 Step by step timeline for running a webinar
from 8 weeks pre-webinar to 2 weeks post-
      webinar

 Tip #:1 Define roles and stick to them
       • The Producer
       • The Presenter (“The Star”)
       • The Marketer (The PR Machine)
       • The Content Provider
       • The Audience

                         www.learnforlifeconsulting.com
5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
• Sometimes called the moderator
       • Ensures the webinar runs smoothly with as few
         technical difficulties as possible
       • Fields and or triages questions from the audience
       • Oversees real-time recording of webinar
       • Reviews the chat to ensure audience issues (inability
to hear audio, inability to see slides) are quickly
         dealt with
       • Oversees post webinar editing of webinar

                        www.learnforlifeconsulting.com

 The “face” of the webinar
 Tells the story, promotes the product, educates
      the audience
 IDEALLY should be free and unencumbered
from producer role, minimally involved with
the PR/Marketing role with the focus on the
      audience and content

                     www.learnforlifeconsulting.com
5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 Should be fully engaged
 Should get out of the webinar what they
      expected
 Should ask lots of questions
 Should follow-up with the Star if questions
      were not answered

                     www.learnforlifeconsulting.com
5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 Responsible for creating the
      PowerPoint/Slideshow
 Responsible for fact checking if applicable
  Responsible for editing the
      PowerPoint/Slideshow
 Assists Star in answering content based
      questions
  Creates “script” for webinar

 Gets the word out
  Gets people in seats
 Deals with registration (may work with Star
      and Producer on this piece)
 Assists with post webinar marketing

 Tip #2: Define how you will fill the
information gap for your audience as well as
      for yourself
     (S, M, P, C)

                     www.learnforlifeconsulting.com
5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 Set up the Registration Process (M)
        Keep it simple:
            First Name
            Last Name
            Email Address
 One required registration question for future marketing
purposes (How did you find out about this webinar?)

5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 Tip #3: Start and Continue to Market (M)
        GOOGLE+
        Online Forums
 Twitter (Create a twitter hashtag)
        YouTube Videos
        Pinterest (Yes, Pinterest!)
        Facebook
        Facebook Ads

 Marketing Continued (M)
        Linkedin: Groups, Events
           (http://events.linkedin.com/)
 Write a guest blog post on a topic very relevant to
your webinar topic and put webinar link at the end
of blog (along with your twitter, and website
           information)
        Flyers for local businesses
        Internet Radio (become a guest) (S,M)
 Other webinars that you do prior to the target
           webinar (S)
 Post on Bulletin Boards (M)
                          www.learnforlifeconsulting.com
5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 More Marketing (M)
        Email Marketing
        Your own blog posts
 Seminars, workshops and events that you attend
 Make sure you cross promote
 Groups (Meetups, Professional Organizations, Local
Business Groups, places where you audience spends
         their time)
 You’re going to continuously send out reminders

                        www.learnforlifeconsulting.com
5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 If you haven’t already done so, decide on
platform you will use for your webinar (S, P)
 Contact the platform provider with any
questions or concerns you have from a
technical standpoint (P). Also find out what
kind of support is available. Example from
      Anymeeting: http://support.anymeeting.com/
 Start doing technical run-throughs and practice
sessions even if you don’t have your content
      and slideshow presentation done (S,P)

5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 Tip #4: Do multiple “Worst Case Scenario”
      webinars (S, P, A)
 Do at least one run through creating multiple worst
           case scenarios (S,P,A)
 If you have children, have them spontaneously run into
your practice and make a lot of noise (fun!) (S,P,A)
 Do you have a dog? Have the dog in the room with you
to see how you react WHEN your dog starts barking
             (S,P,A)
 Be creative – what’s your worst nightmare? Act it out –
then own it so it doesn’t own you. (S,P,A)

5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 Finalize your content and slide presentation (C)
 Create a 3-4 minute script in case you have a
technical crisis and need to keep speaking
while it is resolved (this assumes you still have
      audio) (C)
 If audio fails for more than 30 seconds, have a
slide available to alert the audience as to what
is going on – but don’t apologize excessively –
      technical issues can happen! (C)

 Do 2-3 final short practices (S, P)
 If you’re using links, test the links to make sure
they are still live not broken (C)
 May want to have back-up documents in case
the links do not work during the presentation
(for example a screen shot of your website if
you’re planning to link to it during the
      presentation) (C)

 Remember Tip #4 Tip #4: Do multiple “Worst
      Case Scenario” webinars (S, P, A)
 Do another short practice creating multiple worst
           case scenarios (S,P,A)

 Tip #5 Have all your equipment ready and test
it while you’re doing the practices (P)
        Microphone (ideally have a back-up)
        Resources for lavalier microphones:

5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 If you have access to an extra laptop/computer
have it available, charged and ready to go with
      the slideshow loaded (P)

 Take a deep breath!
 Join the webinar and if you have a chat room,
      chat with the early arrivals

 Have fun! (S)
 Send a final reminder 5 minutes into the
webinar (M). This can be scheduled before
hand and should be done on twitter, facebook,
and email to registrants and overall list
 Announce a Webinar giveaway (S) to entire
audience and a special prize to 1-2 audience
      members
 You can announce the exact giveaway before the
           webinar or “tempt” the audience
                         www.learnforlifeconsulting.com
5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 If you’re going to be selling a product or
service, let the audience know up front. It’s
your job to keep them engaged (see next slide)
until the end even if you are selling BUT see
      next point (S)
 Tip #6: Make sure your content is fantastic.
The main point of the webinar should NOT be
to sell something but to provide useful
      information. Remember Point #1 (S,C)

                     www.learnforlifeconsulting.com

 Engage your audience through (S,P,A):
        Fantastic Content
        Video
        Polls
        Voting
        Surveys
        Prizes
        Questions and Answers
 A bonus for staying on until the end

5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
 Make a point about your twitter hashtag but
don’t overdo it – you want your audience
paying attention to you, not their twitter feeds!
      (S, A)
 Tip #7: Hold a free webinar 1 hour maximum,
as a lead-in to a “bootcamp” or longer, paid
      seminar or service (lead/customer generator)

 This is where, if you had great content, your lead-
      generation machine will begin
 Get your recording edited and ready for
distribution within 24 hours if possible (P)
  Follow-up with (M):
        Super engaged audience members
        ALL registrants
 Everyone else via twitter, facebook, LinkedIn and the
other marketing ways we mentioned in the beginning
 Keep using social media, email marketing and blogs post-
         webinar for maximum lead-generation

 Look at any available data to see how you can
make the next webinar even better (S,P,C)
 Provide polling data to your registrants,
attendees and followers on social media (P,A)
 Send out a thank you to attendees with a short
post-webinar survey to get additional feedback
(P,A) Remember, you’re doing this to help
make a better webinar for your audience for
      next time
 Look at your data AGAIN to see what’s
      working (lead generation)

 Webcam v. No Webcam
 If you’re going to use a webcam make sure the
lighting is good (windows for daytime, great
lighting if the webinar is at night)
 You’ve got to make eye contact with the webcam
(this will take practice to make sure you’re eyes are
not shifting between your slides and your webcam
(which can then make you appear “shifty”
 Make sure whatever is behind you is not distracting

 Mailchimp v. Aweber for Newsletters and
      Autoresponder Purposes
 I use Mailchimp but a lot of people love Aweber
 Experiment with various times to send newsletters
and emails (I send my newsletter once a week on
Saturday Mornings at 8AM – works GREAT!)
 Here’s a link to a fantastic article comparing both:

  • 15. Tip #2: Define how you will fill the information gap for your audience as well as for yourself (S, M, P, C) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 16. Set up the Registration Process (M)  Keep it simple:  First Name  Last Name  Email Address  One required registration question for future marketing purposes (How did you find out about this webinar?) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 17. Tip #3: Start and Continue to Market (M)  GOOGLE+  Online Forums  Twitter (Create a twitter hashtag)  YouTube Videos  Pinterest (Yes, Pinterest!)  Facebook  Facebook Ads www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.

  • 20. If you haven’t already done so, decide on platform you will use for your webinar (S, P)  Contact the platform provider with any questions or concerns you have from a technical standpoint (P). Also find out what kind of support is available. Example from Anymeeting: http://support.anymeeting.com/  Start doing technical run-throughs and practice sessions even if you don’t have your content and slideshow presentation done (S,P) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 21. Tip #4: Do multiple “Worst Case Scenario” webinars (S, P, A)  Do at least one run through creating multiple worst case scenarios (S,P,A)  If you have children, have them spontaneously run into your practice and make a lot of noise (fun!) (S,P,A)  Do you have a dog? Have the dog in the room with you to see how you react WHEN your dog starts barking (S,P,A)  Be creative – what’s your worst nightmare? Act it out – then own it so it doesn’t own you. (S,P,A) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 22. Finalize your content and slide presentation (C)  Create a 3-4 minute script in case you have a technical crisis and need to keep speaking while it is resolved (this assumes you still have audio) (C)  If audio fails for more than 30 seconds, have a slide available to alert the audience as to what is going on – but don’t apologize excessively – technical issues can happen! (C) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 23. Do 2-3 final short practices (S, P)  If you’re using links, test the links to make sure they are still live not broken (C)  May want to have back-up documents in case the links do not work during the presentation (for example a screen shot of your website if you’re planning to link to it during the presentation) (C) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 24. Remember Tip #4 Tip #4: Do multiple “Worst Case Scenario” webinars (S, P, A)  Do another short practice creating multiple worst case scenarios (S,P,A) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 25. Tip #5 Have all your equipment ready and test it while you’re doing the practices (P)  Microphone (ideally have a back-up)  Resources for lavalier microphones: http://www.bhphotovideo.com/find/newsLetter/ Lavalier-Microphones.jsp  Computer headset microphones: http://www.ehow.com/list_6968178_computer- headset-microphones.html www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 26. If you have access to an extra laptop/computer have it available, charged and ready to go with the slideshow loaded (P) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 27. www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 28. Take a deep breath!  Join the webinar and if you have a chat room, chat with the early arrivals www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 29. Have fun! (S)  Send a final reminder 5 minutes into the webinar (M). This can be scheduled before hand and should be done on twitter, facebook, and email to registrants and overall list  Announce a Webinar giveaway (S) to entire audience and a special prize to 1-2 audience members  You can announce the exact giveaway before the webinar or “tempt” the audience www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 30. If you’re going to be selling a product or service, let the audience know up front. It’s your job to keep them engaged (see next slide) until the end even if you are selling BUT see next point (S)  Tip #6: Make sure your content is fantastic. The main point of the webinar should NOT be to sell something but to provide useful information. Remember Point #1 (S,C) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 31. Engage your audience through (S,P,A):  Fantastic Content  Video  Polls  Voting  Surveys  Prizes  Questions and Answers  A bonus for staying on until the end www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 32. Make a point about your twitter hashtag but don’t overdo it – you want your audience paying attention to you, not their twitter feeds! (S, A)  Tip #7: Hold a free webinar 1 hour maximum, as a lead-in to a “bootcamp” or longer, paid seminar or service (lead/customer generator) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 33. www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 34. This is where, if you had great content, your lead- generation machine will begin  Get your recording edited and ready for distribution within 24 hours if possible (P)  Follow-up with (M):  Super engaged audience members  ALL registrants  Everyone else via twitter, facebook, LinkedIn and the other marketing ways we mentioned in the beginning  Keep using social media, email marketing and blogs post- webinar for maximum lead-generation www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 35. Look at any available data to see how you can make the next webinar even better (S,P,C)  Provide polling data to your registrants, attendees and followers on social media (P,A)  Send out a thank you to attendees with a short post-webinar survey to get additional feedback (P,A) Remember, you’re doing this to help make a better webinar for your audience for next time  Look at your data AGAIN to see what’s working (lead generation) www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 36. Web conferencing that will always be completely free  Integrated PayPal system (make $ from your event)  Host up to 200 attendees with no time limits  Full service and premium features, including 6- way video conferencing and hosted recordings  For more information visit www.anymeeting.com www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 37. • 38. Webcam v. No Webcam  If you’re going to use a webcam make sure the lighting is good (windows for daytime, great lighting if the webinar is at night)  You’ve got to make eye contact with the webcam (this will take practice to make sure you’re eyes are not shifting between your slides and your webcam (which can then make you appear “shifty”  Make sure whatever is behind you is not distracting www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
  • 39. Mailchimp v. Aweber for Newsletters and Autoresponder Purposes  I use Mailchimp but a lot of people love Aweber  Experiment with various times to send newsletters and emails (I send my newsletter once a week on Saturday Mornings at 8AM – works GREAT!)  Here’s a link to a fantastic article comparing both: http://www.probloggingsuccess.com/aweber- mailchimp-best-email-autoresponder/ www.learnforlifeconsulting.com 5/1/2012 ©L.E.A.R.N for Life Consulting, L.L.C.
