CIO Magazine recently published their “State of the CIO” for 2012When asked what CIOs wanted to focus on in the next 3 to 5 years they answered:1st – Drive Business Innovation2nd – Identify opportunities for competitive differentiationAnd 3rd – Develop and refine business strategyIn addition they said that most of their investments this year will go towards:Business Intelligence and Cloud ComputingI share this today since it relates directly with “Improving Your Efficiency and Reducing Costs Using Productivity Software”
Good Afternoon,I am David Gersten , a Business Development Executive from Apex Computer Systems in Cerritos California. For the last 12 years I have been intimately involved in solving businesses problems by looking at internal procedures and processes and identifying ways to improve them. With me today in the audience is Planet Together. They are a partner of ours offering manufacturing scheduling software for ERP solutions.Thank you for coming to today’s session. Over the next 15-20 minutes I plan on introducing Apex Computer Systems, discussing how productivity software can effect your organization, and review some solutions that will help you obtain those results.
Apex Computer Systems was founded in 1983 and we are based in Cerritos California.Specializing in Enterprise Resource Planning and Software solutions for almost 30 years we also have employees throughout the United States servicing the printers, servers, and computers of many fortune 500 organizations. We have technology partnerships with Microsoft, HP, IBM and SAGE.
Our two divisions, Consulting Solutions Group and Field Services Group form Apex Computer Systems. We are considered as Trusted IT Advisors by many small and medium businesses and Fortune 500 companies throughout the United States. We provide end to end business productivity software solutions from Analysis through implementation to providing ongoing support. We do this all with in-house Certified Consultants and Developers. We are also a National Provider of IT Lifecycle Maintenance Services providing solutions from acquisition to disposal of your IT Infrastructure.
All of the software solutions we implement fall into the category of business productivity software. When an organization decides to use this type of software many positive results occur.Today I am going to address 4 of them:Increased EfficienciesEnsuring ComplianceImproved CollaborationAndd) Minimized costs
Many things increase efficiencies, but these 4 business functional areas tend to have significant positive changes when an organization uses productivity software:Workflow – an example of this is the concept of proactive alerts. Using a tool that allows you to be proactively alerted to approval requirements and/or diversions from standard processes or policies will let you manage by exception and minimize being reactive. An example of this may be Purchase Amount Approvals and/or New Customer SetupsIncreasing capacity with same resources – doing more with less – many businesses are trying to figure out how to do this on a regular basis. This can relate to many different functions although in regards to manufacturing it directly relates to Material Resource Planning, Forecasting and Supply Chain Management.Being able to look at production schedules dynamically, people, equipment and materials can all be planned based on supply and demand and historical trends. In addition, inventory automation and accuracy will allow you to make smarter decisions too.
By increasing efficiencies and improving processes some people are often concerned about compliance and quality suffering.By using tools that help you take the manual processes out of the “you can and you can’t rules” you will see how the systems can actually help ensure compliance.Through electronic document approval processes, inline quality control tools, electronic records management and digital archiving of data, important regulations like 21 CFR 11 and ISO 9001/9002 compliance becomes much easier and successful to manage.
Another result from using business productivity software is IMPROVE COLLABORATION within an organization. When this happens you are also more efficient and remain compliant too.Sharing document in an organized manner in a document repository rather than on individual “C” drives or corporate “I” drives will allow your employees to access information based on their roles and keep track of document revisions, and history of who accessed the documents and when.Utilizing real time instant messaging, instant video and voice meetings will allow non-centralized work forces work together as if they are sitting in the next cubicle. Centralized employees benefit too by being able to have conversations as needed and not rely on phone calls and emails all the time. This will allow people to work together more collaboratively.Lastly collaboration doesn’t have to mean just people working together, but it can also mean systems and applications work together. By having integrated systems, (the alphabet soup of systems like – ERP, MRP, CRM, CAD, QA, etc) you are enabled to work smarter and access and share related information more easily.Accessing business intelligence now becomes real and NOW. It is more accurate, available and enterprise wide.
The last area todaythat this software can impact is Minimizing costs. After evaluating your enterprise procedures and processes you should be able to implement rule based solutions that will decrease errors caused by manual, tedious and siloed processes. What is often identified is that there are too many systems and tools that companies have invested in and none of them speak to each other. As a result, many are underutilized and previous financial investments end up sitting idle.Giving more control and management functionality to IT with easily integrated systems and fewer systems overall will result in immediate savings. By being able to access information from anywhere – cloud based computing options – will allow your employees to access information more efficiently which will reduce costs like travel expenses and labor costs. This ultimately allows organizations to consider how and where their employees may work, which can reduce even more costs eventually.PAUSE
To help you better understand how your organization can be positively impacted by using productivity software, take a look at what a few of Microsoft’s customers have said:American Orthodontics – says that by using Dynamics NAV, they can continue to grow with the level of service quality they aim for and introduce new efficiencies as (they) move forwardIn addition, GlaxoSmithKline says that moving to online services helped cut an estimated 30% from operational costs.Wouldn’t you want this type of results for your organization?
As a Microsoft Certified Partner, Apex Computer Systems is a provider of both Microsoft Dynamics NAV and Microsoft Office 365. Two very functional business productivity software solutions.
One of the productivity softwaresolutions that will help your organization reach the previous results mentioned is Microsoft® NAV (formerly known as NAVISION)MicrosoftNAV was developed in Denmark originally in 1983. Because of its usability and recognizable interface, strengths in manufacturing and distribution, and having international features straight out of the box, it has become Microsoft’s #1 ERP solution with over 1 million users worldwide. Its business functionality focuses on all aspects of an organization centered around a strong financial core system.
In order to meet some of the results I spoke of earlier NAV often relies on ADD-On solutions too deliver results:One of them is ZetaDocs Express which is actually included with all new installations. This is a tool that directly helps you cut costs and work efficiently.Delivering reports by email directly you can cut your expenditure on printing and conventional mailing.Zetadocs Express will also help you make savings by capturing received emails, documents and faxes, and filing them online, alongside copies of delivered documents. The result is a reduced dependency on expensive paper storage systems. The automatic filing in Office 365 of documents for Microsoft Dynamics NAV removes manual administration tasks, as well as making these documents available for collaborative working and workflow processes such as on screen document approval. Storing outbound and inbound business documents together in one central place makes them quick and easy to retrieve on screen by authorized personnel across your organization. All documentation is stored securelyonline with automatically created links into Microsoft Dynamics NAV. This helps ensure that information critical to your business is filed securely and correctly, reducing problems from miss-filing and eliminating the risk of loss through a disaster such as fire or flood.
As mentioned earlier, PlanetTogether is one of our add-on partners that helps improve your manufacturing scheduling. There solutions integrate with NAV as well as many other ERP solutions in the marketplace.PlanetTogether’s Galaxy APS is the Go-To solution for ensuring superior operational effectiveness in single and multi-plant manufacturing environments. The standard NAV integration connector supports a quicker implementation effort. Galaxy provides excellent support for Lean and Theory of Constraint continuous improvement initiatives; both in discrete and hybrid form. The ability to collect and present Throughput Velocity data for capacity constrained resources is a unique strength that drives high return on asset results.Regardless of product flow dynamics, Galaxy will help ERP users minimize misallocations of material, capital, and human resources, ensuring profitable growth.
The other productivity softwaresolution that will help your organization reach the previous results mentioned is Microsoft® Office 365.Microsoft® Office 365 is secure anywhere access toprofessional email, shared calendars, IM, video conferencing, and document collaboration. It combines the cloud based solutions of Microsoft Exchange, SharePoint and Lync while creating the easiest way to work. The cloud provides the freedom to access data anytime, from anywhere—no office, no hardware required. The cloud keeps your solution current with automatic updates. This solution offers an attractive cost—you can pay monthly for what you need and never need to purchase expensive hardware to house on-site.The cloud offers data security, with off-site, safe storage.PAUSE
As mentioned previously – business productivity will improve efficiency and reduce costs in your organization. It will allow you to :Focus on managing product qualityEnables efficient processesMeet regulatory requirements and reportingImprove overall customer experience
