Booking procedure – 20 steps 1 Client contact us with a request for accommodation/travel 2 We check what their expectations are Budget, Where, Dates/duration, Type of accommodation, type of activities, what they want to experience Have they done something similar before, Are there children with them, ages of children, Will they self-drive, or fly, rent a car 3 With answers to these we start checking availability, getting quotations together 4 Compile a quotation for different establishments and packages 5 Email the list of options to the client, but at the same time make provisional bookings to secure availability 6 Client send us a short list 7 We then assist them making a decision out of the short listed options - providing more information 8 Client decide which option they would take 9 We invoice 10 Client pay a deposit (always – secure – client feel comfortable/ lodge comfortable)
  10. 11 We pay the deposit over to the lodge 12 Lodge confirm with us 13 We confirm with the client 14 We go back and cancel all the provisional reservations not needed 15 4 to 6 weeks prior to travel we collect balance payment and pay over to Lodge. 16 Lodge confirm final payment received. 17 We prepare final confirmation vouchers, include additional driving instructions, packing lists, recommend vaccinations and medical precautions where necessary 18 Communicate client’s requirements to the lodge 19 24 hours prior to departure Where flights are part of the booking we would electronically check clients in if they require this We re-confirm with the lodge, car hire, flight times Make sure the lodge took notice of special occasions such as a birthday 20 On day of arrival we will phone out-front and make sure the lodge is ready for your arrival. Phone again to make sure you’ve arrived safely. Do this following your itinerary. We might phone you but usually don’t want to bother clients traveling. But if you are late we will make sure if you are ok.
