For the knowledge he instilled to our minds; and for the full and considerate supervision.

To our respondents which are: the owner of the Cyberbiz café, for sharing vital

information of their business; for letting us conduct system study in their establishment

and for the hassle that we have made to them; to the customers who has been

cooperative to us. To all persons, who in one way or another have contributed their help

for the success of this Case Study.

                                                                                        1
I. Introduction

The family Cataluña decided to stand an internet business to have another

source of income and they called it Cyberbiz. The business has started in 2005 about 5

years ago. They started this business with a capital of 200-250 thousands with 7

computer units, modems in one room. During that time, there were only few internet

users for here in Escalante City, there were only few familiar of the internet. Another

reason is that, only few people here in Escalante know the basics of computer.

As the years goes by, as the Internet becomes more popular in Escalante, more

and more users need to be accommodated and be centered with quality internet

services. Before, they just offer surfing the internet alone. As the people increasingly

accustomed of this new technology, the owner decided to offer a lot more services like

printing, CD burning, data encoding and the like.

Nowadays, efficiency, convenience and speed are really of great need especially

in an on-line transaction. Previously, the customers are just contented of the speed

ranging from 54.0-mbps to 100 mbps. But not later than 5 years, speed becomes of the

essential requisites in an internet café. This is the most common edge of competence

among internet café business built not only in Escalante, but nationwide.

Recently, a number of internet cafes are built with the City most especially in

urban settlements like Brgy.Balintawak. Mostly offers surfing services at relatively high

speed. The most advanced devices they are using attract more customers. This has

overpowered the Cyberbiz internet. Cyberbiz Café offers surfing at a speed quite slower

than the newly-built internet cafes. This is mainly the problem they are facing. Most of

their patrons now prefer to go the most convenient internet cafes. Hence, it leads to the

depreciation of their income.

                                                                                       2
Type of Business Organization

The owner decided to run the business alone or a sole-proprietorship as a

type of business organization.

Sole-proprietorship – is a type of business ownership where only one

person owns and manages business. The profit directly goes into his personal

account and that the intention of subdividing the profits no longer exists.

Benefits of “single proprietorship” type of business we are establishing:

 A sole proprietor has complete control and decision-making power over the
     business.
 Sale or transfer can take place at the discretion of the sole proprietor.
    No corporate tax payments.
 Minimal legal costs to forming a sole proprietorship.
    Few formal business requirements

      Quickdecisions
In a sole proprietorship business the sole proprietor alone is responsible for all
decisions. He is free to take any decision on his own. Since no one else is
involved in decision making it becomes quick and prompt action can be taken on
      the basis of the decision.
      Direct motivation:
The profits earned belong to the sole proprietor alone and he bears the risk of
losses as well. Thus, there is a direct link between the effort and the reward. If he
works hard, then there is a possibility of getting more profit and he will be the
sole beneficiary of this profit. Nobody will share this reward with him. This
provides strong motivation for the sole proprietor to work hard.
      Better control:
In sole proprietorship business the proprietor has full control over each and every
activity of the business. Since the proprietor has all authority with him, it is
possible to exercise better control over business.
      Close personal relation:
The sole proprietor is always in a position to maintain good personal contact with
the customers and employees. Direct contact helps the sole proprietor to know
the individual likes, dislikes and tastes of the customers. It also helps in
maintaining close and friendly relations with the employees and thus, the
      business can run smoothly.
                                                                                          3

                           Description of Analytical Used

In conducting the system case study, in order to have an accurate result, the

system should be carefully and accurately analyzed. In collecting the necessary

information, we, the system analysts used the survey method. Survey is a method that

uses survey questionnaires to be filled by a specific number of respondents. We prefer

to use this method because the respondent’s answers could be freely given – even

those confidential answers. It is easy to manage and mostly, it is inexpensive. Out from

the answers collected via those questionnaires, we can come up with accurate analysis

to the current system.

The survey questionnaires may consist of questions such as: recall type e.g.

“When did you last scan your flash drive?” question that would measure the frequency

of an act e.g. “How often do you reformat your system?” Possible answers would be:

Very Often, Often, Seldom, Never. And lastly, questions which are answerable by “yes”

or “no”.

In compliment with survey method, the sampling method is also used. As what is

stated above, the survey questionnaires are only distributed to a specific number of

respondents, let’s say for instance, the average number of customers coming in a day.

                                                                                        4
II. Problem Identification

The Cyberbiz Café only host computers. In other words, they are not in a networking

environment. One typical reason why the owner decided not to apply a networking is

that, if one of the hosts will be infected, the infection of the other host will follow shortly

after the latter.

The other specific problem is that, the log-in and log-out of the user or customer

is manually recorded. In that situation, they cannot monitor the exact time of either when

the customer has timed out. Sometimes, they forgot to check their record, and thus it

affect s their operating income.

Interface Model

   - The interface model of the CyberbizCafé is that they are using the manual

system in all the functions of their internet station, like log-in, log-out,printing

       locating and etc…

Data Model

   - Their data is the customer who uses the computer, the time being consumed in

the corresponding amount of the time used. The data are not organized and the

inventory for daily operation that cannot be easily located. The time that the

customer log-in and log-out wasn’t fixed or exact due to manual processing.

Printing and other transactions are time consuming.

                                                                                             5
Geographical Model- Present Cyberbiz cafe

Process Model

           - The process model use is the distributed. All the data are distributed

inside the library. They did not use the networking model instead they

are only using the manual system inside the Internet Cafe. All data was

written tolog book where it will be kept and canbe retrieve any time.

But it will consume time, effort of the one who’s been assigned for

checking the data and obtaining the exact inventory that are being

                kept.

                                                                                     6
C. Analysis of the current system

PERFORMANCE

     - The problem in the current system based on the performance is that the

system is prone to loss of data, time-consuming, lapse of timing that could

affect the daily income of the business and etc…The CyberbizCafé has

opportunities to develop its current system by providing new one.

INFORMATION

     - The problem of the current system based on its information is that the current

system encounters lapses in data recording and utilization of time. They can

check the recorded daily activities of the café but the data is not well stated

          and is not exactly recorded.

ECONOMIC

     - The problem of the current system based on economy is that the current

system spends more than the earning they should attend at the end of the

day. With the present’s system, they continuously spend for operational cost

and maintenance of the system without attaining the exact profit.

SERVICE

     - In terms of service the present system is time consuming. And the attendant

needs to extend more effort towards the customer who has problem in the

          unit they are using.

                                                                                       7
Detailed Recommendation

     System Improvement Objectives and Priorities

The owners would really suffer, though not immediately, on the

consequences of the problems faced by their current system. As merely

mentioned in this study, the manual timing causes an even loss to the income

of the business. Aside from that, customers are becoming unsatisfied with the

speed of information processing catered by their system. Imagine how big

would be lost from them if this sapling will not be cashed out. From almost

500 customers a day, the user rate of their system badly dropped to 150 a

day. If this scenario will continue, perhaps, the owners will be forced to close

        their business.

The purpose of this study is to identify problems that curtail the growth and

development of the business. Afterwards, the possible solutions are defined.

Solutions should be carefully and thoroughly examined for quality assurance

purposes. All of these should be done in order to increase user rates of the

business thus increasing their income. Increasing the user rate could be

realized if the system’s satisfactory level is high. In making the systems

satisfactory level high, the systems performance must be first improved and

developed. In order for the systems performance to be developed, manual

methods should be completely transformed into computerized. Timing could

greatly affect the system’s performance. Hence, timing should be

computerized. Further, there should be a server to host design model for easy

        time and surf monitoring.

                                                                                      8
In other words, the system’s set-up should be changed from standalone to

networking. In networking, files could be shared even application software’s

could also possibly be shared, thus making the installation of such software

costless. Imagine, supposedly you have 15 computers, and you want to install

an application to each, you need to have individual licenses and licenses cost

much. Whereas, in networking, one application installed in the server can be

accessed simultaneously by the hosts connected to the server.

III. Theoretical support

The online café phenomenon was started in July 1991 by Wayne Gregori in San

Francisco when he began SFnet Coffeehouse Network. Gregori designed, built and

installed 25 coin operated computer terminals in coffeehouses throughout the San

Francisco Bay Area. The café terminals dialed into a 32 line Bulletin Board System that

offered an array of electronic services including FIDOnet mail and, in 1992, Internet

mail. The concept of a café with full Internet access (and the name Cybercafé) was

invented in early 1994 by Ivan Pope. Commissioned to develop an Internet event for an

arts weekend at the Institute of Contemporary Arts (ICA) in London, and inspired by the

SFnet terminal based cafes, Pope wrote a proposal outlining the concept of a café with

Internet access from the tables. The event was run over the weekend of 12–13 March

1994 during the 'Towards the Aesthetics of the Future' event.

In June 1994, The Binary Cafe, Canada's first Internet café, opened in Toronto,

Ontario. After an initial appearance at the conference site of the 5th International

Symposium on Electronic Art, ISEA, in August 1994, an establishment called

CompuCafe was established in Helsinki, Finland, featuring both Internet access and a

robotic beer seller.

                                                                                    11
Inspired partly by the ICA event, a commercial establishment of this type, called

Cyberia, opened on September 1, 1994 in London, England. In January 1995, CB1

Café in Cambridge, installed internet and is the longest running Internet Café in the UK,

still operating today.

The first public, commercial American Internet café was conceived and opened

by Jeff Anderson in August 1994, at Infomart in Dallas, Texas and was called The High

Tech Cafe.

Next, in the USA, three Internet cafés opened in the East Village neighborhood of

New York City: Internet Cafetm, opened by Arthur Perley, the @ Cafe, and the Heroic

Sandwich. A variation of Internet café called PC bang (similar to LAN gaming center)

became extremely popular in South Korea when StarCraft was released in 1997.

Although computer and broadband penetration per capita were very high, young people

went to PC bangs to play multiplayer games.

                                                                                      12
IV. RECOMMENDATION

Since the problem of the presents system is the manual recording of data, the

time consuming processes of the transactions, and the space of the block they occupy.

For the space, it’s up for the management whether they will expand the space they

occupy. For the services offered, the units used should be upgraded with latest

Operating System, Application Software, so as the Hardware.

For the data recording, exact record keeping should be maintained. The following are

the prototypes of the recommended program for fast services and for convenience of

the customer so as of the person who is tending the internet station.

V. CONCLUSION

With the system study conducted at Cyberbiz Café, we conclude that when

starting a new business, there are many important decisions to make and many rules

and procedures that must be addressed. The number of task you need to complete and

the information you need to track down before you begin a business. In technical aspect

the services rendered should be the highest possible quality level with minimum cost.

Purchase equipment as packages in order to lessen expenses. Hardware and Software

be given much focus in some aspects.

If you would only provide Internet services such as web surfing, chatting, etc.,

then you could go for the low-end or the average specifications for your computers. The

Internet doesn’t demand much from your hardware. Just apply for a relatively fast

Internet connection (DSL, Broadband, Cable) with a high bandwidth. Then install

operating systems and other programs needed. Headsets with microphones are often

used when chatting.

There are the offline and online games which require Internet connection. Your

clients, especially the gamers, are very demanding when it comes to the speed and

reliability of both your PCs and Internet connection. You would often hear complaints

about logging, hanging, or slow Internet connection. So make sure that your clients are

satisfied to avoid all of those. Buy the best performance PCs and avail a faster Internet

connection.

                                                                                      15

Acknowledgement The team who conducted this case study is, with full gratitude, expressing their thanks to the Oh Most High, our God who is the source of every good thing here on earth; to our parents who, by God’s grace, brought us in this world. Also, for both financial and moral supports. Thanks for your everyday sacrifices just to make this case study successful. To our professor, Mr. Isagani Agudo, who is always there to guide us. For the knowledge he instilled to our minds; and for the full and considerate supervision. To our respondents which are: the owner of the Cyberbiz café, for sharing vital information of their business; for letting us conduct system study in their establishment and for the hassle that we have made to them; to the customers who has been cooperative to us. To all persons, who in one way or another have contributed their help for the success of this Case Study. 1
  • 4. I. Introduction The family Cataluña decided to stand an internet business to have another source of income and they called it Cyberbiz. The business has started in 2005 about 5 years ago. They started this business with a capital of 200-250 thousands with 7 computer units, modems in one room. During that time, there were only few internet users for here in Escalante City, there were only few familiar of the internet. Another reason is that, only few people here in Escalante know the basics of computer. As the years goes by, as the Internet becomes more popular in Escalante, more and more users need to be accommodated and be centered with quality internet services. Before, they just offer surfing the internet alone. As the people increasingly accustomed of this new technology, the owner decided to offer a lot more services like printing, CD burning, data encoding and the like. Nowadays, efficiency, convenience and speed are really of great need especially in an on-line transaction. Previously, the customers are just contented of the speed ranging from 54.0-mbps to 100 mbps. But not later than 5 years, speed becomes of the essential requisites in an internet café. This is the most common edge of competence among internet café business built not only in Escalante, but nationwide. Recently, a number of internet cafes are built with the City most especially in urban settlements like Brgy.Balintawak. Mostly offers surfing services at relatively high speed. The most advanced devices they are using attract more customers. This has overpowered the Cyberbiz internet. Cyberbiz Café offers surfing at a speed quite slower than the newly-built internet cafes. This is mainly the problem they are facing. Most of their patrons now prefer to go the most convenient internet cafes. Hence, it leads to the depreciation of their income. 2
  • 5. Type of Business Organization The owner decided to run the business alone or a sole-proprietorship as a type of business organization. Sole-proprietorship – is a type of business ownership where only one person owns and manages business. The profit directly goes into his personal account and that the intention of subdividing the profits no longer exists. Benefits of “single proprietorship” type of business we are establishing:  A sole proprietor has complete control and decision-making power over the business.  Sale or transfer can take place at the discretion of the sole proprietor.  No corporate tax payments.  Minimal legal costs to forming a sole proprietorship.  Few formal business requirements Quickdecisions In a sole proprietorship business the sole proprietor alone is responsible for all decisions. He is free to take any decision on his own. Since no one else is involved in decision making it becomes quick and prompt action can be taken on the basis of the decision. Direct motivation: The profits earned belong to the sole proprietor alone and he bears the risk of losses as well. Thus, there is a direct link between the effort and the reward. If he works hard, then there is a possibility of getting more profit and he will be the sole beneficiary of this profit. Nobody will share this reward with him. This provides strong motivation for the sole proprietor to work hard. Better control: In sole proprietorship business the proprietor has full control over each and every activity of the business. Since the proprietor has all authority with him, it is possible to exercise better control over business. Close personal relation: The sole proprietor is always in a position to maintain good personal contact with the customers and employees. Direct contact helps the sole proprietor to know the individual likes, dislikes and tastes of the customers. It also helps in maintaining close and friendly relations with the employees and thus, the business can run smoothly. 3
  • 6. Below is the list of sources of related information that were exploited. 1. Respondents a) Customers b) Persons in-charge c) Owner 2. Books (Systems Analysis and Design) Description of Analytical Used In conducting the system case study, in order to have an accurate result, the system should be carefully and accurately analyzed. In collecting the necessary information, we, the system analysts used the survey method. Survey is a method that uses survey questionnaires to be filled by a specific number of respondents. We prefer to use this method because the respondent’s answers could be freely given – even those confidential answers. It is easy to manage and mostly, it is inexpensive. Out from the answers collected via those questionnaires, we can come up with accurate analysis to the current system. The survey questionnaires may consist of questions such as: recall type e.g. “When did you last scan your flash drive?” question that would measure the frequency of an act e.g. “How often do you reformat your system?” Possible answers would be: Very Often, Often, Seldom, Never. And lastly, questions which are answerable by “yes” or “no”. In compliment with survey method, the sampling method is also used. As what is stated above, the survey questionnaires are only distributed to a specific number of respondents, let’s say for instance, the average number of customers coming in a day. 4
  • 7. II. Problem Identification The Cyberbiz Café only host computers. In other words, they are not in a networking environment. One typical reason why the owner decided not to apply a networking is that, if one of the hosts will be infected, the infection of the other host will follow shortly after the latter. The other specific problem is that, the log-in and log-out of the user or customer is manually recorded. In that situation, they cannot monitor the exact time of either when the customer has timed out. Sometimes, they forgot to check their record, and thus it affect s their operating income. Interface Model - The interface model of the CyberbizCafé is that they are using the manual system in all the functions of their internet station, like log-in, log-out,printing locating and etc… Data Model - Their data is the customer who uses the computer, the time being consumed in the corresponding amount of the time used. The data are not organized and the inventory for daily operation that cannot be easily located. The time that the customer log-in and log-out wasn’t fixed or exact due to manual processing. Printing and other transactions are time consuming. 5
  • 8. Geographical Model- Present Cyberbiz cafe Process Model - The process model use is the distributed. All the data are distributed inside the library. They did not use the networking model instead they are only using the manual system inside the Internet Cafe. All data was written tolog book where it will be kept and canbe retrieve any time. But it will consume time, effort of the one who’s been assigned for checking the data and obtaining the exact inventory that are being kept. 6
  • 9. C. Analysis of the current system PERFORMANCE - The problem in the current system based on the performance is that the system is prone to loss of data, time-consuming, lapse of timing that could affect the daily income of the business and etc…The CyberbizCafé has opportunities to develop its current system by providing new one. INFORMATION - The problem of the current system based on its information is that the current system encounters lapses in data recording and utilization of time. They can check the recorded daily activities of the café but the data is not well stated and is not exactly recorded. ECONOMIC - The problem of the current system based on economy is that the current system spends more than the earning they should attend at the end of the day. With the present’s system, they continuously spend for operational cost and maintenance of the system without attaining the exact profit. SERVICE - In terms of service the present system is time consuming. And the attendant needs to extend more effort towards the customer who has problem in the unit they are using. 7
  • 10. Detailed Recommendation System Improvement Objectives and Priorities The owners would really suffer, though not immediately, on the consequences of the problems faced by their current system. As merely mentioned in this study, the manual timing causes an even loss to the income of the business. Aside from that, customers are becoming unsatisfied with the speed of information processing catered by their system. Imagine how big would be lost from them if this sapling will not be cashed out. From almost 500 customers a day, the user rate of their system badly dropped to 150 a day. If this scenario will continue, perhaps, the owners will be forced to close their business. The purpose of this study is to identify problems that curtail the growth and development of the business. Afterwards, the possible solutions are defined. Solutions should be carefully and thoroughly examined for quality assurance purposes. All of these should be done in order to increase user rates of the business thus increasing their income. Increasing the user rate could be realized if the system’s satisfactory level is high. In making the systems satisfactory level high, the systems performance must be first improved and developed. In order for the systems performance to be developed, manual methods should be completely transformed into computerized. Timing could greatly affect the system’s performance. Hence, timing should be computerized. Further, there should be a server to host design model for easy time and surf monitoring. 8
  • 11. In other words, the system’s set-up should be changed from standalone to networking. In networking, files could be shared even application software’s could also possibly be shared, thus making the installation of such software costless. Imagine, supposedly you have 15 computers, and you want to install an application to each, you need to have individual licenses and licenses cost much. Whereas, in networking, one application installed in the server can be accessed simultaneously by the hosts connected to the server. CONSTRAINTS CONSTRAINTS OPERATIONAL DISCRIPTION CATEGORY CONSTRAINTS Limited space INFRASTRUCTURE & The block occupied by the café is LAYOUT small and most space was utilized by the computer shelves. Narrow entrance The entrance was half way block by the counter. Outdated units There isn’t new model in the shop due to high price of the latest Equipment’s & models of hardware. Services Slow process of The processors are working slowly transaction due to outdated and un-updated software. Data Management Recording and data The recording of the users’ time encoding wasn’t fix and and the daily activities was exact. recorded manually. 9

  • 13. III. Theoretical support The online café phenomenon was started in July 1991 by Wayne Gregori in San Francisco when he began SFnet Coffeehouse Network. Gregori designed, built and installed 25 coin operated computer terminals in coffeehouses throughout the San Francisco Bay Area. The café terminals dialed into a 32 line Bulletin Board System that offered an array of electronic services including FIDOnet mail and, in 1992, Internet mail. The concept of a café with full Internet access (and the name Cybercafé) was invented in early 1994 by Ivan Pope. Commissioned to develop an Internet event for an arts weekend at the Institute of Contemporary Arts (ICA) in London, and inspired by the SFnet terminal based cafes, Pope wrote a proposal outlining the concept of a café with Internet access from the tables. The event was run over the weekend of 12–13 March 1994 during the 'Towards the Aesthetics of the Future' event. In June 1994, The Binary Cafe, Canada's first Internet café, opened in Toronto, Ontario. After an initial appearance at the conference site of the 5th International Symposium on Electronic Art, ISEA, in August 1994, an establishment called CompuCafe was established in Helsinki, Finland, featuring both Internet access and a robotic beer seller. 11
  • 14. Inspired partly by the ICA event, a commercial establishment of this type, called Cyberia, opened on September 1, 1994 in London, England. In January 1995, CB1 Café in Cambridge, installed internet and is the longest running Internet Café in the UK, still operating today. The first public, commercial American Internet café was conceived and opened by Jeff Anderson in August 1994, at Infomart in Dallas, Texas and was called The High Tech Cafe. Next, in the USA, three Internet cafés opened in the East Village neighborhood of New York City: Internet Cafetm, opened by Arthur Perley, the @ Cafe, and the Heroic Sandwich. A variation of Internet café called PC bang (similar to LAN gaming center) became extremely popular in South Korea when StarCraft was released in 1997. Although computer and broadband penetration per capita were very high, young people went to PC bangs to play multiplayer games. 12
  • 15. IV. RECOMMENDATION Since the problem of the presents system is the manual recording of data, the time consuming processes of the transactions, and the space of the block they occupy. For the space, it’s up for the management whether they will expand the space they occupy. For the services offered, the units used should be upgraded with latest Operating System, Application Software, so as the Hardware. For the data recording, exact record keeping should be maintained. The following are the prototypes of the recommended program for fast services and for convenience of the customer so as of the person who is tending the internet station. It is a prototype model, which shows the proposed geographic networking model. 13

  • 17. V. CONCLUSION With the system study conducted at Cyberbiz Café, we conclude that when starting a new business, there are many important decisions to make and many rules and procedures that must be addressed. The number of task you need to complete and the information you need to track down before you begin a business. In technical aspect the services rendered should be the highest possible quality level with minimum cost. Purchase equipment as packages in order to lessen expenses. Hardware and Software be given much focus in some aspects. If you would only provide Internet services such as web surfing, chatting, etc., then you could go for the low-end or the average specifications for your computers. The Internet doesn’t demand much from your hardware. Just apply for a relatively fast Internet connection (DSL, Broadband, Cable) with a high bandwidth. Then install operating systems and other programs needed. Headsets with microphones are often used when chatting. There are the offline and online games which require Internet connection. Your clients, especially the gamers, are very demanding when it comes to the speed and reliability of both your PCs and Internet connection. You would often hear complaints about logging, hanging, or slow Internet connection. So make sure that your clients are satisfied to avoid all of those. Buy the best performance PCs and avail a faster Internet connection. 15
