Dance Ensemble – Dance Lessons
Dancing with the Ensemble
To promote the organization,Dance Ensemblewillbe hostingadayof dance lessons. Thiswill
not onlybe a funway forthe groupto work together,butitwill alsoactas a promotionof healthand
wellnessforthe campuscommunity. Inorderto planthe eventthere are manyfactors that needtobe
takenintoaccount suchas the venue,meals,facilitators,andmore. Compilingall of these detailsahead
of time will aide indeterminingthe budgetforthe Dance Ensemble event.
Descriptionof Event
The goal of thiseventisto bringthe campus communitytogethertopromote healthandwellness
throughthe art of dance. The currentchorographersfor the Dance Ensemble will volunteerandwill act
as the facilitatorsof the eventsothat eachstyle of dance will be represented. The eventwill be opento
students,faculty,andstaff alike andwillbe heldinthe campusWellnessCenter. The eventwill beginat
1:00pm and endat 5:00pm and take place on a Saturdayduringthe springsemester. The dance
practices will be heldatdifferenttimesthroughoutthe eventandwillincludeone tapsectionasitwill
be lesspopular,twolyrical groups,twocontemporary/moderngroups,and twohiphopgroups. Each
groupwill be assignedone hourandinthat hour the participantswill learnadance combination.
Participantscansignup for as manystylesastheywouldlike. Duringthe eventthere will be 3tablesset
up withvariousfruit,vegetable,andcrackertrays as well asbottlesof watertoprovide a lightand
healthysnack. The eventwill be advertisedtwoweeksinadvance throughpostersinthe academichalls
and the studentunion. There will be atable inthe studentunionthree daysbefore the eventsothat
participantscansignup, howeverthe advertisementwill explainthatyouare welcome towalkinat any
time. The signupsheetsare solelytogetanideaof how manyparticipantswill be atthe event. The
table will be mannedbydance ensemble membersbetween10:00amand 5:00pm the Wednesday –
Fridayof the event.
Facility
The WellnessCenterwill be reservedthroughthe conferencecenterlocatedinthe LivingLearning
Center. The gym can be splitdownthe middle sothere canbe two groupsof the same style dancingat
the same time. In case a problemwere toarise withthe preferredlocation,the Cambriaroomshould
be reservedatthe same time as a backupfor the eventkeepinginmindthatif anotherorganization
wantsthe Cambria roomthe same dayit mustbe giventothem.
Food
The tableswill be providedbythe conference centerandare free of charge. Dance Ensemble will
purchase tencasesof waterat roughly$3.99 a case equaling$39.90. The fruit,vegetable,andcracker
trays will be providedbySodexothroughthe conference centerandwill be paidforfromthe dance
ensembleaccount. Each table will have twoof eachtray and one tray is$10. The total for the trays will
be $180. Overall,the total budgetfor food will be $220.
Advertisements
To advertise the event,the campusrelationchair holdersinthe ensemble will be responsiblefor
creatinga Facebookeventaswell asperiodicallypostingupdatesonitsoit stayson the frontpage and
therefore inthe mindsof those hopeful participants. Inadditiontothis,theywilltweetaboutthe event
on a dailybasisa weekbefore andleadinguptothe eventfromthe ensemble’stwitterpage. The
ensemblememberswillbe askedtopostaboutit on theirpersonal social mediapagesaswell. Posters
aboutthe eventwill be printedthroughthe print shoponcampus. 25 coloredflyerswill be printedat
$.25 each. There will alsobe 2 postersprintedat$5.00 each. One of the posterswill be usedatthe
table until the event thenbothwill be usedatthe event’svenue. The total amountspentonthe posters
will be $16.25.
Budget
The total budgetforthe eventaccordingto the foodand advertisementcostswill be $236.15. The total
budgetrecordedwill be $250 in orderto accommodate anyunexpectedexpense.
Participants
All of the participantswill be givenashortrelease andconsentformthatstatestheyare willingtohave
theirpicture takenaspictureswill takenforDance Ensemble’suse intheirslideshow aswell astheir
social mediapages. The formwill alsostate thatif theyin anyway or reason injure themselvesduring
the eventitisnot at the faultof Dance Ensemble meaningthatthe organizationwill notbe held
responsible.
ChoreographerResponsibilities
Each choreographerwill be requiredtoshow the Dance Ensemble officers the dance theyplanon
teachingtomake sure that itis appropriate foranyone whomaycome to the event. Each
choreographerwill be requiredtoteacha 30 secondcombinationfollowingabrief exampleof the basic
stepsand/orcharacteristicsof the genre theyare teaching. In additiontothe 30 secondtime frame,
theymustfollowadresscode whichwill consistof blacktights,black shortsor yoga pants,and a shirt
withthe dance ensemble logo. If a choreographerdoesnothave a shirt(itisrequiredforthe showthat
theyhave the tightsand pantstherefore thatwill notbe a problem) thenone will be providedforthem
fromotherdancers. Theywill alsofollowashortscript at the endof theirlessonstatingtheirname and
the followingsentence:“If youhadfuntoday please don’tforgettocheckoutDance Ensemble next
year!Thank youfor all yourhard work andwe will hopefullyseeyouatthe dance marathon!”.Thiswill
serve asa remindertothe participantsthattheycould potentiallyjoinDance Ensemble inthe fall
semesteraswell asa previewof the organizationsnextbigevent.
