Digitally Tracking Student Truancy
This workshop will review how Corcoran Unified School District “CUSD” identifies,
tracks and reports student truancy. We believe having accurate data will provide the
information needed to identify and deter potential truants. We will review different
programs used to track the data and how this data is retrieved for analysis and reporting
by staff members at all levels.

1. Aeries
a. Student Data Screen
i. Create a field identifying student as a SARBed student , U8 for
CUSD
ii. Profile Screen in aeries.net summarizes student data
b. Interventions Screen
i. Add SARB as an intervention, example of codes
1. SL = SARB Local, SC=SARBED County
ii. Add Disposition codes, example CONtract, NoShow, ReferredDA
iii. Record each hearing to build history
c. Attendance Screen
i. Notes, use as general information on absence
ii. Red Flag students with SARB Contract start date
iii. Create absences codes that make sense
d. Contact Screen
i. Have updated contact information
ii. Identify order of contacts
iii. Identify who the student lives with
e. Reports
i. Run missing ABI reports to verify teacher took attendance
ii. Student Absence Totals
iii. YTD Attendance by Student
f. Queries
i. Student Attendance Percentage List

i. This will help our staff identify students at risk based on preset
indicators, including attendance, behavior, interventions and
academics.

a. Pivot Tables created from query imports
b. Use to summaries data and create graphs
c. Convert the days lost to dollars (1 day of attendance = $30)
d. Use multiple years to show trends
e. Export more data than needed, include grade, sex, DOB for example.
4. Attention 2 Attendance Software (SIA)
a. Conferences/Meeting with parent
i. Also use to record meetings with student
b. Attendance Letters
i. Truancy Letters
ii. Excessive Excused Absences Letters
iii. SIA runs the letters and mails them, staff can focus on scheduling
meetings with parents
c. School Reports
i. Groups students by Extremely Chronic and Chronic Absences
ii. Summary of student absences with pie graph in PDF format
iii. Detail information by group of each students absence totals in
excel format
d. Printing the student data to use with SARB
5. Blackboard Connect Phone Dialer Software
a. Imports Absence Automatically Twice a Day
i. Sends prerecorded message to parent and/or contact
ii. Sends early morning and early evening
