COMMON ISSUES
 How to create a sub site under my school page?

ADD/MODIFY/DELETE SUB SITES
ADD/CREATE SITE
To add a sub site, click on “Site Actions” > “Create Site”

Title and Description: Type a title and description for your new site. The title will be displayed on each page in the
site.
Web Site Address: Users can navigate to your site by typing the Web site address (URL) into their browser. You can
enter the last part of the address. You should keep it short and easy to remember.
For example, https://portal.knet.edu.qa/schools/AlresalaSec/sitename
Template Selection: A site for teams to quickly organize, author, and share information. It provides a document
library, and lists for managing announcements, calendar items, tasks, and discussions.
Permissions: You can give permission to access your new site to the same users who have access to this parent
site, or you can give permission to a unique set of users.
Note: If you select Use same permissions as parent site, one set of user permissions is shared by both sites.
Consequently, you cannot change user permissions on your new site unless you are an administrator of this parent
site.
Navigation Inheritance: Specify whether this site shares the same top link bar as the parent. This setting may also
determine the starting element of the breadcrumb.
MODIFY SITE
To modify the site, click on “Site Actions” > “Site Settings” > “Modify All

You can modify the site by the sub categories of “Look and Feel”

DELETE SITE
To delete a site, click on “Site Actions” > “Site Settings” > “Modify All

Site setting page will appear as the following figure.

First, before you delete the site make sure that you are on the right site URL. Then, under “Site Administration
Category” > “Delete this site”.

A warning message as the following figure will appear, confirming to delete the site and mentioning that
everything under this site will be deleted.

CHANGING SITE BANNER
These are the steps required to be able to change any of the school banners images (School Site Banner, Class Site
Banner, staffroom Site Banner, Teachers Site Banner, Students Site Banner, Parents Site Banner and the school
logo images) and your school logo image as well.
For an example: we will change the "schoolBanner.jpg" image file for more details please check the below steps:
1. Browse to your school site
2. Right click on the school banner image and click properties

3. Copy the marked below part it should be look like the below URL:
"https://portal.knet.edu.qa/schools/your school name/Style%20Library/en-US/images/MLG/"

4. Paste it into a new browser tab

5. Click on the SchoolBanner.JPG file

10. Browse to your local computer to where you put the new school banner image file.

and paste

Note: Make sure that your new file is named schoolbanner.jpg and placed correctly on
https://portal.knet.edu.qa/schools/SchoolD/Style%20Library/en-US/images/MLG/
And for optimum performance please keep the size of the new image intended to be uploaded as the new school
banner limited to 25000 Byte and dimensions as 527 X 143 Pixels

13. Change back the view to All Documents in order to publish your new changes to all users.

14. Click on the new uploaded schoolbanner.jpg image file and choose Check in

15. In what version would you like to check in?  Choose X.0 minor version (Publish) Option "second option"
then Click OK

Congratulations you have your own school banner published successfully!
Note: you can follow the same above steps to change your ClassBanner, stuffroomBanner, TeacherBanner,
StudentBanner, ParentBanner and the school logo images
The only difference will be in the image name located under "https://portal.knet.edu.qa/schools/your
school name/Style%20Library/en-US/images/MLG/" web site
Note: Make sure that your new file is named "Xbanner.jpg" and placed correctly on
https://portal.knet.edu.qa/schools/SchoolD/Style%20Library/en-US/images/MLG/
And for optimum performance please keep the size of the new image intended to be uploaded as the new Xbanner
limited to 25000 Byte and dimensions as 527 X 143 Pixels
Except for the logo image file dimensions should be 196 X 40 pixels

HOW TO EDIT SITE CONTENT
1. Select the site that you want to Add/Edit or delete a web part to/from it
2. To start editing, first you need to check out the page of that site. To do that select pages then select check
out

3. After checking out the page, click on the site name again to start editing

4. Select site settings  edit page

5. Do All the required changes such as adding new web part(s) , configure web part(s)
6. After finishing , select pages again to “check in” and “publish” the changes you made

9. Now you have finished the update, return to the site again by selecting the site name, in our case “Robot
Activities”
HOW TO CREATE VIRTUAL CLASSES
DELETE YOUR TEACHER CHAMPION'S VIRTUAL CLASS SITES
If you wrongly created the Teacher champion's Virtual Class Sites you can delete it by following up the below steps:
Log on to the https://portal.knet.edu.qa
1. Navigate to your my School web site.

Then navigate to the class site under which you created you teacher champion's class site
Ex. Your English teacher champions chose class 1 A so you wrongly created the virtual class using team site
template or you wrongly created it with a wrong name as can be found below:
EnglishVS instead of EnglishVC or English_VC
Using team site template instead or any other template instead of the recommended template as per below:

Go to “Site Actions” > Then to “Site Settings”

Note: - In order to ensure you will delete the right VC site you need to check the site information part

From site settings Choose delete the site link  the below page will load then choose click on the Delete button

Confirm the deletion by clicking OK
Site is deleted. Now you are ready to recreate the correct Virtual class site for your teacher champions

Log on to the https://portal.knet.edu.qa
1. Navigate to your My School web site.

Then navigate to the class site under which you will created your teacher champion's class site

Go to site ActionsCreate Site
Fill In the title field according to the agreed naming conventions

Both are correct.
Fill in description Field with a reasonable description
In the Web Site Address part fill in the URL Name with the same as the title field

In template selection part choose E-learning ICT QATAR Knet II StaffRoom Site
Your teacher champions must have this template to be able to create their class sites.

The site will be created in the left Pane as shown above.
Navigate the recently created Virtual Class to ensure that it is created under the correct class
Your School Name > My Classes > Class 1 A > English VC > Pages > default

Then you have to grant your teacher Champion Full permission over the VC

Note: - Always consider Checking Site Information Part to ensure assigning permission, creating
or deleting sites as per found below:

The following “Add Users” page will appear:
 Type the name of the intended user, you can enter user names, group names, or e-mail addresses.
Separate them with semicolons. i.e “Mohamed Abdel Raheem” then press check names icon under the
user text box.
 Click on “Give users permission directly” Radio button.
 Click on the required permission check box i.e. “full control and SLK Instructor” if we need to grant user
(Mohamed Abdel Raheem) this permission.
 Then press “OK” to finish the addition of this user and granting him contributes permission.

Finally review permissions page to make sure that required user has been granted the needed permission.
USER ACCOUNTS
RESET OF LOST OR FORGOTTEN PASSWORD
1-ask the user about his/her username / password.
2-check the provided username / password to see if it works from your computer
3-if the username / password do not work; then do the following:
Go the school site of the user
Click on School “Site Admin” and click on “user Management”

Click on “Search for KNet User”, then leave all fields blank and click on the “Search” button
This will open a list of all users’ details in the school
Select the user you want to reset his password then click on rest password

If you run into an issue similar to “school principal, Secretary, assistants (Administration department) do not have
user name and password; do the following
- Go to user management and search for them by choosing the role of the users.

MY SITE ERRORS
If you can't access/edit “My Site” site, or if it run into an error similar to the below screen shot;

Please do the following steps;
1-If you get ‘page cannot be displayed’ then login to school site using school site link (assuming school name is
‘SchoolName’).
https://portal.knet.edu.qa/schools/SchoolName
2-If user could login to school site then the username and password are correct and the problem in “My Site” so it
should be deleted and recreated in order to fix this problem.
3-Type the following link in the address bar after replacing ‘User_name’ with the actual username:
https://mysite.knet.edu.qa/personal/ict_user_name/_layouts/deleteweb.aspx
So if the username is “test.teacher” the link will be as follows:
https://mysite.knet.edu.qa/personal/ict_test_teacher/_layouts/deleteweb.aspx
4-Delete “My Site” web page will be displayed, press delete for deleting “My Site” then you will receive a
confirmation that “My Site” is deleted.
FIXING WRONGLY CREATED “MY SITE” FOR ACCOUNTS
If you got “My Site” created similar to the one shown below, this means that it is created in a wrong way. To fix
the problem please do the following:
1. Select site actions “ ‫الموقع‬ ‫“إجراءات‬ then select site settings “ ‫الموقع‬ ‫“إعدادات‬

4. Open the portal in a new browser, you will be asked to recreate “My Sit” , select the language (Note that
the language you selected for My Site cannot be changed after, so please select it carefully)

6. You should finally get “my site” created in the below format (the one in the image is for students , you will
get another one for teachers and also another one for parents)

COMMON PERMISSIONS ISSUES
 User account cannot access X site
o Teacher(s) user account cannot access staffroom(s) sites.
o Student(s) user account cannot access classes sites.
 Administration user account wants to add news.
SUPPORT STEPS
 Login through the user account and check if they have access to that site. If they really don’t have access,
then escalate the issue.
HOW TO GRANT PERMISSIONS ON A SPECIFIC SITE
 Click on “Site Actions” > “People and Groups”

 Permissions page will appear, then choose the group which you want to add the user in it.

 Click on the arrow next to “New” button > “Add Users”.

MICROSOFT SHAREPOINT SITE DEFAULT GROUPS
 Site Visitors: Visitors can read content in the Web site.
 Site Members: Members can contribute content to the Web site.
 Site Owners: Owners have full control over the Web site.
Note: You can provide permissions to the user account directly without adding it to these groups.
DEFAULT PERMISSIONS
You can grant permissions directly to the users.
 Full Control - Has full control.
 Design - Can view, add, update, delete, approve, and customize.
 Manage Hierarchy - Can create sites and edit pages, list items, and documents.
 Approve - Can edit and approve pages, list items, and documents.
 Contribute - Can view, add, update, and delete.
 Read - Can view only.

  • 7. | e-Education V1.0 23-Dec-2009 7 | P a g e SCHOOL SITES COMMON ISSUES  How to create a sub site under my school page? o Attach the steps of “How to Add sub site”.  How I can add/edit web parts to the school page? o Escalate.  How to change the banner of the school site? o Attach the steps of “How to change the school banner”  I’ve changed the school banner, but the site still shows the old banner. o Attach the steps of “How to change the school banner”  How to embed a YouTube video into the school site? o Escalate.  How to create a page? o Go to “Site Actions” > “Create Page”.  I can’t edit the home page? o Make sure that the page is “Checked-out”.  How to create Virtual Classes? o Attach the steps of “How to create Virtual Classes”.  How to edit site content? o Attach the steps of “How to edit site Content”. SUPPORT STEPS  Ask for the URL and check if the issue occurs.  Any issues regarding school sites needs to be escalated. ADD/MODIFY/DELETE SUB SITES ADD/CREATE SITE To add a sub site, click on “Site Actions” > “Create Site”

Web Site Address: Users can navigate to your site by typing the Web site address (URL) into their browser. You can enter the last part of the address. You should keep it short and easy to remember. For example, https://portal.knet.edu.qa/schools/AlresalaSec/sitename Template Selection: A site for teams to quickly organize, author, and share information. It provides a document library, and lists for managing announcements, calendar items, tasks, and discussions. Permissions: You can give permission to access your new site to the same users who have access to this parent site, or you can give permission to a unique set of users. Note: If you select Use same permissions as parent site, one set of user permissions is shared by both sites. Consequently, you cannot change user permissions on your new site unless you are an administrator of this parent site. Navigation Inheritance: Specify whether this site shares the same top link bar as the parent. This setting may also determine the starting element of the breadcrumb. MODIFY SITE To modify the site, click on “Site Actions” > “Site Settings” > “Modify All

Figure 6 - Site Settings First, before you delete the site make sure that you are on the right site URL. Then, under “Site Administration Category” > “Delete this site”.

Figure 7 - Delete Site Warning CHANGING SITE BANNER These are the steps required to be able to change any of the school banners images (School Site Banner, Class Site Banner, staffroom Site Banner, Teachers Site Banner, Students Site Banner, Parents Site Banner and the school logo images) and your school logo image as well. For an example: we will change the "schoolBanner.jpg" image file for more details please check the below steps: 1. Browse to your school site 2. Now you have finished the update, return to the site again by selecting the site name, in our case “Robot Activities” HOW TO CREATE VIRTUAL CLASSES DELETE YOUR TEACHER CHAMPION'S VIRTUAL CLASS SITES If you wrongly created the Teacher champion's Virtual Class Sites you can delete it by following up the below steps: Log on to the https://portal.knet.edu.qa 1. Separate them with semicolons. i.e “Mohamed Abdel Raheem” then press check names icon under the user text box.  Click on “Give users permission directly” Radio button.  Click on the required permission check box i.e. “full control and SLK Instructor” if we need to grant user (Mohamed Abdel Raheem) this permission.  Then press “OK” to finish the addition of this user and granting him contributes permission. USER ACCOUNTS RESET OF LOST OR FORGOTTEN PASSWORD 1-ask the user about his/her username / password. 2-check the provided username / password to see if it works from your computer 3-if the username / password do not work; then do the following: Go the school site of the user Click on School “Site Admin” and click on “user Management”

  • 43. | e-Education V1.0 23-Dec-2009 43 | P a g e Please do the following steps; 1-If you get ‘page cannot be displayed’ then login to school site using school site link (assuming school name is ‘SchoolName’). https://portal.knet.edu.qa/schools/SchoolName 2-If user could login to school site then the username and password are correct and the problem in “My Site” so it should be deleted and recreated in order to fix this problem. 3-Type the following link in the address bar after replacing ‘User_name’ with the actual username: https://mysite.knet.edu.qa/personal/ict_user_name/_layouts/deleteweb.aspx So if the username is “test.teacher” the link will be as follows: https://mysite.knet.edu.qa/personal/ict_test_teacher/_layouts/deleteweb.aspx 4-Delete “My Site” web page will be displayed, press delete for deleting “My Site” then you will receive a confirmation that “My Site” is deleted. FIXING WRONGLY CREATED “MY SITE” FOR ACCOUNTS If you got “My Site” created similar to the one shown below, this means that it is created in a wrong way. To fix the problem please do the following: 1. Select site actions “ ‫الموقع‬ ‫“إجراءات‬ then select site settings “ ‫الموقع‬ ‫“إعدادات‬

You should finally get “my site” created in the below format (the one in the image is for students , you will get another one for teachers and also another one for parents)

SUPPORT STEPS  Login through the user account and check if they have access to that site. If they really don’t have access, then escalate the issue. HOW TO GRANT PERMISSIONS ON A SPECIFIC SITE  Click on “Site Actions” > “People and Groups” Figure 64 - Accessing People and Groups  Permissions page will appear, then choose the group which you want to add the user in it.

Figure 65 - Adding Permissions MICROSOFT SHAREPOINT SITE DEFAULT GROUPS  Site Visitors: Visitors can read content in the Web site.  Site Members: Members can contribute content to the Web site.  Site Owners: Owners have full control over the Web site. Note: You can provide permissions to the user account directly without adding it to these groups. DEFAULT PERMISSIONS You can grant permissions directly to the users.  Full Control - Has full control.  Design - Can view, add, update, delete, approve, and customize.  Manage Hierarchy - Can create sites and edit pages, list items, and documents.  Approve - Can edit and approve pages, list items, and documents.  Contribute - Can view, add, update, and delete.  Read - Can view only.  Restricted Read - Can view pages and documents, but cannot view historical versions or review user rights information.
