• Ways of learning and teaching have changed, and libraries must change
with them.
• The best university libraries in the world are those that have embraced
technology and placed it at the heart of their concept of what a library
is all about.
• A library is not just a book depository; it is a space that enables and
encourages inquisitive minds. We need a library that is fit for the 21st
century, including the physical and digital spaces needed for new and
emerging modes of study.

We have to make sure everything works on
everyone’s mobile devices.
We still need to get our work done when
we are travelling.
Managing complex infrastructure takes our IT
staff away from the important projects.
We are cost conscious nowadays more than
ever.
In some cases, we want more control over
what tools some of our employees have.

Janet helps research and education move to Microsoft Office 365 for Education
27 June 2012
Janet, provider of a world-class network infrastructure for research and education institutions, is helping the
sector harness the benefits of cloud-based Microsoft Office 365 for Education (Office 365), through initial
legal support and by agreeing a customised set of licensing documents with Microsoft, saving the sector
time and money.
A number of universities have worked with Janet in the production of this pack which is being made
available to the HE and FE sector. This will help those in the sector move to collaborative cloud services for
staff, student and alumni, for email, document storage and calendars.
Dan Perry, Director of Product & Marketing at Janet commented:
"Under tight timescales, and working in partnership with interested universities, we've produced a document
pack for immediate use that will work for the vast majority of the sector, particularly those institutions
implementing Office 365 this summer. Together with the development of a single agreement on behalf of
the sector for Microsoft cloud services [including Office 365] launching in the autumn, this work will save the
sector time and money by reducing duplication of legal effort and harnessing economies of scale.
"In response to key priorities raised by the sector we have focused special attention on concerns of cloud
data transfer and security."

• Apps,Apps,Apps! 96% of millenials have joined a social network. Generation Y and Z consider email
passé and some universitys have stopped distributing emails. Instead they are distributing eReaders,
iPads and tablets and this will change the forum in which information will be shared in the future.
• Technology will need to adapt and facilitate the demand of modern Universities/Colleges and will play a
pivotal role in the future of students productivity and universities/college efficiency in costs.
• Devices will need to be faster and will need to be able to do more with less cost
• Students will continue to demand more from universitys/colleges in terms of learning from a distance,
blending different mediums of education through many different resources.

Instead they are distributing eReaders, iPads and tablets and this will change the forum in which information will be shared in the future. • Technology will need to adapt and facilitate the demand of modern Universities/Colleges and will play a pivotal role in the future of students productivity and universities/college efficiency in costs. • Devices will need to be faster and will need to be able to do more with less cost • Students will continue to demand more from universitys/colleges in terms of learning from a distance, blending different mediums of education through many different resources.

Notes de l'éditeur

  1. Over the past 30 years technology has changed in every way shape and form. Progression of Technology – What did it used to be? No mobiles/personal devices/social media. Dial-up connections. No infrastructure for the cloud. If you needed a machine – you had to go to the resource rather than it coming with you.In 2000 rise of Hotmail, mobile technology improving and becoming accessible.Environment of Education – How did they learn? Using books, not easy to research, lectures were given only in person. Information sharing was not as dynamic. In 2000 – virtual learning environments, Microsoft windows and office paving a path for the future of productivity in the education sector. Now we are in an age which is defined by the consumerisation of IT. NOW – CLOUD technology – is the ability to access the services you require via the internet. Anytime, anywhere. You can collaborate and communicate with other stakeholders.
  2. government curriculum and fiscal boundariessocio-economic factors, such as the consumerisation of IT, and increasing pressure to deliver technology that not only engages students, but equips them for 21st century careers.educational facilities on and off site as well as homeworking, and technology must adapt to these new scenarios. integrated technology to be essential across the curriculum, let alone an element of the school infrastructure and teaching methodology, accessible to pupils and teachers inside and outside of the school.  Technology is part of everyday life for all pupils and so needs to integrate seamlessly into their lives at school, as it does at home.  Technology can help to reduce costs in the Long-term through energy consumption and increased productivity.
  3. This is a once-in-a-lifetime opportunity to transform our campus and ensure that our students, staff, and wider community have a facility that serves their changing needs, exceeds their expectations, reflects the status of their institution, and is a source of pride for decades to come.Technology is being seen as the way in which University of Birmingham can transform its offerings to its students, and just one example of this is the direct aim to reduce co2 emissions by 20% in 2020 with technology.
  4. Over the past 25 years Microsoft has brought software to customers that is continuously improving to meet diverse needs. We started early with Word and Excel which you could buy individually. Later, ground breaking products like PowerPoint and Outlook were developed. These products are now foundational applications for businesses of all types. In 2003 and 2007 Microsoft made an aggressive move to add suites and Servers to the Office offering, respectively. With servers like Lync (once Office Communication Server), Exchange and SharePoint, powerful collaboration experiences were extended across the enterprise.  With the launch of Microsoft® Office 365 in July (2011) Microsoft now delivers the power of cloud productivity to businesses of all sizes, helping to save time, money and free up valued resources. Office 365 combines the familiar Office desktop suite with cloud-based versions of Microsoft’s next-generation communications and collaboration services: Exchange Online, SharePoint Online and Lync Online. Office 365 is simple to use and easy to administer – all backed by the robust security and guaranteed reliability you expect from a world-class service provider. Microsoft Office 365 Includes:Microsoft® Office Professional Plus - The world’s leading productivity tool now seamlessly connected and delivered with cloud services – for the best productivity experience across the PC, Phone and Browser.Exchange Online - Cloud-based email, calendar and contacts with always-up-to-date protection from viruses and spam.SharePoint Online - Cloud-based service for creating sites to connect colleagues, partners and customers.Lync Online - Cloud-based instant messaging, presence, and online meeting experiences with PC-audio, video conferencing and screen sharing. Key Microsoft Office 365 Benefits:Anywhere-access to email, documents, contacts, and calendars on nearly any device Work seamlessly with Microsoft Office and the other programs your users already count on everydayBusiness-class features including IT-level phone support,  guaranteed 99.9% uptime, geo-redundancy, and disaster recoveryPay-as-you-go pricing options which give you predictability and flexibility for all or part of your organization But if you were to leave this meeting with only one thought it is that Office is becoming a service. Office as a Service The first of the three foundational investments is Office as a new Office 365 Service. The best Office experience is from the cloud. The nature of the cloud unlocks scenarios that were previously not possible or difficult to implement.  Complete Office Delivered in SecondsIT can control when to allow end users to access the latest innovations, but once that decision is made, end users can download and install the latest version of Office.Full versions of the Office applications are available to users within seconds to begin working immediately.Office is compatible with existing applications, custom Office add-ins, files and users’ settings because it is a virtualized application. With the Office service, you have access to the latest in productivity innovations, so your company is always up-to-date without additional effort on your part. Even without internet connection, once streamed, work can continue. Connect Your Device to OfficeInvestments in solutions across devices will allow your users to access Office from the devices they care about.Whether from a PC, Mac, phone or slate, Office solutions are designed to work on that device to maximize what’s most important to get done if you’re at work, at home or on the go.Secure and Reliable ServiceWith Office 365 your data is safer, thanks to robust disaster recovery capabilities, globally-redundant backups, and extensive privacy features. And your users are highly protected against spam and viruses with filters. Office 365 provides easy-to-use, cloud-based management tools in a single location – and we’re available 24x7 to provide IT-level support.Integrate with existing management systems.IT can use existing tools to secure Office.IT controls compliance/governance, in control of how people use and share docs and company information. Simple to Deploy and Keep Up-to-DateFor larger businesses with even more advanced IT needs, Office 365 enables you to get the cloud on your terms with flexible deployment options. Migrate to Office 365 at your own pace or setup your deployment to meet specific compliance, security or operational needs. The service makes it easy to quickly add Office users, devices and services globally.Seasonality, product lifecycles, mergers/acquisitions, global expansion naturally impacts the size of the workforce. The service allows you to pay for the number of employees you have at any particular point in time.Office is integrated with other Office365 services, so it is easy to add additional services when needed. No need to incur expensive infrastructure setup costs and operating costs if nature of need is unclear or fluctuates. The Office service provides flexibility to deploy and manage in multiple ways to minimize costs and meet user needs. Leverage the Office service for initial installation & ongoing updatesDownload Office from service to corporate network for initial installations, but use service for ongoing updates (for in office users, may be faster and less expensive).Use Office service as installation failover option/backup plan if users unable to connect to corporate network.Co-existence of product & service offerings – some functions/orgs/industries are less mobile, don’t vary in size often and don’t need to be on the cutting edge of technology. For them, the product may be preferred, but both are easily managed within an org.
  5. Slide purpose: Establish that you understand the challenges and concerns for businesses, and why customers may be hesitant to move to the cloud. How to present this slide: On each click, the pain points in each of the 4 boxes will appear. Read them out loud. Then speak of the challenges as mentioned below. Then click one more time to bring up the “value pillar” each box represents and use the points below to summarize the benefits. Anywhere Access – Challenges:A large percentage of today’s workforce spends at least part of their day away from their desk. Limited access to documents, email, calendars and such impacts their productivity and the level of their customer service. In addition, mobile workers need access to more than just email, and without using a VPN.Businesses need a way to meet cutthroat competition while finding new projects & customers. In a competitive marketplace, they need their workforce to have information and answers at their fingertips.Businesses need to provide better/fasterways to show work to their customers.Anywhere Access – Benefits:Anywhere access is important because you want to provide users with access to email and content when they are travelling or away from the office. When you’re trying to get a new customer, you need to have the tools at hand to address their concerns. To this end you also need effective ways to show products and designs to your customer. You also want to be able to create a sense of community when not everyone comes to work everyday in one office.Work Together – Challenges:Consistent applications for all employees means everyone has a similar experience with an application and an interface. Remote and in-house workers have trouble communicating and collaborating when they can’t access the same solutions.Lost time or fragmented experiences from separate point solutions for email, collaboration, instant messaging (IM), or communications security impact collaboration and the timeframe of delivering services. Lack of enterprise messaging and collaboration capabilities impedes team members’ ability to work together on documents and plans.Work Together – Benefits:You want to minimize employee collaboration concerns by providing remote and in-house workers with the same software.A Unified Communications solution improves productivity by enabling people to more easily work together.Easy IT – Challenges:Many companies face a heavy IT burden and feel tied to their servers, distracting IT from working on more strategic activities. Then there are security and reliability fears. Companies fear attacks from spam or viruses—especially if it impacts their customers.Another IT headache comes from problems with integration, functionality, and ease of use.Even when you have a new solution in place, that solution often requires employee training time that IT and the end user don’t have.Easy IT – Benefits:You want to simplify your IT infrastructure. You want IT-level phone support to be always available when you need help. You want to be able to control access to sensitive documents. You want to make sure all the services work with each other out of the box so you can spend less time integrating solutions and more time working on important projects. You need to know that your data is secure and that your systems don’t go down. You need to have a business continuity plan when unfortunate events happen, such as a power outage or natural disaster.Best Value – Challenges: It’s hard to keep track of licensing costs and there’s often confusion over switching licenses. Another issue is the high capital expenses that companies face for server upgrade or replacement. Companies don’t want to deal with the hassle of installing and paying for upgrades and troubleshooting. In addition, more and more companies today are expected to do more with smaller IT budgets and headcounts. And what about the hardware and software that companies already own? There’s a lot of fear over losing current infrastructure investments. Ultimately, while many companies would like the added features and benefits of new solutions, they don’t want to pay for them.Best Value – Benefits:Every dollar counts. You want to make sure you invest in technologies that have the lowest total cost of ownership (TCO) but also the highest return in end-user productivity. You want to have predictability of your IT cost each month and be able to easily scale up and down. You want to simplify licensing. You don’t want updates and new deployments to be a full-time job but still want to stay up-to-date to the latest technologies.
  6. Site mailboxes:A new Exchange and Exchange Onlinecapability is site mailboxes. A site mailbox is an mailbox that is shared with and can only be accessed by team members. The site mailbox can contain emails and documents. The emails are stored in Exchange, the documents are stored in SharePoint. The site mailbox shows up and can be used in both Outlook (but not the Outlook Web App) and SharePoint.Data Loss Prevention (copied from http://technet.microsoft.com/en-us/library/jj150527%28v=exchg.150%29.aspx, then edited):Data loss prevention (DLP) is an important issue for enterprise message systems because of the extensive use of email for business critical communication that includes sensitive data. In order to enforce compliance requirements for such data, and manage its use in email, without hindering the productivity of workers, Exchange Online Plan 2 includes DLP features that make managing sensitive data easier than ever before.DLP policies are simple packages that contain sets of conditions, which are made up of rules, actions, and exceptions that message administrators create in the Exchange Administration Center (EAC) and then activate to filter email. You can create a DLP policy, but choose to not activate or enable it. This allows you to test your policies without affecting mail flow. DLP policies can use the full power of existing transport rules. In fact, a number of new types of transport rules have been created in order to accomplish new DLP capability. One important new feature of transport rules is a new approach to classifying sensitive information that can be incorporated into mail flow processing. This new DLP feature performs deep content analysis through keyword matches, dictionary matches, regular expression evaluation, and other content examination to detect content that violates organizational DLP policies. In addition to the customizable DLP policies themselves, you can also inform email senders that they may be about to violate one of your policies—even before they send an offending message. You can accomplish this by configuring Policy Tips. Policy Tips are similar to MailTips, a feature introduced in Microsoft Exchange Server 2010, and can be configured to present a brief note in the Outlook 2013 client that provides information about possible policy violations to a person typing a message. Encryption:Emails and attachments can be encrypted using Rights Management, a new online service.Exchange Online Protection is the successor of Forefront Online Protection for Exchange. It’s an online service that protects customers’ on-premises Exchange servers. Customers who maintain Exchange Enterprise CAL SA may use this service at zero cost.eDiscovery (copied from http://technet.microsoft.com/en-us/library/fp161516(v=office.15)):Electronic discovery, or eDiscovery, is the process of identifying and delivering electronic information that can be used as evidence. SharePoint Server 2013 introduces the eDiscovery Center, a new type of site collection that serves as a portal for managing eDiscovery cases. From this central location you can discover content in the SharePoint farm, in Exchange Server 2013, on file shares, and in other SharePoint farms. You can apply a hold to SharePoint and Exchange content that you discover. The hold ensures that a copy of the content is preserved, while still allowing users to work with their content. When you have identified the specific items that you will have to deliver, you can export them in an industry-standard format.Records management and Compliance (copied http://technet.microsoft.com/en-us/library/fp161517(v=office.15), then edited):The records management and compliance features in SharePoint Server 2013 provide improved ways to help you protect your business. Compliance features of SharePoint Server 2013 have been extended to sites. You can create and manage retention policies in SharePoint Server 2013, and the policies will apply to SharePoint sites and any Exchange Server 2013 site mailboxes that are associated with the sites. When a project begins, the project owner creates a SharePoint site and an Exchange Server 2013 site mailbox. The project owner selects the appropriate policy template and invites team members to join the project. As the team adds documents to the site, sends email messages, and creates other artifacts such as lists, these items automatically receive the correct retention policies. When the work is completed, the project owner closes the project, which removes the project's folders from the team members' user interface in Outlook 2013. After a certain time, as specified by the policy, the project expires, and the artifacts associated with the project are deleted.PowerView (copied from http://technet.microsoft.com/en-us/library/jj542395(v=office.15)) enables users to visualize and interact with modeled data by using highly interactive visualizations, animations and smart querying.. Users can present and share insights with others through rich storyboard presentation capabilities.
