EHS ZUNI Training Initiative

2015 EHS Summit
Agenda - EHS ZUNI Training Initiative
HOW will this new model function
NEXT steps
WHO will be effected
WHY are we changing EHS training in Zuni
WHAT is changing
Safety Training
WHY
- Trying to make Zuni work for safety training the same way it works
for engineering training is not feasible.
- Safety training cannot be strictly attached to job title therefore
cannot be assigned using standard learning tracks.
Safety Training
WHY
- There is a gap in our current ability to accurately track
the completion of required EHS related training for each
employee.
- Safety trainings have often consisted of repetitive site
specific JST/OJT content that was given a training code
for convenience.
- The new system is based around regulatory compliance
not tribal knowledge.
- EHS training requirements, training
schedule, training completion and annual
retraining is tracked by the EHS
representative. Not sustainable.
Safety Training
WHY
- COMPLIANCE!!!
Safety Training
-EHS Training Matrix (Present)
• Site Specific and site controlled.
• Requirements based on job title.
WHAT
Safety Training
-EHS Training Tracking (Present)
• Spreadsheet
• Must be checked frequently and updated as needed
WHAT
Safety Training
-EHS training Matrix (Future)
• Standard for all Sites and edited at the corporate level.
• Requirements based on “training assignment groups” linked to job title.
WHAT
Safety Training
-EHS Training Tracking (Future)
• Training completion can be tracked using Zuni and reports can be
extracted to determine what training is completed, in progress or
overdue.
• Annual trainings can be automatically assigned (no spreadsheets).
WHAT
WHAT
Safety Training
- The scope of this training overhaul project is to establish a complete
training bank within Zuni that will meet for
California and Washington.
regulatory training requirements
- Zuni will not be a one stop shop for all of
your safety training needs, however it will
be a resource for all that
can be run as CBT.
required trainings
- The goal is not to increase the number of trainings available, the goal is
to increase the quality of the content within each training to ensure
compliance with regulatory training requirements.
WHAT
Safety Training
- Utilize the capabilities of our LMS by taking advantage of the learning
tracks function and automatic reassignment of annual trainings.
- Unified EHS training schedule
and cross site collaboration.
- “90% Plagiarism : 10% Original Thought.”
 Old Model:
 Site specific training matrix with site specific training.
 Select mandatory EHS trainings (EHS0001) based on site policies.
 Training requirements (annual) and completion KPIs tracked by local EHS
representative.
 No visibility on late or incomplete trainings.
 Site specific training schedule set by EHS representative (tailgates).
Safety Training
 New Model:
 Standardized training matrix based on regulatory requirements.
 All mandatory EHS training within Zuni will be assigned using training
assignment groups.
 Training requirements and completion KPIs tracked by Zuni.
 Ability to run reports and track training completion.
 Standard training calendar to be followed by all sites.
WHAT
Safety Training
HOW
5 step process
1) Know The Requirements
2) Audit Existing Content
3) Populate The LMS With Compliant Training
4) Identify Training Groups
5) Assign And Track Training
Safety Training
HOW
- STEP ONE: Know the requirements.
Safety Training
HOW
- STEP TWO: Conduct a training content audit to assess the quality
of our current training curriculum compared against regulatory
training requirements.
- Example: EHS0003 – Hearing Conservation
-1910.95(k)(3)
• The employer shall ensure that each employee is informed of the following:
- 1910.95(k)(3)(i)
• The effects of noise on hearing;
- 1910.95(k)(3)(ii)
• The purpose of hearing protectors, the advantages, disadvantages, and attenuation of
various types, and instructions on selection, fitting, use, and care; and
- 1910.95(k)(3)(iii)
• The purpose of audiometric testing, and an explanation of the test procedures.
Safety Training
HOW
- STEP THREE: Populate the LMS (Zuni).
Safety Training
HOW
- STEP FOUR: Create training assignment groups by identifying job
titles with similar training requirements.
Safety Training
HOW
Safety Training
HOW 1) All Office Employees
• Planners, Engineers, Buyers,
Administrators, Accounts Payable
2) All Production Employees
• Assemblers, Cleaners, Bonders
3) All Supervisors
• Leads, Managers, Supervisors
4) Executive Level
• VPs, GMs, Directors
5) Production Supervisors
• Leads, Production Managers, Production
Supervisors
6) Maintenance
• All maintenance
7) EHS
• EHS managers or designee
8) Custom
• Site managed learning groups based on
exposure (forklift, hearing conservation)
Safety Training
HOW
- STEP FIVE: Utilize learning tracks to assign training in Zuni based
on training assignment groups.
- Most trainings are based on broad or internal requirements making them
easy to assign across all job titles using specific learning tracks.
- EHS training however is based on exposure and can pertain to many
differing job titles making self running learning tracks difficult.
Safety Training
HOW
- STEP FIVE: Utilize learning tracks to assign training in Zuni based
on training assignment groups.
Safety Training
HOW
- Multiple learning tracks can be assigned to any employee based on
training requirements.
-EHS training will live within the “Custom Learning Track.”
Safety Training
HOW
- Moving forward, required EHS related training will be assigned using the
Custom Learning Tracks function in Zuni.
- Custom Learning Tracks are how we will manage trainings that cannot be
linked to one specific job title.
Safety Training
HOW
“Zuni will not be a one stop shop for all of your safety training needs, however
it will be a resource for all required trainings that can be run as CBT.”
Generalized
Computer Based Training
Responsible for satisfying all
regulatory training requirements
for all employees based on
training assignment groups
Responsible for tracking annual
training and retraining where
applicable
Site Specific
Instructor Lead Training
Responsible for providing any
supplementary site specific
training information and practical
evaluation
Responsible for managing
“custom” training groups based
on site requirements
Safety Training
HOW
- Implementation of a standardized EHS training calendar
and training schedule.
 All Sites operating under this
training schedule will collaborate
and train on the same topics each
month.
 The goal is to move away from
isolation and toward cooperation.
 Training will be a team effort with
shared resources and ideas.
 NO SITE IS AN ISLAND
Safety Training
WHO
- EVERYBODY
- New bank of EHS trainings in Zuni
that can be assigned to office and
production employees.
- EHS – will be responsible for managing the distribution of any site
specific supplementary material; scheduling site specific ILTs.
- Managers/Leads – will need to help ensure their reports have
completed the EHS training requirements.
- Site DTC – will need to learn EHS learning tracks and assign them
to applicable employees (ex: category 1 training).
Safety Training
NEXT steps
WE HAVE THE BONES, NOW WE NEED THE MEAT
- Need additional module development within Zuni:
 Assigning each job title to its appropriate training assignment group.
 Training for EHS representatives on how to assign courses using the
custom learning track function within Zuni.
 Training for EHS representatives on how to run training reports from Zuni.
- Need additional (site specific) trainings:
 We will need help from all EHS representatives moving forward to audit our
existing trainings and ensure they meet all the required regulatory training
requirements before they go live in Zuni.
 Identifying site specific material required for site specific training.
Safety Training
NEXT steps
THIS PROJECT IS NOT AN EASY UNDERTAKING
- Success will require input, delivery and collaboration from each site
to ensure that our new safety training module is accurate,
sustainable, self serving and capable of providing quality EHS
training in line with regulatory training requirements.
