achieve a deliverable output
Energy within the meeting and beyond
THE OUTCOME
All attendees felt they had a voice/were heard,
ensuring effective collaboration, consensus on a
tangible tactical plan with agreed timelines, and
ownership and implementation of assigned actions
within the plan
THE CHALLENGE
To facilitate the dialog between top experts in the field of
Hepatology in order to achieve a robust and active plan for
education around hepatitis C including available and future
treatments
The advisors had been identified by the internal team and a
draft agenda compiled
OUR APPROACH
We took a step back and challenged the clients objectives,
working with them to identify their journey which included
identifying additional advisors with the knowledge and expertise
to further enhance the meeting
We worked with the co-chairs to devise a program that allowed
for maximal discussion and sharing of expertise
The use of ‘workmats’ in small, breakout groups enabled lively
and informative sessions while ensuring the comfort level of all
participants
Consensus was captured in real time to facilitate timely delivery
of the agreed action plan post event

THE OUTCOME
All advisors were extremely enthusiastic; whilst
interesting differences were revealed,
agreement was reached on key learnings from
the data, the most important challenges in
treating patients, and for which patient types
more data are required.
THE CHALLENGE
To provide the forum for review and discussion of the latest publicly available data
on 1st-generation DAAs, amongst clinicians from the MEWA region:
− Highlight the most important topics and challenges for educating clinicians
− Input into educational materials for future meetings
The goal was to foster vibrant debate of the topics and data presented, amongst a
group from different countries, with only modest experience of treating with DAAs
OUR APPROACH
In collaboration with the co-chairs, we devised a program to encourage
participation, using keypad voting and case study examination:
− Clear objectives were identified and communicated to attendees at the
start of the meeting followed by around-the-table introductions
− Key data on 1st-generation DAAs, 2nd-generation DAAs and IFN-free
treatment options from recent congresses were assimilated before the
meeting, and presented at the meeting to provide the backdrop for
productive debate
− Using keypad voting devices, opinions were rapidly captured
> Consensus and disagreement could quickly be gauged and challenged
in the animated discussion sessions
− Key factors, new data, and specific challenges affecting treatment
decisions and the management of patients were discussed

THE CHALLENGE
To provide a platform for focused discussion between oncology experts
from across the USA, EU and Japan to gain insights on:
− The key challenges and opportunities in the evolving treatment landscape
− Communication around the disease and therapy area
− The proposed wording and information in the Target Product Profile and
Product Label, to ensure appropriate language and data effectively
identifies the appropriate patients as candidates for therapy
OUR APPROACH
− We identified several key areas central to the success of the advisory board
− Setting robust objectives to direct the program and guide the discussion
topics, ensuring alignment with the purpose of the advisory board
− Identifying co-chairs able to lead and drive the discussions, as well as guide,
provoke and motivate the group
− Ensuring engagement and interactivity in the program to keep the advisors
engaged and motivated throughout the day
− We used a mix of data presentations, open group discussion,
individual work and facilitated discussion with workmats
− Advisors had the opportunity to provide input in different formats at
different points during the meeting, ensuring the insights and perspectives
from all advisors could be captured by the end of the meeting

Competitor landscaping can also include a study of what the up-and- coming pipeline looks like, and how competitor products may affect the roll-out of your product. Rapid online surveys can be used with the advisors to frontload the meeting with opinion and perception data. This will ensure that time spent at the advisory board is used in discussion and moving forward, rather than spent determining opinions and perceptions. The expert discussion from advisory boards can often result in changes of opinion, due to the different perspectives of the experts involved. A follow-up survey can test this theory to see if the discussion stimulated a change or shift in opinion - this can be particularly useful when discussing a product or barriers to uptake. Key concepts, scientific messages or scientific stories that come out of your advisory board can also be tested in a wider target community to determine how they resonate with practicing HCPs. THE CHALLENGE To provide the forum for review and discussion of the latest publicly available data on 1st-generation DAAs, amongst clinicians from the MEWA region: − Highlight the most important topics and challenges for educating clinicians − Input into educational materials for future meetings The goal was to foster vibrant debate of the topics and data presented, amongst a group from different countries, with only modest experience of treating with DAAs OUR APPROACH In collaboration with the co-chairs, we devised a program to encourage participation, using keypad voting and case study examination: − Clear objectives were identified and communicated to attendees at the start of the meeting followed by around-the-table introductions − Key data on 1st-generation DAAs, 2nd-generation DAAs and IFN-free treatment options from recent congresses were assimilated before the meeting, and presented at the meeting to provide the backdrop for productive debate − Using keypad voting devices, opinions were rapidly captured > Consensus and disagreement could quickly be gauged and challenged in the animated discussion sessions − Key factors, new data, and specific challenges affecting treatment decisions and the management of patients were discussed CASE STUDY 2 DAAs = Direct-acting antivirals MEWA = Middle East and Western Africa IFN = Interferon
  • 12. : Part of UDG Healthcare plc www.ashfieldhealthcare.com12 We deliver advisory board excellence THE CHALLENGE To provide a platform for focused discussion between oncology experts from across the USA, EU and Japan to gain insights on: − The key challenges and opportunities in the evolving treatment landscape − Communication around the disease and therapy area − The proposed wording and information in the Target Product Profile and Product Label, to ensure appropriate language and data effectively identifies the appropriate patients as candidates for therapy OUR APPROACH − We identified several key areas central to the success of the advisory board − Setting robust objectives to direct the program and guide the discussion topics, ensuring alignment with the purpose of the advisory board − Identifying co-chairs able to lead and drive the discussions, as well as guide, provoke and motivate the group − Ensuring engagement and interactivity in the program to keep the advisors engaged and motivated throughout the day − We used a mix of data presentations, open group discussion, individual work and facilitated discussion with workmats − Advisors had the opportunity to provide input in different formats at different points during the meeting, ensuring the insights and perspectives from all advisors could be captured by the end of the meeting CASE STUDY 3 GAINING EXPERT INSIGHTS THE OUTCOME The insights shared during the meeting across the different elements of the program were extremely valuable and incorporated into medical and marketing activities and strategic approaches All advisors attendees remained fully engaged throughout the meeting and commented on the lively, interactive nature of the discussions This type of advisory board program and format has successfully been used subsequently
