Q. How does my existing device-centric print data ‘fit’ with Printelligence?

Q. Why do page-volume counts differ between Printelligence’s Knowledge worker-Centric solution and other device-data collection tools?
A. Printelligence measures what the Knowledge worker sent to the various print devices, whereas the device-centric tools measure the turn-of-the-drum, or ‘clicks’ on the device itself. For example, if there is an unrecoverable paper jam, the output numbers in the two systems will not match. The example illustrates why Printelligence is best suited for management purposes: assessment, planning, controls, and budgeting; but not billing.
Now it is time to deploy the Print Objectives or Print Policy into the organization.
In a typical organization, there may be one or two high-end Multi Function Devices per floor.
Printelligence delivers the desired print objectives/policies to the appropriate knowledge-workers or communities.
Printelligence is flexible - print rules can be delivered to 1, 10, 100 knowledge-workers, or the entire company.
In this example we see one device on a floor, but different business rules or print policies can be delivered to the different Communities.
This type of control is preferable to locking down features in the MFP hardware or the printer drivers, as custom hardware and driver configurations consumes valuable IT support time and resources. It is far easier and more efficient to use Printelligence to ensure the appropriate print policies are applied to each knowledge-worker.

In this example, a PowerPoint document demonstrates how Printelligence is application-aware, detecting which application the knowledge-worker is printing from. Printelligence rules and messaging can be specific to an application.
The unobtrusive, disappearing balloon message delivers not only cost awareness, but also constructive advise on more efficient, cost-conscious print advice to the knowledge-worker, effectively conveying new print policy through positive reinforcement.

Example #3: CONTROL Rule; Web Page in Color – requires explanation entered for Print to continue
For this example, I will print a web page in color and show how Printelligence can extend our business rules to hold the print job until the knowledge-worker takes additional action.
For this example, you will see how Printelligence can deliver a timely message to the knowledge-worker of a print policy violation. In this example, the knowledge-worker can still print the web page, but they are made aware that the corporation would prefer they do not print web pages in color.
So, in this example, you will see that for the knowledge-worker in Community 3, Printelligence detects that the print job is a color web page.

Here you can see that the print job has been held and has NOT been released to the printer. The knowledge-worker is informed that this is not the preferred method of printing. In this case the knowledge-worker can choose to print the job or cancel it. If the print job is cancelled, Printelligence does track that it was cancelled to assist in measuring behavior change.
One last note – Printelligence can fully stop the print job and not allow it. In that case, the screen looks very similar to this one except that the print button is disabled.

Q. What is Printelligence
Many other tools focus on print devices - installed hardware; Printelligence is a print knowledge management system (PKMS) – a printing management solution that measures and influences how knowledge workers USE print devices. A key feature of Printelligence is its ability to measure the amount of ink (color/mono) on each page; taking print management control to a higher level.
Q. Why is Printelligence a hosted offering?
A. To reduce the complexity of implementation and to lower the total cost of print management solution ownership. The customer is never asked to move, add, or change any hardware for this solution.
Q. Will Printelligence capture local devices?
Yes - The Printelligence can capture locally attached devices when deployed to the desktop.
Q. Which print jobs are analyzed?
All print jobs spooled to the Windows print subsystem on a computer running Printelligence are analyzed. If you print to a local printer and Printelligence is installed on the workstation then that job is analyzed. If you print to a print server and Printelligence is installed on the print server then that job is captured and analyzed.
Q. Can I install Printelligence on a Mac or UNIX computer?
A. No. Printelligence is a Microsoft Windows-only print management solution. It will, however, track print from Macs, Unix and other non-Windows computers if the print is sent to a Windows print server running Printelligence
Q. How much bandwidth does Printelligence use?
A. Printelligence is very efficient with bandwidth. The total bandwidth used by Printelligence to track print in an organization is under 1% of the total print traffic. To put this in perspective, the overhead in tracking a print job is about one-tenth the bandwidth used to load a standard web page.
