I'm thrilled to be here and excited to introduce our session "Unlocking the Power of Data: Use Cases for Tableau to Improve Efficiency in Impact and Compliance Reporting." As a data enthusiast and advocate for efficiency and impact, this topic holds a special place in my heart. In this session, we will explore the remarkable capabilities of Tableau, a powerful data visualization tool, and how it can revolutionize impact and compliance reporting processes. We will delve into real-world use cases that demonstrate how Tableau can streamline data analysis, board reporting, CDFI Fund reporting, and grant monitoring. We will also show you how Tableau can enable organizations to extract valuable insights and make informed decisions. Lastly, we will discuss how to get started with Tableau, and how it can save time, improve efficiency, and enhance transparency. We are excited to share our experiences and insights on how Tableau has transformed impact and compliance reporting in our own organization. - (3-minute max for each speaker) Mai (timed 2 min): Before we jump into the sessions, I’d like to start by introducing the panel. My name is Mai Ha, and I am honored to serve as the Director of Impact at Clearinghouse CDFI. A little about Clearinghouse CDFI: We are a national CDFI, and provide innovative financing solutions and support to underserved communities, including affordable housing, commercial real estate, and community facilities. Clearinghouse CDFI is committed to social impact and is also a certified B Corp. Our Target Market includes national LITP, African American populations, Latino/Hispanic populations, and Sovereign Nations in the 18 western state, and Investment Area in CA, NV, AZ, NM, OR, WA, and TX. I have been with Clearinghouse CDFI for 9 years and in my role as the Director of Impact, my primary responsibility is to align Clearinghouse CDFI's mission with our impact objectives, ensuring that we create sustainable and positive social change in underserved communities. I lead our organization in developing and implementing strategic initiatives for our grant applications that address critical community needs, such as affordable housing, small business development, job creation, and access to essential services. I also oversee data collection and analysis, and CDFI Fund compliance reporting. As a leader, I believe in empowering my colleagues to think creatively and strive for excellence. By fostering a collaborative and inclusive culture, we encourage our team members to bring their unique perspectives and talents to the table. Together, we develop innovative strategies and implement programs that yield tangible and measurable outcomes. This enables better risk management and strategic decision-making. Impact Measurement: Tableau helps CDFIs track and measure the social and economic impact of their investments. By visualizing data on job creation, housing development, and community revitalization, CDFIs can demonstrate their mission-driven outcomes to stakeholders. Compliance Reporting: Tableau streamlines the process of generating compliance reports for regulatory bodies. CDFIs can create interactive dashboards that consolidate data from various sources, making it easier to track and report on compliance requirements. Grant Management: Tableau aids in managing grants by visualizing grant performance, tracking fund allocation, and demonstrating outcomes to grantors. - Mai - Description of Dashboard – used for Board Reporting to report on meeting our CDFI certification requirement that 60% of loans and loan $ are in our Target Market. Also shows how many are in Eligible Markets if not Target Market and how much is ineligible. Benji - Functionality to show: 1. Orient the audience on the pieces of the dashboard 2. Year / Quarter filter 3. Lines of Business (CORE and PPP in 2020) (Benji and Mai) Mai - Importance: - particularly important during Covid when we did PPP and we didn’t know how CDFI Fund was going to treat PPP loans for meeting 60% CDFI certification requirement ; save time ; describe the struggle before
- Mai - Description of Dashboard – board report to our AA and L/H Community Advisory Board – a map that showing our lending from 2017-2021 to minority owned or controlled borrowers (name AA, L/H, and NA) and bar chart with $ of projects and $ of financing in each category. Benji - Functionality to Show: 1. Ability to add in or out different the lines of business (show what map looks like without PPP) 2. View only minority owned/controlled or not or both (show what map looks like with only minority owned/controlled) 3. View if the projects are located in majority minority census tracts (show what map looks like with projects that are both minority owned/controlled and in majority minority census tracts) 4. Hover on states to show 5. Describe the metrics that are in the graph and be sure to state them in a technical fashion Mai - Importance: - helped OTP Advisory to visually see how much lending to OTP communities; help keep us accountable to OTP populations and to guide us on where we can improve. - Mai - Description of Dashboard – used to help manage CMF leads and CMF portfolio; shows where CMF leads would best fit in which award year; it also helps with CMF Reporting; built several different dashboards for CMF, but we are going to walk you through two - Award Summary and What if Scenario. The Award Summary is a summary of all the award requirements and performance benchmarks for that particular CMF award year. We use this dashboard for quick and easy access to award requirements when we are monitoring our CMF portfolio. Benji- Functionality of Award Summary: 1. Select different award years Mai- Importance of Award Summary – CMF program has lot of rules/requirements and each of our awards are slightly different requirements. It’s easier than going to the Assistance Agreement and streamlines the process for the next dashboard – What if Scenario. The What If Scenario dashboard helps us to determine where a CMF lead will fit in which particular CMF award year. Since we have different awards, which different service areas and different requirements, its beneficial for us to use this dashboard to determine where the CMF lead will have the greatest impact. Benji- Functionality of What if Scenario: Orient the audience on each component Pause after What if Funded component Mai – this feature is important because it automatically calculates the key CMF requirements for that particular CMF award year. We can easily see if will meet with CMF requirements without having to use excel. Pause after Project Metrics Mai – this feature is important because there are times where you may want to see the details of the projects. Perhaps one the requirements are not met, you might want to see in detail which project is causing the issue and move it to another award year or pair it with another project to counterbalance any shortcomings. Ability to see performance benchmarks per award year Ability to see if the project is a lead, earmarked or funded CMF project Mai- Importance – when you have a lot of CMF awards and each with slightly different requirements, its hard to manage and to understand where a CMF lead best fits. Where it best fits is also dependent on the existing portfolio for each award year, and other leads or CMF projects that are in underwriting. This dashboard allows us to create different scenarios and clearly see whether we will meet our CMF requirements. Since sometimes leads and projects in underwriting sometimes fall off or get put on hold, this dashboard allows us to see what would happen if a project falls through.
- Mai - Description of Dashboard – used to develop business strategy for ERP application; new award with different requirements; used our track record to help develop a business strategy. Based on what we knew of our lending and borrowers, we had a hunch that the best application strategy was to provide lending to borrowers who have projects in majority-minority low-income census tracts and also in ERP geographies, which one of the business strategy options for ERP. We wanted to quickly verify that this was accurate by analyzing our 5 year track record. Benji - Functionality Ability to see how many projects and $ of projects that are all ERP eligible, located in low-moderate income census tracts and ERP eligible geographies Shading Show tool tip function Talk about the data warehouse and database/data sources that went into getting this data. Mai - Importance – confirm business strategy and helped to fill in track record in application. This could have been done with excel using vlookup but it would have taken us much longer.
- Mai - Evaluate Your Needs: Identify your specific goals and objectives for using Tableau. Determine the key data analysis and visualization requirements that can benefit your organization. Mai - Identify Staff or Human Resources: Identify individuals within your organization who are best equipped to use Tableau. This may include staff members who manage data, systems, or interns with a technical background. Leverage their existing knowledge and skills to maximize Tableau's potential. (Use CCDFI as an example – Benji does technical side for Tableau, Melissa does technical side for nCino and Mai business needs/project management, Andy – driver of new technology). Benji actually started off as intern. Can you should some insight into how the learning process was for you, and advice on how someone could identify the right intern or candidate to take on Tableau. Benji - Start with Tableau Public: Consider using Tableau Public, a free version of Tableau that allows you to create and share visualizations publicly. It can be a suitable starting point for small organizations with limited resources. Benji - Start Simple: Collaborate with your identified staff or human resources to create simple visualizations with a limited number of data points. Focus on the most critical metrics and gradually expand as you gain more experience and confidence. Benji - Focus on Key Data Sources: Collaborate with your identified staff or human resources to identify the primary data sources that are critical for your organization's operations. Start by connecting to and visualizing data from these sources to gain meaningful insights. Benji - Utilize Tableau's Templates and Sample Workbooks: Tableau provides pre-built templates and sample workbooks that can serve as starting points for your own visualizations. Encourage your staff or human resources to utilize these resources to save time and effort. Benji - Attend Webinars and Online Training: Encourage your staff or human resources to attend Tableau's webinars and online training resources tailored for beginners. These resources can help them understand the basics of Tableau and its functionalities. Mai - Collaborate and Share Internally: Foster collaboration and knowledge sharing within your organization. Encourage your staff or human resources to share their visualizations internally with colleagues and stakeholders who can provide feedback and input. (Give example of how we did it at CCDFI) Mai - Seek External Support if Needed: If your organization has the resources, consider partnering with external consultants or experts who can provide guidance and support in leveraging Tableau effectively.
