Week -6
Strategies for successful Interpersonal
Communication
Interpersonal Communication:-It is defined as
Speaking to and listening another person in alteration, and
thinking concurrently. It is strongly influenced by each
individual’s interpersonal communication.
OR
Interpersonal communication is a social process involving
understanding and transfer of information from one person to
another.
1) Dyadic Communication:- The term dyadic
communication, in general refers to an interaction
between two persons.
 Even if 2 persons are present in a situation, it is only two
communicators that play a fundamental role.
 It means face to face communication.

2) Interviewing:- It is considered as a special form of
dyadic communication which requires questions and
answers.
OR
 It is a process in which one person wants to know
about someone or to judge some by communicating
with them.
Tips for Interview:-
1. Arrive early
2. Dress appropriately
3. Turn off your cell phone before your interview
4. Greet the interviewer (say Salam, hi, hello etc.)
5. Make eye contact
6. Smile
7. Speak complete sentence
8. Be concise
9. Don’t ask personal

3) Telephone dictating:-
Pre-planning for telephone dictating:-
Steps for telephone dictating:-
1) He/ She should know the specific purpose.
2) He/ She should know the right person.
3) Consider the appropriate or suitable time.
4) Plan the opening statement.
5) Place the Pen, paper near the phone or whatever is
necessary for reference.
6) Speak clearly that people will understand what you are
saying.
7) Organize your statement.
8) Write in sequence the statement of your sentences.
9) Be patient.

Confidence Building
Confidence building:- If you want to build your confidence
level you should follow some steps which are as follows;
1) You should face your fear.
2) Always go with positive thinking.
3) You should be well-dressed.
4) Dress Appropriately.
5) Make an eye contact with the audience to increase your
confidence level up to the sky.
6) Show appropriate Gestures.
7) You should be prepared and well knowledge about the
topic which you want to present.
8) Find more guidelines (From Experts, Masters) of your topic
so you can include their ideas and experience’s in your
Presentation.
9) Maintain the pitch of your voice.
10) Stop comparing yourself to others.
11) Be conscious on your postures.

Techniques to make Power point presentation:-
There are some techniques to make power point presentation
which are as follows;
1. First of all minimize the number of Slides.
2. Choose the best font size which can be easy to
understand for the front audience and the
backbenchers as well.
3. Keep the text in simple and formal language.
4. Use different types of colors in your ppt presentation.
5. Use informative graphs and Images in your
presentation.
6. Always use informative graphs and Images.
7. Your presentation should simple and clear.
8. Spelling and grammatical errors should be avoided.
9. The most important thing is keep the background of the
message simple and clear.

Making Oral Presentation
1) Purpose of Oral Presentation:
Purpose of oral presentation is to inform, to persuade and to
entertain the audience.
Comparing Oral and Written Message
 The length of presentation depends on the purpose of
speaker/writer.
 Both must be brief and concise.
 In oral presentation correct pronunciation and variation in
tone must be following.
 In written presentation use correct grammar.
2) Planning strategies for oral
presentation
1. Determine the purpose: What is the purpose behind your
presentation?

2. Analyze the audience: must check the audience
background their education, age, culture and interest.
3. Research the topic: Collect the data for your presentation.
4. Create Visual aids: We use visual aids to maximize the
effectiveness of your presentation.
5. Rehearse the topic: To be a good presenter you must
rehearse the topic again and again.
3) Choosing Information
1. LIBRARY is the best source of finding information.
2. You can find the data and information through NET.
3. INTERVIEW is also the source of finding information. Meet
with the people who are expert in your topic.
4) Organizing Information
1. Introduction: Make the opening paragraph courteous,
concise and clear. Use attention getting statement.
2. Main body: Main body includes explanation. Include
good news and exclude all the bad news. Phrase your
thought clearly; be easy to understand.
3. Conclusion: Make the ending paragraph of your
presentation effective. Focus on positive statements.

Public Speaking and Oral Reporting
Public Speaking: -
Is the process of speaking to a group of people in a
structured, deliberate manner intended to inform, influence or
entertain the listeners.
Oral Reporting: -
Oral report is a reports using the oral communication;
being represented orally; presented in-action; reported in live
Making Formal Speeches: -
1: Conjunctions (Therefore, accordingly)
2: Complete Sentences (That’s a nice idea)
3: Precise Vocabulary
4: Complete responses (I go, she goes)
5: More nouns
6: Modality means modal verbs (Must, Might)
7: Doesn’t chain clauses together.

Every communication must be in form and style
which suits the audience.

Factors to be consider in audience analysis.
1: Age factor
2: Socio-culture
3: Educational Background
4: Economic background
5: Expectation of audience
Determination of presentation method: -
There are four (4) types of presentation method
which are as follow:
1: Extemporaneous
2: Memorize
3: Reading
4: Impromptu

Consideration of your personal aspects: -
You will need to know your own abilities and decide how best
to make the presentation. When you first start giving
presentation you may feel more confident with more detailed
notes. As you became more experienced you may find that you
can deliver effectively with less.
Appearance and body action: -
Appearance and body action are as follow:
Appearance: -
Dressing may be formal casual, business casual, smart
casual.
Body actions: -
1: Stand with body weight equally balanced on both feet.
2: Avoid too much walking around.
3: Gestures and facial expression should always accompany
speech.
4: Confidence is necessary for good personality.

5: Eye contact should be followed.
6: Grab any object in your hand to maximize your confidence
level.
Use of voice: -
1: Pitch: - Highness or lowness.
2: Rate: - 80-120 Words per minute.
3: Volume: - Volume is according to size. Don’t speak too much
loud as it makes the unpleasant effect on the audience.
4: Pronunciation: - Correct
Use of visual aids: -
1: The visibility of the visual aids to the audience should be
taken care of.
2: If the visual require some explanation that should also be
provided.
3: Visual aids must fit in presentation.
4: Visual aids must be supplemented with the body language.
5: Speaker must talk to the audience and not to the visual aids.

How to write a letter?
Definition: “A letter is a writing a message containing
information from one party to another.”
How to write a letter?
There are some tips that you may write a letter:
1. Street address e.g. Rahman colony canal road.
2. Mention city name e.g. Peshawar.
3. Name of the receiver like Mr. Salam.
4. Address like Pakistan.
5. Use a salutation means to greed the person like My Dear.
Paragraph
Letter is composed of three paragraphs.
1st
paragraph: First of all introduce yourself. It means that;
who you are? Where you belong from? Etc.
2nd
paragraph: Show your abilities that which kind of abilities
that you possess?
3rd
paragraph: End up the letter.

“The summary of your skill, education, abilities and
experiences.”
 How to write a Resume?
 How long I should be?
It should be one or two pages.
 Do I need to change my resume every time?
Yes, you should change it with every job application.
 What if I do not have much experience?
Then add your personal traits, education and achievements.
 What do I include in my resume?
You should include following things:

: your skills and abilities.

 Stop comparing yourself to other.
 If you stop comparing yourself to other then you will be
feeling confident and bold.
 Make eye contact with the audience.
 Wear a smart, sharp and casual dress.
 Take exercise and healthy food.
 Help other means in their work.
 If you face your fear then you will feel confident.
 Carry confident means; speak clearly, be conscious of
your posture, use hands while explaining things.
 If you have lacking confident then follow characteristic
of other.

Page 3 of 17 Shas Production Week -6 Strategies for successful Interpersonal Communication Interpersonal Communication:-It is defined as Speaking to and listening another person in alteration, and thinking concurrently. It is strongly influenced by each individual’s interpersonal communication. OR Interpersonal communication is a social process involving understanding and transfer of information from one person to another. 1) Dyadic Communication:- The term dyadic communication, in general refers to an interaction between two persons.  Even if 2 persons are present in a situation, it is only two communicators that play a fundamental role.  It means face to face communication.

OR  It is a process in which one person wants to know about someone or to judge some by communicating with them. Tips for Interview:- 1. Arrive early 2. Dress appropriately 3. Turn off your cell phone before your interview 4. Greet the interviewer (say Salam, hi, hello etc.) 5. Make eye contact 6. Smile 7. Speak complete sentence 8. Be concise 9. Don’t ask personal 10. Techniques to make Power point presentation:- There are some techniques to make power point presentation which are as follows; 1. First of all minimize the number of Slides. 2. Choose the best font size which can be easy to understand for the front audience and the backbenchers as well. 3. Keep the text in simple and formal language. 4. Use different types of colors in your ppt presentation. 5. Use informative graphs and Images in your presentation. 6. Always use informative graphs and Images. 7. Your presentation should simple and clear. 8. Spelling and grammatical errors should be avoided. 9. The most important thing is keep the background of the message simple and clear.

Comparing Oral and Written Message  The length of presentation depends on the purpose of speaker/writer.  Both must be brief and concise.  In oral presentation correct pronunciation and variation in tone must be following.  In written presentation use correct grammar. 2) Planning strategies for oral presentation 1. Determine the purpose: What is the purpose behind your presentation?

Research the topic: Collect the data for your presentation. 4. Create Visual aids: We use visual aids to maximize the effectiveness of your presentation. 5. Rehearse the topic: To be a good presenter you must rehearse the topic again and again. 3) Choosing Information 1. LIBRARY is the best source of finding information. 2. You can find the data and information through NET. 3. INTERVIEW is also the source of finding information. Meet with the people who are expert in your topic. 4) Organizing Information 1. Introduction: Make the opening paragraph courteous, concise and clear. Use attention getting statement. 2. Main body: Main body includes explanation. Include good news and exclude all the bad news. Phrase your thought clearly; be easy to understand. 3. Conclusion: Make the ending paragraph of your presentation effective. Focus on positive statements.

Page 10 of 17 Shas Production Week-11 Public Speaking and Oral Reporting Public Speaking: - Is the process of speaking to a group of people in a structured, deliberate manner intended to inform, influence or entertain the listeners. Oral Reporting: - Oral report is a reports using the oral communication; being represented orally; presented in-action; reported in live Making Formal Speeches: - 1: Conjunctions (Therefore, accordingly) 2: Complete Sentences (That’s a nice idea) 3: Precise Vocabulary 4: Complete responses (I go, she goes) 5: More nouns 6: Modality means modal verbs (Must, Might) 7: Doesn’t chain clauses together.

Factors: - Factors to be consider in audience analysis. 1: Age factor 2: Socio-culture 3: Educational Background 4: Economic background 5: Expectation of audience Determination of presentation method: - There are four (4) types of presentation method which are as follow: 1: Extemporaneous 2: Memorize 3: Reading 4: Impromptu

When you first start giving presentation you may feel more confident with more detailed notes. As you became more experienced you may find that you can deliver effectively with less. Appearance and body action: - Appearance and body action are as follow: Appearance: - Dressing may be formal casual, business casual, smart casual. Body actions: - 1: Stand with body weight equally balanced on both feet. 2: Avoid too much walking around. 3: Gestures and facial expression should always accompany speech. 4: Confidence is necessary for good personality.

Use of voice: - 1: Pitch: - Highness or lowness. 2: Rate: - 80-120 Words per minute. 3: Volume: - Volume is according to size. Don’t speak too much loud as it makes the unpleasant effect on the audience. 4: Pronunciation: - Correct Use of visual aids: - 1: The visibility of the visual aids to the audience should be taken care of. 2: If the visual require some explanation that should also be provided. 3: Visual aids must fit in presentation. 4: Visual aids must be supplemented with the body language. 5: Speaker must talk to the audience and not to the visual aids. Examples: - Posters, A board, a flip chart
  • 16. Page 14 of 17 Shas Production WEEK 15 How to write a letter? Definition: “A letter is a writing a message containing information from one party to another.” How to write a letter? There are some tips that you may write a letter: 1. Street address e.g. Rahman colony canal road. 2. Mention city name e.g. Peshawar. 3. Name of the receiver like Mr. Salam. 4. Address like Pakistan. 5. Use a salutation means to greed the person like My Dear. Paragraph Letter is composed of three paragraphs. 1st paragraph: First of all introduce yourself. It means that; who you are? Where you belong from? Etc. 2nd paragraph: Show your abilities that which kind of abilities that you possess? 3rd paragraph: End up the letter.

It should be one or two pages.  Do I need to change my resume every time? Yes, you should change it with every job application.  What if I do not have much experience? Then add your personal traits, education and achievements.  What do I include in my resume? You should include following things: 1st : Your personal detail. 2nd : your education 3rd : Employment history 4th : your skills and abilities.

Page 16 of 17 Shas Production WEEK 16 Confident building tips  Stop comparing yourself to other.  If you stop comparing yourself to other then you will be feeling confident and bold.  Make eye contact with the audience.  Wear a smart, sharp and casual dress.  Take exercise and healthy food.  Help other means in their work.  If you face your fear then you will feel confident.  Carry confident means; speak clearly, be conscious of your posture, use hands while explaining things.  If you have lacking confident then follow characteristic of other.
