  1. 1. 7V/ ttnuaf TCU-‘tr-'? ,‘a'rlz. _lr/ .n. ~:-': ?.i‘— Novell File System User Privileges & Back-Up Protocols 1.0 Purpose/ Scope 1.1 This procedure describes the maintenance activities of the User Privileges Matrix and software back-up protocols at ABC Company. 2.0 Responsibility 2.1 MIS Coordinator, Technician, QC Coordinator, Engineering Technician. 3.0 Definitions 3.1 User Privileges Matrix — It is a table used to show users’access to various parts of the ABC Company's computer network. 3.2 Organization Unit (OU) — A group of similar objects, such as users within a department that share common rights and privileges to the Novell Directory Services (NDS) tree. 3.3 Novell Directory Services (NDS) — An inherent part of Novell NetWare that manages directories and user privileges with the Novell system. 3.4 ArcServe — Software that automatically makes a backup tape of the entire file system. 4.0 References 4.1 SOP05-06.F1, User Privileges Matrix 4.2 SOP05-02, Completing an Engineering Change Notice Form (ECN) 4.3 Attachment A, Organizational Units 4.4 SOP05-04.F1, Anvil System Backup Tape Schedule 5.0 Procedure - Novell File System User Privileges 5.1 General 5.1.1 The MIS Coordinator maintains the User Privileges Matrix (Refer to SOPOS-06.F1, User Privileges Matrix) displaying the directory privileges and access rights granted to Organizational Units, groups and users within the Novell Directory Services (NDS) tree. 5.1.2 The Technician bears the primary responsibility for this procedure. The MIS Coordinator acts in the absence of the Technician. 5.1.3 The Novell file system uses Novell Directory Services (NDS) to grant access rights to directories located on the Novell server.
  2. 2. 7V/ mmal” ZU-‘ct-'? .‘a'r; z.g. n5:? .;‘— 5.2 Assignment of User Rights and Matrix Update 5.2.1 Any employee may request for user rights by filling out an Engineering Change Notice (ECN) (Refer to SOP05-02, Completing an Engineering Change Notice Form (ECN)). 5.2.1 .1 If the ECN is approved the technician assigns the user rights in the NDS tree, and updates the matrix to show the new directory privileges for the user. 5.2.1.2 If adding a new user, list the user name, login name, and password, and assign the user to the appropriate OU as defined by the department in which the user works (Refer to Attachment A, Organizational Units). 5.2.1.3|fa new group is required for an existing OU, then add the group under the OU and list directories and rights for the new group. Assign any other users to this group as necessary. 5.2.1.4|f specific rights to a directory are required and a group does not exist to adequately supply the directory rights, then list the directories and rights in the’Specific Rights and Directories’ column. 5.2.1 .5 If the ECN is not approved, the QC Coordinator informs the initiator as to the reason for denial. 6.0 Procedure - Backup of Anvil Based Tooling Drawings 6.1 This document defines the backup procedure used for backing up tooling drawings on a daily basis. This document applies to ABC Company. 6.2 General 6.2.1 The Anvil system has software loaded that automatically makes a backup tape of the entire file system. The backup time is set for 7:00 PM. Files on the system are copied to tape. 6.3 Tape Insertion 6.3.1 The Engineering Technician inserts the appropriate tape for the backup to be performed. 6.3.2 The tapes are labeled the same as the backup tape schedule and to be used in the following manner (Refer to SOP05-04.F1, Backup Tape Schedule). 6.3.3 Define the content of data that is being archived. 6.3.3.1 Daily backup: 4 tapes per set — 2 sets; Daily tapes are rotated every other week. (SET—*A-D) 6.3.3.2 Weekly backup: 4 tapes per set - 2 sets; Weekly tape is rotated every 3 or 4 weeks. (F* & G*)

Daily sets (2): Set-1A = Monday; Set-1B = Tuesday; Set-1C = Wednesday; Set-1D = Thursday; Set-2A = Monday; Set-2B = Tuesday; Set-2C = Wednesday; Set-2D = Thursday. 6.3.3.5 Weekly backup (Friday and Saturday). Weekly sets (2): F1, F2, F3, F4 each for Friday; G1 , G2, G3, G4 each for Saturday. 6.3.3.6 Monthly backup (Last Friday, Saturday of each month). Monthly sets (2): SetO—A1, Set0-A2 Set0-B1, Set0-B2 SetO—C1, Set0—C2 SetO-D1, Set0-D2 Set0-E1, Set0-E2 SetO-F1, SetO-F2 SetO—G1, SetO-G2 Set0-H1, Set0-H2 SetO-I1, Set0-I2 Set0-J1, Set0-J2 SetO-K1, SetO-K2 Set0-L1, Set0—L2 (NOTE: A-L Represents Month) 6.3.4 Continue the same schedule for the following months. 6.4 Tape Removal
  4. 4. 71/{cuuwtfZUu3tr}’z. ;/. xie. z? 6.4.1 The morning after the backup has been performed the Engineering Technician removes the tape from the tape drive and inserts the appropriate tape for the next backup. 6.5 Tape Location 6.5.1 Tapes are stored in a fire security safe at the same site as the tape backup drive. 7.0 Procedure - Daily Backup Procedure 7.1 This procedure describes the method used for daily tape backup of computer network files at ABC Company. 7.2 General 7.2.1 The Novell file server has software loaded that automatically makes a backup tape of the entire file system. This software, ArcServe from Network Associates, is loaded whenever the system is started, and runs until the server is downed. The backup time is set for 10:00 PM. All files on the file system, including those files that are open on workstations are copied to tape. 7.2.2 The Technician bears the primary responsibility for this procedure. The MIS Coordinator acts in the absence of the Technician. 7.3 Tape Insertion 7.3.1 The Technician inserts the appropriate tape for the backup to be performed. The tapes are labeled and to be used in the following manner: 7.3.1.1 Monday, Tuesday, Wednesday, Thursday - tapes used for daily backups. 7.3.1 .2 Friday 1, Friday 2, Friday 3, Friday 4, Friday 5 - tapes used for weekly backups on every Friday. Use the tape for the numbered Friday of the month, i. e., for the first Friday of month, use Friday 1, for the second Friday of the month use Friday 2, etc. 7.3.1 .3January, February, .. ., November, December - On the last working day of the month, use the monthly tape for that month. 7.4 Tape Removal 7.4.1 The morning after the backup has been performed, the Technician removes the tape from the tape drive and inserts the appropriate tape for the next backup. 7.5 Tape Storage 7.5.1 Daily tapes are stored in the safe located in Sustaining Engineering. 7.5.2 Weekly and monthly tapes are stored offsite by the Technician.
