countries
• It is administered by medical injection,
prescribed by the Ministry of Health & Family
welfare, Government of India
• Once taken it remains valid for ten years from
that date
