The Accountabilities: 
Working with Projects department at various levels, used to perform various functions require for 
timely, budgetary & qualitative execution of the project, as follows – 
Project Execution from Office- Preliminary activities on award of the project: 
Study the Tender Documents, get understand scope of the work & prepare following documents for 
KICK OFF Meeting with client – 
 Project Execution Schedule 
 Master Drawing-Document List of the engineering deliverables with Categorization plan 
(Approval, Review & Information), to be released against the project. 
 Detail list of Equipment – Instruments & other bought-out material, with identification of 
Equipment having long lead delivery schedule, followed by Sub Vendor List for the same & 
Billing Schedule ensuring progressive cash flow for the project. 
 Conduct internal Kick Off Meeting & brief team members about overall scope-critical 
Specifications & time schedule for various milestones. 
 Conduct external kick off meeting with client to get clarification about techno-commercial
queries & scope of work. 
 Co-ordinating with multi disciplines for timely delivery of Basic Engineering Package 
inclusive of GA Drawings, Technical Data Sheet, Quality Assurance Plan, Lighting Design, 
Foundation Design & Structural Calculation etc. 
 Co-ordinating with multi disciplines for Quality Acceptance Plan in line with the tender 
document / specifications. 
 Submission to the Client & get approval for these documents, across the discussion. 
 Assisted in applying TOC (Theory of Constraints) in day to day work to ensure smooth and 
efficient processing and execution of projects. 
 Directly responsible for maintaining & updating the documentation for respective projects as per 
client requirement & as per tender specification. 
Project activities: 
 Planning, scheduling & monitoring / tracking of, execution of Engineering, Procurement activities 
in line with the aid of customized application namely SCCPM- Vector Flow, ERP- Oracle, E-biz 
software’s. 
 Organize weekly review meetings (In-house) to highlight work progress as well as to understand & 
resolve difficulties / area concerns, other disciplines may be having. 
 Preparing various reports for internal review & client submission such as Weekly project progress 
report, Monthly project progress report 
 Tracking & Follow up of Variance report for the additional work other than initial defined scope of 
work or delay from client for approval of engineering deliverables. 
Procurement & Quality Control activities: 
 Co-ordination with the Materials department & vendors for timely getting techno-commercial 
offers, resolving technical queries & evaluation of techno-commercial bids. 
 Co-ordination with Engineering & Material group for timely release of Purchase orders, within 
budgetary limits given by Marketing. 
 Co-ordination with Quality Control department, vendors, client & third party for timely inspection 
& clearance for delivery of the equipment. 
Financial activities: 
 Preparation of invoicing schedule in line with tender document (milestone payment) & project cost 
estimation given by marketing department, ensuring progressive cash flow. 
 Co ordinations with the in house finance for timely payment to the vendors as per agreed payment 
terms & follow up with the vendor for timely delivery of the equipment to maintain Invoicing 
Schedule with client. 
 Timely submission of commercial invoices to the client, in line with the approved billing schedule 
& follow up for earliest collection of the payment.
