The expense is nothing compared to the stress you will go through if your data is irretrievable because you saved money by not providing a sound backup system – not to mention the expense of hiring an “emergency” IT person to try & resolve the problem or the “emergency” overtime you will have to pay staff to recreate the data. </li></ul><ul><li>MAKE SURE your files are being backed up at least daily & have the back-up process checked. Consider online back-up of your systems to an offsite location. Having someone take home the back-up tape every night can expose you to liability if the tape gets lost. </li></ul>

Start with a retention policy that follows Federal, State & Local laws regarding records. </li></ul><ul><li>CREATE a consistent filing system & make sure everyone follows it – i.e., all items must be properly organized & LABELED. </li></ul>

This practice aids in utilization of space & in cost reductions for storage & retrieval. Also, an effective & utilized destruction plan is extremely necessary – not only to be in compliance, but to free up valuable space for closed file storage. </li></ul><ul><li>DO YOUR BEST, THIS IS A NO-WIN SITUATION. </li></ul>

New emails fall into one of these categories or are deleted. </li></ul><ul><li>Set up Administrative Folders (Billing, Collections, Office Space, Employees, Associates, Partners, Finance Committee, Marketing Committee, etc.) </li></ul><ul><li>Use follow up flags on incoming and outgoing (your copy of email that requires response) and drag to ‘Awaiting Response’, etc. </li></ul>

For instance, the emails regarding firms 401k starts out with “401k” (i.e. 401k Annual Report, etc). In this way, emails can be grouped together & can be easily moved to rightful email folders. The same should be done for cases. </li></ul>
