Editor's Notes
Loyola has around 16,000 students, including undergrad and grad students. Our office serves all students – plus alumni - except Law and Business students at our 2 main campuses. As you can see, one campus is located in the heart of Chicago’s bustling Gold Coast Area; the other campus is on Chicago’s northside, right on Lake Michigan – definitely different personalities! We also serve our School of Nursing, which will relocate to our Maywood Campus, a western suburb.Until last summer, the Career Development Center had an MSE with our Quinlan Business Career Services Center. We switched from the MSE last summer and share a single system. Our School of Law has it’s own separate NACElink system. We managed 10 fairs last year – general fairs and targeted fairs, including one shared by both CDC and BCS
I highlighted most, since you can run reports on multiple fairs in the regular Reports section.
General Fairs:Customized majors to simplify a hierarchical majors list and group similar majors together for easier selectionTargeted fairs: employers only see appropriate majorsAdd sections and fields to employer registration form, such as electricity needs. Can also customize if should appear on manager and student views. Add social media fields, such as FB and Twitter that are linked to the employer record to update employer overview information.Customize so students can view this from fair registrants screen
We timed it. It took between 45 to 75 seconds for a student to sign in on a check-in list, but only 6 seconds to swipe their ID card. Not only can kiosks plow through a line in record time (BCS Fair!), but we can check the Kiosk log for attendance count on a real time basis. Name tags can be printed on the spot from a Kiosk swipe.Surveys can be linked to a kioskCan add students to the Kiosk log And we get GREAT metrics!
Send feedback surveys out immediately after the fair to students and employers via HTML e-mailsCheck E-mail analytics for opensSend Outcomes survey about 4 months later to see student interviews, hires, and other employer followupIt all give us great data!
This is has been my favorite branding, done for the past couple of years. Not only did we use consistent branding on everything to do with this fair – announcements, website, posters, employer directory and so, but the “dots” on the posters were removable so students could pull one off and wear it around campus, helping us promote the fair.
~ uploadedpdf to Resource Library and included link in student announcement
EmployerDirectory always brandedBlank space? Add Career Fair Tips, or use to promote our events or servicesWe don’t use the NACElink Publications tool Instead, created our own Word merge template. 1. Create a report to pull required fields 2. Save to Excel. 3. Create MS Word Merge Document Selection Mailings/Start Mail Merge Document Type = directory Data File = your excel file created form the Report Select Merge and insert merge fields Arrange the fields; format them Add features such as a header/footer Save file as “fair directory merge document” (so you can use it later, changing the data file) 4. Open your fair directory merge document and select Finish & Merge 5. Save your new document as your draft fair directory document. 6. Edit your directory. You may need to insert page breaks or do a litle adjusting of line spacing 7. Insert ads 8. I usually save to PDF, and then combine it with the cover as a single PDF 9. Use the PDF to create a QR Code to save treesUse employers names only for a merge file to create Employer Signs Use report to Excel for Employer sign-in sheets that include content YOU choose (all participants? Loyola alumni? Balance due?
Create data file using career fair reportRun your report and save data to Excel Create MS Word Merge Document Merge data with merge documentEdit the resultsAdd employer advertisementsCan also add things such as “Career Fair Tips” or promote other upcoming eventsAdd your directory cover Create a QR Code to save trees
Fair reports can also be used to download data for:Other types of Fair Directories, like this one for the “What type of job are you looking for” fairFor Employer check-in lists that include all registered participants and if they are Loyola alumni, along with, balances due.And Employer Signs, again created by merging data into a Word merge document
We implemented the new Sponsors feature for a general career fairWe edit the title of Sponsors to “Meet These & Other Employers at the Fair!”Logos rotate on the Student homepageIn order to get logos, had to go through a few “contortions” since logos aren’t available in employer record from manager view Create publication for fair and open in Find logos and save them as image files, one at a time Upload them as images into our system Create the sponsor record
This was our first attempt at branding our eNewsletter. Problem: Can’t rearrange the sections so Job Fairs would be at top, and I wanted to include a few sample jobs, info sessions plus promote the upcoming career fair. Solution: Changed the top section in the Compose section of the eNewsletter.
