“Administrative Assistant” and the other is “HR Manager”.
Job Description for Administrative Assistant:
Introduction to Post:
Administrative Assistant is hands-on multi tasker with a variety of responsibilities
that help keep businesses running smoothly. Depending upon the type of
businesses, they may resolve customer issue, fill order, inspect merchandise,
update website, prepare reports, train employee, perform book keeping or compose
correspondence. They may also manage offices, evaluate employee’s performance
and suggest ways to increase productivity.
Job Specification:
1. Age limit:
The age limit for the assistant manager is 25-35 years.
2. Education:
It should be high school Diploma, an associate degree in office administration
or a bachelor’s degree in business or any other administrative degree.
3. Experience:
At least 1 year of work experience in private or public organizations.
4. Skills Requirements:
The incumbent must demonstrate the following skills:

Duties and Responsibilities:
1. Provide administrative support to ensure that municipal operations are
maintained in an effective, up to date and accurate manner
Main Activities:
Type correspondence, reports and other documents
Maintain office files
Open and distribute the mail
Take minutes at meetings
Distribute minutes
Coordinate repairs to office equipment
2. Provide support to Council to ensure that Council is provided with the resources
to make effective decisions
Main Activities:
Maintain confidential records and files
Maintain records of decisions
Arrange for payment of honorariums
Research and assist with the preparation of motions, policies and procedures
Review and edit reports to the Board
Prepare correspondence for Board members
Prepare documents and reports on the computer
Schedule Board meetings
Prepare agendas for Board meeting
Provide receptionist services
Perform other related duties as required
4. Job Description for HR Manager:
Introduction to post:
A Human Resources manager is responsible for managing and overseeing the
personnel department within a company, organization or agency. This includes
posting advertisements or approving advertisements for new employees, setting
interview appointments and being involved in the hiring process. In most agencies
the human resources manager is also providing employee supervision and
evaluations, retraining employees, offering mediation services for struggling
employees as well as firing employees that are not meeting standards.
Job Specification:
1. Age limit:
The age limit for the HR manager is 26-36 years.
2. Education:
It should be high school Diploma, an associate degree in office
administration or a bachelor’s degree in business or any other administrative
degree.
3. Experience:
Minimum of 6 years human resources experience
Preferable to have experience in two or more of the following areas:
human resources management, organizational development and
staffing.
Excellence in a client management model, integrating the tools and
processes required to meet the needs of the business Strategic
planning, complex problem resolution and general management
expertise.

HR manger is responsible for the recruitment and selection, personal training
and staffing as well.
Provide current employees information about policies, job duties, working
conditions, wages, and opportunities for promotion and employee benefits.
Provide guidance to his/her managers on organizational policy matters such
as equal employment opportunity and sexual harassment, and recommend
needed changes.
Analyze training needs to design employee development, language training
and health and safety programs.
