Reports: Best Practices
What will we cover
today?
1. What reports should you have and
why?
a. “Good to have” reports and how
to use them
2. Scheduling reports
a. What reports to schedule and
who to share those reports with
3. Referencing reports
a. Make the most of your reports
4. Utilizing report folders
a. New feature! Look at ways to
organize your reports
5 Reports that are good to
have
5 Reports you
should have
and why
Report #1: Total number of donors
Why this report is helpful:
● Gives baseline to set growth metrics around
percentage of constituents in your database that
are donors
● For the ones who are not giving yet, think of ways
to engage them more
PRO TIP: You can also sort the results by the “Latest transaction date.”
Take a look at how many of these donors gave recently compared to a
few years ago, to give a sense of how engaged your donor base is.
How to find this in Bloomerang: Reports → New → Build a report from
scratch → Constituent
Filters: Include → Add filter → Has any Transactions → OK
Columns: Add a new column → Latest transaction date + Latest
transaction amount
5 Reports you
should have
and why
Report #2: Recent donors, new
Why this report is helpful:
● Enthusiastic first time donors are likely excited by
your cause–show gratitude
● If you haven’t thanked them, this report will show
that
PRO TIP: Use Bloomerang’s built-in report scheduling tool (under the
“Save And” menu) to email this report to yourself on the first of each
month, as a reminder that these are the folks who could use some extra
attention this month.
How to find this in Bloomerang: Reports → New →
Start from a template → Newest donors
5 Reports you
should have
and why
Report #3: Most loyal donors
(defined as having given every year from 2018 to 2022)
Why this report is helpful:
● Should be getting special attention from you–do
something (record video thank you or send a
handwritten note)
● Another great metric for goal setting! What
percentage of your donors are loyal now? Let’s set
goals and create strategies to improve that!
How to find this in Bloomerang: Reports → New →
Start from a template → Most loyal donors
5 Reports you
should have
and why
Report #4: Last year but not this year (LYBUNT)
Why this report is helpful:
● Make a plan to win these folks back! Make some
non-ask touchpoints with them.
● Find out how many times you have reached out to
this group since they last gave. A rule of thumb in
development says that we should have at least
seven touchpoints with a donor before asking
them to give again (and some people say that
should be as high as 14!). Are you close? If not,
another area to develop a plan for improvement!
How to find this in Bloomerang: Reports → New →
Start from a template → LYBUNT
5 Reports you
should have
and why
Report #5: Major donors
Why this report is helpful:
● Think about unique and meaningful ways to
engage this group of supporters. Can you invite
them for an onsite tour, a dinner, or give them a
call to learn why this cause is important to
them?
● When applied to fundraising, the Paredo
principle, also known as the 80/20 rule, says
that 80% of your revenue should come from
20% of your donors. This report can help you
see how close you are to that ideal.
How to find this in Bloomerang: Reports → New →
Start from a template → Top Donors
What reports
would you
recommend that
we didn’t
mention?
Type those into
the chat!
Scheduling Reports
Why is scheduling
reports important?
● Scheduled Reports can help automate your
organization’s fundraising strategy -- spend the
extra time on donor engagement and
cultivation!
● Send information to people who don’t log into
Bloomerang or who don’t use reports
● Keep things top-of-mind by having the report
“show up” in mailboxes just before a tasks
needs done
● Helps to inform metrics and measure progress
Reports to
consider
scheduling…
● Donor recognition report
● Lapsing donor report
● Daily task report
● Quarterly revenue report
● Monthly Projected Revenue report
● Donors who will lapse next month report
● Constituents who were updated yesterday
report
● Daily edited transactions report (for
Finance)
● Next month’s birthday report
● Next month’s pledge reminder report
● Monthly LYBUNT/SYBUNT

How to schedule
a report
Referencing Reports
Where to
reference reports
● Save time and energy by
using reports you have
already created
● Use report templates to
save time creating filters
from scratch in letters,
emails, reports, bulk
updates and bulk deletes
Utilizing Report Folders
The “Why”
Report Folders offers users the ability to organize and
clean up lists to save time searching for reports, allowing
reports to be sorted by preference. Organize reports by
report date, constituent type, fiscal year, and more.
Some examples might be:
● Organize reports based on your fiscal year to see
overall giving month over month.
● Create a folder for reports that your marketing
department uses for email/mailing lists.
● Create a folder to hold specific reports for an
event, like a golf outing or gala.
● Sort folders and lists by date modified and not
alphabetically.

How to find this in Bloomerang: Reports → New → Build a report from scratch → Constituent Filters: Include → Add filter → Has any Transactions → OK Columns: Add a new column → Latest transaction date + Latest transaction amount
  • 10. 5 Reports you should have and why Report #2: Recent donors, new Why this report is helpful: ● Enthusiastic first time donors are likely excited by your cause–show gratitude ● If you haven’t thanked them, this report will show that PRO TIP: Use Bloomerang’s built-in report scheduling tool (under the “Save And” menu) to email this report to yourself on the first of each month, as a reminder that these are the folks who could use some extra attention this month. How to find this in Bloomerang: Reports → New → Start from a template → Newest donors
  • 11. 5 Reports you should have and why Report #3: Most loyal donors (defined as having given every year from 2018 to 2022) Why this report is helpful: ● Should be getting special attention from you–do something (record video thank you or send a handwritten note) ● Another great metric for goal setting! What percentage of your donors are loyal now? Let’s set goals and create strategies to improve that! How to find this in Bloomerang: Reports → New → Start from a template → Most loyal donors
  • 12. 5 Reports you should have and why Report #4: Last year but not this year (LYBUNT) Why this report is helpful: ● Make a plan to win these folks back! Make some non-ask touchpoints with them. ● Find out how many times you have reached out to this group since they last gave. A rule of thumb in development says that we should have at least seven touchpoints with a donor before asking them to give again (and some people say that should be as high as 14!). Are you close? If not, another area to develop a plan for improvement! How to find this in Bloomerang: Reports → New → Start from a template → LYBUNT
  • 13. 5 Reports you should have and why Report #5: Major donors Why this report is helpful: ● Think about unique and meaningful ways to engage this group of supporters. Can you invite them for an onsite tour, a dinner, or give them a call to learn why this cause is important to them? ● When applied to fundraising, the Paredo principle, also known as the 80/20 rule, says that 80% of your revenue should come from 20% of your donors. This report can help you see how close you are to that ideal. How to find this in Bloomerang: Reports → New → Start from a template → Top Donors
